Airtable vs Notion: Database or Workspace for Your Business?

Airtable suits businesses whose work lives in structured data, such as content calendars, inventories and client trackers, and its free plan allows up to 5 editors. Notion suits people who want docs, wikis and light databases in one workspace, and its free plan is unlimited for one person but limited once two or more people join. Pick by whether your work starts as a table or as a page.

Airtable and Notion overlap more than they used to, since both now have databases, forms and AI. They still start from opposite ends. Airtable is a database first, with views and apps built on top. Notion is a page first, where a database is one type of block among many. I read both vendors' plan pages, plus Airtable's Help Center, so the limits below are theirs.

What Airtable is built to do

Airtable looks like a spreadsheet but behaves like a database. Each base holds linked tables, and the same records can show up as a grid, a calendar, a form or an interface your team uses without touching the raw data. The free plan is described by Airtable as being for "individual users, very small teams, or those with lightweight needs".

  • Free: 1,000 records per base, 1GB of attachments per base, 100 automation runs and 1,000 API calls per workspace each month.
  • Up to 5 people can edit on free, with unlimited read-only collaborators.
  • Team adds 50,000 records per base, Timeline and Gantt views, extensions and Interface Designer.

What Notion is built to do

Notion is a workspace of pages. A page can be a meeting note, a company wiki, a project tracker or a database with subtasks, dependencies and custom properties. On the free plan you get unlimited pages and blocks if you're working alone, Notion Calendar, basic forms and sites you can publish to the web, plus a trial of Notion AI.

Once two or more members share a free workspace, Notion limits blocks. Plus removes that limit, lifts the 5 MB file cap and adds custom database automations and 30 days of page history.

What happens when you hit the limit

This is the part people don't check until it bites. Airtable's plans FAQ says that if you reach your record or attachment limit, your bases keep working and your data is never removed, but you can't add more records or attachments until you upgrade. For a growing content calendar or product list, 1,000 records per base comes round faster than you'd think.

Notion's free limit works differently. A solo user doesn't hit a block limit at all, but invite a second member and the free workspace becomes a trial of team use. So Airtable's ceiling is about how much data you hold, while Notion's is about how many people work in it.

Which business suits which

Airtable fits businesses that run on records: inventories, editorial calendars, applicant trackers, lead lists. If your team already lives in spreadsheets that keep breaking, it's the natural next step. My guide to knowledge base software covers the other side, if documentation matters more than data.

Notion fits solo founders and small teams who want notes, plans, docs and simple trackers in one place. If you're new to it, start with how to make a table in Notion, because that's where its database side begins.

Want AI doing the heavy lifting in your marketing?

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

My advice: look at what you open every morning

If the first thing you open each day is a list of things with columns, like orders, posts or candidates, that's Airtable's home ground. If it's a page of notes, plans and links, that's Notion's. Plenty of businesses end up using both, with Notion as the wiki and Airtable as the operational database, and that's a perfectly sensible setup.

Do you make database, docs or workspace software? Tool makers can ask to be considered for a featured place in comparisons like this one.

Frequently asked questions

Is Airtable free?

Yes. Airtable's Free plan includes 1,000 records per base, up to 5 editors, 100 automation runs per workspace a month and 1GB of attachments per base.

Is Notion free?

Yes. Notion's Free plan is unlimited for individuals, with uploads up to 5 MB, 7 days of page history and a trial of Notion AI. Blocks are limited for workspaces with 2 or more members.

What happens if I go over Airtable's free record limit?

Airtable says your bases keep working and your data is never removed, but you can't add more records or attachments until you upgrade.

Can Notion replace Airtable?

For light trackers, often yes, since Notion's free plan includes databases with custom properties. For large, linked datasets with heavy automation, Airtable is built for that job.
