Dropbox Dash: Which Apps You Can Connect, and Which Need an Admin

Dropbox Dash is a search tool that looks across the apps and content you connect to it, so you can find a file, task or message without opening each app in turn. As of October 2026 some apps can be connected by any team member, while others, including Slack, Jira, Confluence and Google Drive, can only be added by an admin.

Here's the catch. Dash never widens what anyone can see. If a team member can't open something in the original app, Dash won't search it or show it to them. That's reassuring for security, but it also means Dash is only as useful as the connections and permissions behind it, and the most valuable team connections sit with your admin.

Member apps and admin apps: the split that matters

Dropbox splits apps into two groups. Apps anyone can connect link that person's own account. Apps admins can connect bring in shared team content, such as Jira tasks and projects or a team Google Drive.

Notice that OneDrive appears on both lists. A member can link their own OneDrive, while an admin connection brings in shared team content. The same goes for the difference between Gmail, which any member can add, and Google Drive, which needs an admin. If your team lives in Slack and a shared Drive, Dash won't do much until the admin has done their part.

Admins add these from the Admin console, then Dash, then Apps, then the More apps tab.

Why Dash respects permissions, and what that means for you

Dropbox is clear that Dash always respects app permissions and never overrides them. In practice that means two people in the same team can type the same search and get different results, because each sees only what they could already open.

That's the right design for a small business with client folders or HR files mixed in with everything else. It also means a search that comes back empty isn't always a Dash problem. Check whether the person has access in the original app before you assume the connection is broken. A quick test during setup: ask two colleagues with different access to run the same search and compare what comes back.

Desktop app, browser extension and requirements

PieceRequirement, as of October 2026
Desktop appWindows 10 or 11, or macOS 10.15 or later
Chrome extensionChrome 121.0 or later
Edge extensionEdge 91.0 or later
Safari extensionSafari 15.4 or later

The desktop app opens with control-shift-e on Windows or command-shift-e on macOS. One small annoyance: your settings don't sync across the web app or your other devices, so expect to set things up again on a second machine.

The Chrome extension asks for two permissions that can look alarming. It wants to read and change data on all websites, which Dropbox says is so you can add a site to a Stack, and it replaces your new tab page. You can switch off the Dash start page from the extension icon if you'd rather keep your usual new tab. Dropbox also says Dash never changes your browser history.

How to connect an app to Dash

  1. Log in to dash.ai.
  2. Click Apps in the lower left.
  3. Click add next to the app you want.
  4. Authorise it.
  5. For Slack, Jira, Confluence, Google Drive and the other admin-only apps, ask your admin to add them from Admin console, Dash, Apps, More apps.

Help during the trial

There's an initial 3 month Dash trial, and select team admins can get optional phone onboarding during it. The calls run 8:00 AM to 5:00 PM Pacific Time, Monday to Friday, in English only. They cover connecting Google Workspace and Microsoft 365, but not custom integrations or billing questions.

If you're on that trial, I'd book the call before you connect anything. Getting the Google Workspace or Microsoft 365 connection right at the start is what makes Dash useful for the whole team rather than one person.

My verdict on Dropbox Dash

I'd try it if your team's work is scattered across Slack, a shared Drive, Jira and a few personal tools, and your admin is willing to connect the shared ones during the trial. I'd skip it if most of your files already sit in one place, or if nobody's going to own the admin side, because the member-only apps won't give you the team-wide search that makes Dash worth having. If you're still getting the basics of Dropbox sorted, start with how to use Dropbox, and if you're reconsidering the whole setup, here are my Dropbox alternatives.
