As of October 2026, Deputy's US pricing is $5 per user a month for Lite, $6.50 for Core and $9 for Pro, excluding taxes. Add-ons cost extra, including HR at $2 per user and payroll at $8 per user plus a $49 monthly base fee. Monthly Lite, Core and Pro plans also carry a minimum monthly spend of $30 per invoice.
Deputy is a scheduling, timesheet and time clock tool used mainly by shift-based businesses such as hospitality, retail and healthcare. Its per-user pricing is low, but two rules on the pricing page change the real cost for small teams: who counts as a user, and the minimum spend.

The two rules that change the bill
Here's the sourced insight that matters most for small teams. First, Deputy's FAQ says all users, administrators and supervisors are considered users and count toward your total. Your managers aren't free seats.
Second, there's a minimum monthly spend on monthly Lite, Core and Pro plans, from 1 September 2025: $30 in the US or AUD $30 in Australia, and £20 in the UK, per invoice. Deputy says it helps cover set-up and support costs. For a very small team on Lite, the minimum, not the per-user price, may decide what you pay.
Annual vs monthly billing
- On an annual plan you're charged up front for the year on the day you upgrade.
- Extra fees during the year, such as additional users or SMS, are charged at the end of the month at the monthly rate of your plan.
- On an annual plan you can add users, but you can't change plan or lower the number of employees on the account.
- You can cancel before the 12 months are up, but Deputy says there are no refunds.
- A new user added for the first time is charged at the full monthly per-user price.
Deputy also says it will always respect a free trial period: if you upgrade before the trial ends, you don't start paying until it does.

Is Deputy worth it?
For shift-based teams that need rosters, clock-ins and timesheets in one place, Deputy's per-user prices are competitive. Lite covers the basics; Core is where the automation (auto-scheduling and demand forecasting) lives, and that's usually the reason to pick Deputy over a simpler tool. Pro makes sense for multi-site businesses that need location hierarchies and SSO.

Who Deputy suits, and who it doesn't
Deputy is built around shifts. If your staff work fixed office hours and you mainly need to track time against client projects, a project time tracker will usually fit better. If you run a cafe, shop, clinic or warehouse with rotating rosters, staff who swap shifts and managers who approve timesheets before payroll, that's exactly the workflow Deputy's plans are organised around. The add-ons let you start small and bolt on HR or payroll later rather than paying for everything up front.
How to estimate your Deputy cost
- Count every person who'll use it, including managers and supervisors.
- Pick the plan, then multiply by the per-user price.
- Add any add-ons you need per user, plus payroll's monthly base fee if you'll use it.
- On a monthly plan, check whether the total is below the minimum monthly spend for your country.
- Decide on annual billing only once you're sure of the plan, since it can't be changed during the year.
The verdict
Deputy is good value per user, but read the small print before you budget. Every manager is a paid user, monthly plans have a minimum spend, and annual plans lock you into your plan for the year with no refunds. If you're a small shift-based team, start monthly on Lite or Core, then move to annual once you know what you need.
