Best Missed Call Text Back Software: 10 Tools to Compare

Missed call text back software sends an automatic text when you can't pick up, so the caller hears from you in seconds instead of ringing the next business on their list. Pick a texting platform if you'll reply yourself, or an answering service if you'd rather nobody waits at all.

The call you didn't take is still a customer

Picture a plumber under a sink, a hairdresser halfway through a colour or a physio with a patient on the table. The phone rings, nobody can answer, and the person calling has a problem they want sorted today. If they hear nothing back, plenty of them will simply try someone else.

I've worked in marketing for 23 years, and the small businesses I've seen grow fastest aren't always the ones with the cleverest ads. They're the ones that answer. A quick text that says 'Sorry I missed you, I'm with a customer, what can I help with?' keeps the conversation open until you're free.

Why a fast reply beats a clever one

The U.S. Small Business Administration's guide to marketing and sales says your customers' experience of your company can influence whether they become a loyal customer for life or tell their friends to stay away. That experience starts long before anyone buys. To my mind, an unanswered call with no follow-up is the first bit of service a new customer gets from you, and it isn't a good one.

Two ways to stop losing calls

The tools below sit in a few camps, and it's worth knowing which one you need before you book any demos.

Texting platforms. These give you a business number or a shared inbox for texts, so you or your team can reply from a laptop or a phone. Many offer an automatic message when a call goes unanswered, but check the exact feature on the plan you're looking at, because vendors describe their products in very different ways.

Answering services. These pick up the call for you, with AI agents, human receptionists or both. The caller talks to someone straight away, and you get the details afterwards. It's a bigger step than an auto-text, and it makes sense where every call could be a big job.

Trade-specific platforms. Hatch is the one here built for a single type of business, the trades, and it brings call answering, texting and booking into one place.

Which one fits your week?

You're on the tools all day. If you're a sole trader who can reply between jobs, a texting platform with an automatic missed-call message is often enough. Look at the texting tools first and keep it simple.

Your front desk never stops. Clinics, salons and studios often have one person juggling the phone and the people standing in front of them. A shared inbox that lets anyone on the team pick up a text thread helps far more than a single mobile in someone's pocket.

Every call could be a big job. For trades where one enquiry might be worth a week's work, having someone or something answer live can make more sense than a text. That's where the receptionist and AI answering services come in.

You want calls to turn into bookings. Look for tools that mention scheduling or booking, and check they connect to the calendar you already use. If you're still choosing one, here's a guide to online scheduling software.

Writing the message people get

The software only sends the words you give it, so spend ten minutes on them. A good missed-call text does three things: it says who you are, it says why you didn't pick up, and it asks one easy question.

Something like: 'Hi, it's Sam from Brightside Plumbing. Sorry I missed your call, I'm on a job. What can I help with? I'll reply as soon as I'm free.' It's friendly, it's honest and it gives the caller a reason to type back.

Avoid anything that reads like a robot or a sales pitch. People who rang you wanted a person, and the text is your chance to show there's one on the way.

Questions to ask on the demo

  • Does the automatic text go out on every unanswered call, or only during set hours?
  • Can I edit the message, and can it include a booking link?
  • Will texts come from my existing business number, or a new one?
  • Who on my team sees the reply, and can two people work the same thread?
  • If an AI or a receptionist answers instead, how do the call details reach me?

My advice before you sign up

Start with the problem, not the feature list. Count how many calls you missed last week, and how many of those people you never heard from again. If it's a handful, a simple auto-text will earn its keep in goodwill alone. If it's dozens, an answering service is likely the better fit. Either way, write your missed-call message as if you were talking to the person, keep it short, and always end with a question so they reply.

And don't forget the other side of the phone. If you also make sales calls, there's a separate set of AI outbound calling tools for that job.

Frequently asked questions

What is missed call text back software?

It's software that sends an automatic text message to anyone whose call you couldn't answer, so they know you've seen it and can reply by text. Some tools add AI answering or booking on top.

Is an auto-text better than voicemail?

For many small businesses, yes. Plenty of people won't leave a voicemail, but a short, friendly text gives them an easy way to keep talking until you're free.

Do I need a new phone number?

It depends on the tool. Some work with your existing business number and some give you a new one. Ask on the demo, because changing a number your customers already know is a big step.

Should I choose a texting tool or an answering service?

Choose texting if you can reply between jobs yourself. Choose an answering service if callers expect to speak to someone straight away, or if each enquiry is worth a lot to your business.
