The best HOA management software depends on who runs the community: volunteer boards need simple dues collection and a website, management companies need accounting and many communities in one place, and larger firms want automation and a resident app. Ten options follow in no particular order.
Running a homeowners association means money, rules and neighbours, often handled by volunteers in their spare time. The right software takes the chasing, the paperwork and the endless email threads off their plates.
The ten tools below are listed alphabetically and in no particular order. Each description comes from the vendor's own site, read this week. If you also manage rentals, my guide to managing a rental property without losing your mind is a useful companion.

The Florida website rule many boards miss
Here's a legal detail that changes what you need from software. Under the Florida Statutes, section 720.303, an association managing 100 or more parcels must post set documents, including its bylaws, current rules and financial report, on its website or through an app owners can download.
If you run a Florida HOA of that size, check that any software can host those documents in a protected area for owners, not just send them by email. Other states have their own rules, so ask your association's attorney what applies to you.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
Self-managed board or management company?
Self-managed boards usually want dues collection, simple accounting, a community website and a way to send announcements. Management companies need all of that across many communities, plus vendor payments, violations, architectural requests and reporting to each board.
Some tools focus on one group and some serve both. Decide which you are before you book demos, because the screens and the training look very different.
Jobs HOA software should take off your hands
- Sending dues invoices and reminders.
- Recording payments and reconciling the bank.
- Logging violations and the letters that follow.
- Handling architectural requests from start to decision.
- Running votes and sending meeting notices.
- Keeping governing documents where owners can find them.
Features that matter to boards
- Online dues. Owners pay online and reminders go out automatically.
- Board reports. Clear financials the whole board can read.
- Violation tracking. A record of every notice and response.
- Owner portal. Documents, requests and announcements in one place.
Handing over between board members
One of the quiet benefits of HOA software is continuity. When records live in a shared system instead of a treasurer's laptop, a new board can pick up where the last one left off.
HOA software for small communities
Small communities often need little more than dues, a website and email announcements. Start there and add violations or architectural tools only when you need them.
How to compare HOA tools fairly
Book demos with the same two or three tasks for every vendor: send a dues invoice, log a violation and post a document for owners. You'll see quickly which tool your board finds easy and which one needs a manual. It's also worth asking how owners pay, because a payment page that confuses residents will fill your inbox fast. Don't forget to ask what happens to your records if you leave.
Do you make HOA software? Tool makers can ask to be considered for a featured place on this list.
My plain advice on choosing HOA management software
Start with money. If dues collection and accounting aren't easy, nothing else matters, because that's where boards get complaints and where errors cause the most trouble. Ask every vendor to walk you through a full month of invoicing, payments and reports.
Then think about the people who'll use it after you. Boards change, so choose something a new volunteer can learn quickly. For managers juggling showings and maintenance visits, my piece on AI appointment scheduling for property managers shows another way to save time.
