Best Tour Booking Software: 11 Options

The best tour booking software depends on how you sell: small operators need simple online booking and waivers, attractions need ticketing and queues, and operators selling through other sites need a channel manager. Eleven options follow in no particular order.

Tour and activity businesses live and die by bookings. Every guest who can't book on a phone at the moment they're interested is a guest who books something else.

The eleven systems below are listed alphabetically and in no particular order. Each description comes from the vendor's own site, read this week. If you're also working on finding customers, my guide to AI lead generation for travel businesses is a good next read.

Tour booking software at a glance

In the free plan column, Yes means the tool's own site names a free plan, a free version or an open source edition. Trial only means a time-limited trial. Not stated means the pages I read named neither, even where there's a button inviting you to try it.

When a tour becomes a package

Here's a rule that catches UK operators out. GOV.UK guidance sets out how businesses are affected by the Package Travel and Linked Travel Arrangements Regulations 2018, and recommends getting legal advice if you're unsure of your obligations.

If your tours bundle transport or an overnight stay with the activity, you may be selling a package, which brings extra duties. Check that before you design your booking flow and add-ons.

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

Simple booking, ticketing or channel distribution?

Simple booking systems suit small operators who mostly sell through their own website. Ticketing systems suit attractions with timed entry, queues and walk-ups. Channel tools suit operators who sell through resellers and travel sites as well as directly.

Most growing operators need some of all three. Choose the system that's strongest at the one that brings in most of your bookings today.

Things guests expect when they book

  • Live availability that's always right.
  • Booking in a few taps on a phone.
  • Instant confirmation and clear meeting details.
  • Waivers signed before they arrive.
  • Easy changes if their plans move.

Features that bring in more bookings

  • Mobile checkout. Fast booking on a phone.
  • Reseller tools. Partners can sell your tours.
  • Automated messages. Confirmations, reminders and review requests.
  • Gift vouchers. Extra sales outside your season.

Running the day of the tour

Good systems help on the day too: guide schedules, check-in lists and quick messages if weather changes plans. Ask to see the day-of-tour screens in every demo.

Booking software for small operators

Small operators should look for quick set-up, a clean booking page and online waivers. You can add channel management once you start working with resellers.

Comparing booking systems fairly

Set up the same tour in each system you're testing: one time slot, two ticket types and a group discount. Then book it yourself on a phone. You'll see which checkout is fastest, which confirmation email is clearest and which system makes changes easy. That hour of testing tells you more than any demo, and it's free.

Reviews and repeat guests

Most systems can send an automatic message after the tour asking for a review. It's one of the easiest ways to build trust with future guests, so switch it on from day one and don't wait until you've got a quiet week.

Do you make tour booking software? Tool makers can ask to be considered for a featured place on this list.

My plain advice on choosing tour booking software

Test the booking page on your own phone before anything else. That's where most of your guests will book, and a clunky checkout loses more bookings than any missing feature.

Then think about where your bookings come from. If resellers and travel sites matter, make channel management a must-have. For a guest's view of booking through big sites, my look at whether Viator is legit shows what they check.

Frequently asked questions

What is tour booking software?

It's software that lets tour and activity operators take bookings online, manage availability, guides and guests, and often sell through other channels.

Do UK tour operators need to worry about package travel rules?

Possibly. GOV.UK guidance covers how the Package Travel and Linked Travel Arrangements Regulations 2018 affect businesses, and recommends legal advice if you're unsure.

Is there free tour booking software?

None of the systems on this list names a free plan on the pages I read. A couple offer a free trial.

Can tour booking software handle rentals too?

Some can. At least one system on this list manages vehicles, seats and equipment alongside tours.

What's a channel manager for tours?

It connects your availability to resellers and travel sites so you don't double-book.

Can guests sign waivers online?

Some systems include online waivers. Check each one's features.
