Where to Get a Free User Persona Template (2026): HubSpot, Xtensio and Miro

The short version: the three best places to get a free user persona template are HubSpot's Make My Persona tool, Xtensio and Miro. HubSpot walks you through building a buyer persona and exports it as a PDF, Xtensio gives you a ready layout on its free plan, and Miro puts a persona template on a shared whiteboard. Each one caps how many personas you can keep, so check that first.

I've seen plenty of persona documents that look lovely and change nothing. The template isn't the hard part. The hard part is filling it with what your customers say and keeping it somewhere your team will open again. So here's where to get a free user persona template, what each one limits, and how I'd fill it in so it earns its place.

Three persona builders worth a look

In no particular order:

  • HubSpot: best for a guided buyer persona you can export as a PDF or share as a link. HubSpot says Make My Persona is completely free, with no subscription and no credit card required.
  • Miro: best for building a persona together on a whiteboard, with prompts for goals, behaviours, motivations and challenges.
  • Xtensio: best for a branded persona you can deliver as a live link, PDF or PNG, made by hand or with AI.

The save limit that should decide your tool

Every free route here puts a ceiling on you, and it's a different ceiling each time. HubSpot says its tool saves up to 3 personas at a time, and to add a new one you delete an existing persona first. HubSpot also says there's no limit on how many you can create, so the cap is on what you keep, not on what you make.

Xtensio's free plan gives you 10 deliverables to start, along with unlimited PDF and image exports, live link sharing, every template and 200 AI credits, with no credit card needed. Miro's free plan gives you 3 editable boards, and Miro says you can create and share unlimited boards on top of those.

So before you put an afternoon of work into one tool, count how many personas you need to keep live. If you sell to two kinds of customer, any of the three will do. If you've got five segments and a team who all want to edit them, you'll hit a ceiling fast, and moving a finished persona from one tool to another is a chore nobody enjoys.

The questions a good persona template asks

The fields vary a little between tools, but the good ones cover the same ground. Xtensio structures its template around demographics, pain points, responsibilities, preferred channels and decision drivers. Miro's prompts ask about a person's actions, motivations, pain points and values, and the context they find themselves in.

  • Who they are: the basic demographics, plus their role and what they're responsible for.
  • What they want: their goals and the motivation behind them.
  • What gets in the way: pain points and challenges, in their own words wherever you can.
  • Where you'll find them: the channels they prefer and the situation they're in when they need you.
  • How they decide: the drivers that tip them into buying, and the values sitting behind those.

If a template doesn't ask about decision drivers, add the box yourself. It's the field that turns a persona from a nice description into something your marketing and sales can use on Monday morning.

Building your first persona, step by step

  1. Decide why you're building it. Miro suggests starting with a team brainstorm about the purpose of the persona, and it's worth doing before anyone opens a template.
  2. Gather what customers have told you: sales emails, support tickets, reviews and the questions people ask on calls.
  3. Pick one tool based on how many personas you'll keep live, using the limits above.
  4. Fill in the fields from your evidence first, and mark anything that's a guess so you can check it later.
  5. Give the persona a name and a one-line summary your team will remember.
  6. Share it where people work. HubSpot exports a PDF or a link, Xtensio delivers a live link, PDF or PNG, and Miro keeps it on a board your team can open.
  7. Review it whenever your offer or your customers change, and delete any persona nobody uses.

Should AI fill in your persona?

Xtensio says you can create personas manually or with AI, and its free plan includes AI credits to start. That's handy for getting a first draft on the page quickly. My view is simple: let AI help with the layout and the wording, but don't let it invent your customer. A persona built from guesses looks just as polished as one built from evidence, and that's exactly the danger.

Where AI earns its keep is in sorting the raw material. If you've got a pile of customer emails and call notes, it can help you spot the phrases that keep coming up. I've written about how to mine emails, tickets and forums for buyer language, which is the best input any persona template can get.

Work with me

Want AI doing the heavy lifting in your marketing?

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

Putting the persona to work

A persona only pays off when it changes what you write and who you write it for. Once yours is done, use it to check every headline, email and offer: would this person care, and would they understand it straight away? Xtensio says it tracks engagement so you can see which parts of a shared persona get read, which is a useful nudge if your team skims. For the research side in more depth, my guide on how to create better buyer personas that drive conversions walks you through it.

If you want help turning customer insight into content and campaigns that keep running without constant hand-holding, that's the kind of work I do. I run AI training and workshops for teams, and help businesses with AI enablement and workflow automation, so the busywork runs itself and people get time back. Most of that work is with SaaS marketing teams and small businesses. Here's how we can work together.

Which persona template I'd pick

If you want a guided start and only need a couple of personas, use HubSpot's Make My Persona. If you want something branded to send to a client or a team, go with Xtensio. If your team likes building things together in a workshop, Miro is the natural home. Whichever you pick, count your personas first, fill the template from real customer words, and keep it short enough that people read it.
