ChatGPT for Excel is an official OpenAI add-in that puts ChatGPT in a sidebar inside your spreadsheet, so it can build, update and explain workbooks, including large multi-tab files with formulas. To install it, open Excel, go to Home, then Add-ins, search for ChatGPT, add it and sign in. OpenAI says it's available globally on Free, Go, Plus and Pro, as well as Business, Enterprise, Edu and K-12 plans, with a matching version for Google Sheets.
Most people who use ChatGPT with spreadsheets still copy and paste: export the data, paste it into a chat, copy the formula back. The add-in removes that step, because ChatGPT works on the open workbook itself.
Here's how to set it up and use it well, based on OpenAI's help article, plus the limits you'll want to know before you trust it with a file that matters.
What the add-in can do
- Build trackers, plans and templates from scratch
- Clean up messy sheets: formatting, labels, duplicates and broken formulas
- Explain an unfamiliar spreadsheet, including its assumptions, drivers and key formulas
- Update a model when inputs change and summarise what changed
- Run scenarios and sensitivity tables
- Review reporting, KPI, planning and forecasting work
It can also search the web for information to bring into your workbook, and you can @ mention specific sheets to focus a request.
How to install ChatGPT in Excel
- Open Microsoft Excel, on desktop or the web.
- Go to Home, then Add-ins.
- Search for ChatGPT.
- Add it, then open ChatGPT from the ribbon.
- Sign in with the ChatGPT account on your supported plan.
If your organisation blocks the Microsoft store for add-ins, a Microsoft 365 admin can deploy it internally from OpenAI's manifest file through Integrated apps in the admin centre.
Installing it in Google Sheets
- Install ChatGPT from the Google Workspace add-on store.
- Open Google Sheets.
- Open ChatGPT from the Extensions menu.
- Sign in with your ChatGPT account.
On a workspace that uses role-based access control, an admin may need to switch it on under Workspace settings, then Permissions and roles, then ChatGPT for Excel and Google Sheets. That one setting covers both.
Prompts that get good results
OpenAI's two best tips are to say exactly what to preserve and what to overwrite, and to ask for a plan before big edits. Here are prompts in that spirit:
For a careful update
Before editing, outline exactly which tabs and ranges you'll change.
Then update the assumptions on the Inputs tab only. Don't touch formatting.
When you're done, list every cell you changed.
For a broken formula
Why am I getting an error in cell D42?
Explain the formula chain in plain English and suggest a fix, but don't apply it yet.
For a new sheet
Build a simple weekly content tracker with columns for date, channel, topic, status and link.
Add a drop-down for status and a summary tab counting posts by channel.
The limits OpenAI lists
| Limit | What it means for you |
|---|---|
| Separate history | Spreadsheet chats don't sync with your main ChatGPT chat history |
| No memory | Spreadsheet chats can't use ChatGPT memory, so restate your preferences |
| VBA and macros | May not be fully supported |
| Accuracy | Outputs may be incomplete or wrong, so check formulas, calculations and changed cells |
OpenAI's own advice for important work is to duplicate the file first so you can go back. I'd make that a habit for any workbook you'd hate to rebuild.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
Excel add-in or ChatGPT Work?
ChatGPT Work can also create spreadsheets, so which should you use? Work is better when the spreadsheet is the end product of a bigger job, such as research pulled into a new file. The add-in is better when the workbook already exists and you want changes made in place, with formulas and formatting kept. In the desktop app, OpenAI says Work supports Microsoft Excel through this same add-in.
Using it with Codex on desktop
If you use the ChatGPT desktop app, Codex can work directly with an open Excel workbook through the add-in. Sign in to the add-in and Codex with the same account (and the same workspace), open the workbook, select Codex in the desktop app and mention @Microsoft Excel. This currently works with Microsoft Excel only.
If Codex can't find the workbook, check three things: both are signed in to the same account, Allow Codex control is switched on in the add-in's more options menu, and the workbook and add-in pane are still open.
A safe first session
If you've never let AI edit a spreadsheet, start small. This routine keeps you in control while you learn how it behaves:
- Duplicate the workbook and work on the copy.
- Ask it to explain the file first: what each tab does and which cells drive the totals.
- Pick one small change, such as tidying labels on a single tab, and ask for a plan before it edits.
- Check every cell it says it changed, then compare the totals with the original.
- Only when that goes well, move on to bigger jobs like new scenario tabs or rebuilt formulas.
You'll learn more about its strengths in that half hour than from any tutorial, and you won't risk the file your business relies on.
Is it worth it?
For anyone who lives in spreadsheets, yes. The biggest win isn't building new sheets, it's understanding ones someone else built. Ask it to explain a workbook before you change anything.
If you're still learning the basics, my ChatGPT prompts for learning Excel are a good warm-up, and my Google Sheets tutorial covers the essentials on the Google side. If you want help building AI into your reporting, that's what I do in my one-to-one AI sessions.
