Bed and Breakfast Software (2026): 9 Tools for Small Inns

The best bed and breakfast software takes bookings, keeps your calendar in sync with booking sites and handles breakfast and guest notes simply. Choose by size, from two to five rooms up to a larger inn, then book a room as a guest yourself. Nine tools follow, in no particular order.

Picture a guest on their phone at eleven at night, trying to book your front room. Whatever your booking page shows them in that moment is doing more selling than your website, your photos or your welcome note.

Several tools in this category come from hotels or holiday lets, and only some are shaped around a handful of rooms. So this list starts with the guest's view. Descriptions come from each vendor's own site, as of Nov 2026.

Book your own room before you choose

A B&B booking engine is where guests first see what a stay will come to, and that's now a compliance question as well as a sales one in the US.

The FTC's rule on hidden fees covers live-event tickets and short-term lodging, and its definitions section, 16 CFR 464.1, names an inn in that list. The rule text at 16 CFR 464.2, published by Cornell Law School, says a business must clearly and conspicuously disclose the total, and show it more prominently than any other amount it displays.

So test the booking page before you commit to a system. Set up a room with a mandatory cleaning fee or resort fee and walk through the booking as a guest. Can the page show one total that includes those charges from the start, or do they turn up at the last step?

This is a US rule, it isn't legal advice, and how it applies to your own inn is a question for your adviser. Outside the US, check with your own regulator. The test is still worth running, because a surprise at the last step loses bookings anywhere.

Two to five rooms, a larger inn, or cottages too

Two to five rooms. You're the owner, the cook and the reception desk. Little Hotelier is pitched at small properties, and ReservationKey and Beds24 keep the focus on bookings, channels and guest messages. Sirvoy is worth a look here too, although it calls itself a hotel system.

A larger inn. When you've got staff, a front desk and more going on in the back office, look at WebRezPro, which names inns in its own description, and ThinkReservations or Cloudbeds, which come from hotel and hospitality work. For more in that direction, see my guide to hotel management software.

An inn with cottages. Mixed properties need rooms and whole-unit lets on one calendar. eviivo describes a multi-property calendar, and Lodgify comes from short-term rentals. If the cottages are the bigger part of your business, my list of short-term rental software goes further.

Breakfast, room types and guest notes

Several of these tools are built for hotels or rentals, so don't assume the small-inn details are there. Use your trial or demo to try these:

  • Breakfast. Can you see who's in tomorrow and what they've told you about their breakfast, on one screen you could read at seven in the morning?
  • Room types. If every room's different, can each one be sold as itself rather than as a category of identical rooms?
  • Guest notes. Does an allergy, an anniversary or a late arrival stay with the guest's record and come back when they return?
  • Calendar sync. Take a booking on an outside booking site and time how long it takes to close that room on your own page.
  • Your own phone. Can you do all of this from your phone while you're stripping beds?

None of that shows up in a feature list, and all of it shows up in your week.

Bed and breakfast systems, one by one

Beds24

Best for: Hosts managing bookings, listings, calendars, payments and guest messages in one place; its site says it's a channel manager partner with leading online travel agencies.

Cloudbeds

Best for: Larger inns wanting bookings, guest interactions and revenue decisions in one hospitality system; built for lodging more widely, so test how it treats a small house.

eviivo

Best for: Owners with more than one property; its site describes a multi-property calendar that updates all channels and includes a direct booking engine.

Little Hotelier

Best for: Small properties that want bookings and property control in a single system; its site says it's powered by SiteMinder.

Lodgify

Best for: Mixed inn and cottage owners, since it's short-term rental software for managing reservations, syncing calendars and growing direct bookings.

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

ReservationKey

Best for: Innkeepers mainly after a reservation system for bookings, payments, channels and guest messages; its site says it's been trusted since 2007 and promises no commissions.

Sirvoy

Best for: Small properties happy with hotel-style software, as it presents itself as a hotel management system and booking system in one.

ThinkReservations

Best for: Bigger inns running reservations, operations and guest experience from one hotel system; its site lists onboarding services alongside the software.

WebRezPro

Best for: Independent inns needing a cloud system from front desk to back office; its site lists a commission-free booking engine and guest self check-in.

My advice for innkeepers

Don't buy hotel software because it looks more serious. A small inn pays for every extra screen in training and setup time, and most of those screens will never be opened. Start with the group that matches your size, try two systems, and run a real week of bookings through each one, including a cancellation and a guest who changes their dates.

Treat the booking page as the deciding test, because it's the only part of the software your guests ever see. If you only want a booking tool and don't need to run the whole property, my guide to booking software is a good second read.

Frequently asked questions

What is bed and breakfast software?

It's booking and property software for small inns. It usually covers reservations, a calendar that syncs with booking sites, payments and guest messages.

Do I need a channel manager for a small B&B?

If you take bookings from outside booking sites as well as your own page, you need your calendar to stay in sync, because a double booking in a small house has nowhere to go. Several tools here include channel management.

Is hotel software fine for a bed and breakfast?

It can be, but test the small-inn details. Check breakfast notes, individual room types and how much setup it needs before you commit.

Does the FTC rule on hidden fees apply to inns?

The US rule's definitions name an inn under short-term lodging. How it applies to your business is a question for your adviser, and it doesn't cover other countries. Test whether your booking page can show one total including mandatory charges.

Can I run a B&B with cottages on one system?

Yes, if the calendar handles both rooms and whole units. Ask to see both on one screen during the demo, and make a test booking of each.

How long should I trial a system for?

Long enough to run a real week of bookings, including a cancellation and a date change. Check on each vendor's own page what's on offer, as it changes.
