Best Invoice Processing Software: 11 Capture Tools

The best invoice processing software reads supplier invoices automatically, pulls out the details accurately and sends them into your accounting or approval workflow: small businesses and bookkeepers usually want simple capture apps that post to their ledger, while larger finance teams and developers need document AI built for volume. Eleven options follow in no particular order.

Typing invoices into accounting software is one of the dullest jobs in finance, and one of the easiest to get wrong. A digit slips, the same bill gets processed twice, or a bill sits in someone's inbox until the late reminder arrives.

Invoice processing software reads each invoice for you and passes the data on. The eleven tools below are listed alphabetically and in no particular order, and every description comes from the vendor's own site, read this week. If you send invoices as well as receive them, see my guide to invoicing a customer correctly.

In the free plan column, Yes means the tool's own site names a free plan, a free version or a free profile. Trial only means a time-limited trial. Not stated means the pages I read named neither, even where there's a button inviting you to try it or book a demo.

E-invoicing is on its way for UK VAT invoices

A government consultation response on GOV.UK says the UK will introduce mandatory e-invoicing for all VAT invoices from 2029, with a roadmap for the mandate to follow. It describes UK take-up of e-invoicing so far as relatively low.

Scanning PDFs and photos works well today. But if you're VAT registered in the UK, favour tools that can also receive structured e-invoices, so you aren't switching systems again in a few years.

Want AI doing the heavy lifting in your marketing?

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

Capturing invoices is half the job, and our guide to Tipalti alternatives covers the tools that approve and send the payments too.

Capture app, document AI or API?

Capture apps are built for small businesses and bookkeepers: snap or forward an invoice, check it and post it to your accounting software. Document AI platforms handle large volumes across many layouts, with people only reviewing the exceptions.

APIs suit developers building invoice reading into their own products. They're powerful, but you'll need someone to build and maintain the workflow around them. Whichever route you take, don't skip the boring bits: who can change supplier bank details, how approvals work when someone's on holiday, and what happens to an invoice the software can't read at all.

Invoices should match approved orders, which is where purchase order and approval tools come in.

Questions to ask an invoice processing vendor

  1. How accurate is extraction on our real supplier invoices?
  2. Which accounting systems do you post to?
  3. How are exceptions flagged for a person to check?
  4. Can you spot duplicate invoices?
  5. Do you support structured e-invoices as well as PDFs?
  6. Where is our data stored, and for how long?

Supplier records feed invoice capture, which is covered in vendor management software.

Signs it's time to automate invoice entry

  • Invoices are typed in by hand. Hours go on data entry.
  • Duplicates slip through. The same bill gets processed twice.
  • Bills sit in inboxes. Late reminders arrive first.
  • Month end means a backlog. The team catches up in a rush.

Do you make invoice processing software? Tool makers can ask to be considered for a featured place on this list.

My plain advice on choosing invoice processing software

Test every shortlisted tool on a batch of your own messiest invoices: handwritten ones, multi-page ones and suppliers with odd layouts. Accuracy on the demo set means very little, and the exceptions are where your team's time goes.

Then decide who checks what. Even the best tools need a quick human review on new suppliers and unusual amounts, so set that rule before you switch off manual entry. Tidy books make everything easier, so see my secrets to easier bookkeeping too.

Frequently asked questions

What is invoice processing software?

It's software that captures supplier invoices, reads the key details automatically and sends them into accounting, approval or payment workflows.

How does invoice data capture work?

Most tools use OCR and AI to read invoice text, find fields such as supplier, date, number and totals, and flag anything they're unsure about.

Is invoice processing the same as accounts payable automation?

It's one part of it. Accounts payable automation can also cover approvals, matching and payments.

What is e-invoicing?

E-invoicing means sending invoices as structured data that software can read directly, rather than as PDFs or paper.

Can invoice processing software catch duplicates?

Many tools flag possible duplicate invoices, which helps stop the same bill being settled twice.

Do I still need to check invoices manually?

Usually only the exceptions. A quick review of new suppliers and unusual invoices is still a sensible control.
