Scheduling software for therapists comes in two kinds: a standalone online booking tool that fills your calendar, or a practice system where scheduling sits beside notes, billing and reminders. As of Oct 2026, solo therapists can start with either, and the right one depends on how much of the practice you want in one place. Ten tools follow, unranked.
Therapy bookings aren't like haircut bookings. Sessions repeat weekly, new clients need an intake form before the first appointment, a missed session is an hour you can't resell, and everything you store about a client is sensitive. That changes what good scheduling software looks like for a private practice.
The ten tools below are listed alphabetically and in no particular order. Each description comes from the tool's own website, as of Oct 2026. Some are booking tools any business can use; others are practice systems built for health and mental health practitioners.

Booking page or full practice system?
The standalone schedulers do one job well: getting clients into your calendar. Acuity Scheduling says you can "Collect client info with custom intake forms, prevent double-bookings with calendar sync". Setmore promises that once you share your booking page, "every new appointment lands in your calendar". SimplyBook.me says to "Keep clients informed with WhatsApp, SMS, and email notifications", and Square Appointments will "Give customers a way to book your services" around the clock with an online booking site.
The practice systems treat scheduling as one part of running the practice. SimplePractice says to "Streamline your scheduling, billing, documentation, and more". Cliniko says it will help you "manage your schedule, treatment records, invoices, payments", and Sessions Health's page is titled Mental Health EHR for Therapists. TherapyAppointment lists "Automated reminders, customizable calendar settings, and view-only third party calendar sync".
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
That last detail's worth noticing. View-only sync means your outside calendar can show your sessions, while other practice systems on this list name both one-way and two-way calendar sync. If you run your whole life from one personal calendar, check which kind a tool offers before you commit, because it decides whether a dentist appointment in your own diary blocks a client slot.
What to check before clients book online
- Intake forms. Can new clients fill in your forms before the first session, so you're not doing it in the room?
- Reminders. Email, text or WhatsApp reminders cut missed sessions. Check which channels each tool sends.
- Calendar sync. One-way, two-way or view-only sync behave very differently with your personal calendar.
- Video sessions. If you work online, look for tools that add a Zoom or Google Meet link to each appointment.
- Notes and billing. If you want session notes and invoices in the same place as bookings, you'll need a practice system, not a booking page.
- Client health data. Ask any vendor how it handles client health information where you practise, before you move your client list over.
If you're weighing up one of the best-known booking tools, my list of alternatives to Acuity compares it with other options. For a solo practice, my guide to booking and scheduling software for solo operators goes deeper on keeping it simple.
Picking your setup in five steps
- Decide whether you only need online booking, or booking plus notes, billing and reminders.
- List the forms a new client must complete before their first session.
- Check how each tool syncs with the calendar you already use.
- Ask each vendor how it stores and protects client health information where you practise.
- Try your top two with a few test bookings of your own before you send the link to a single client.
My step-by-step guide on how to choose online scheduling tools for client bookings walks through that last test in more detail.

My advice for solo and small practices
Start smaller than you think. If you're a solo therapist and your notes and invoicing already work, a standalone booking tool with intake forms and reminders will get clients booking without moving your whole practice. If you're juggling separate tools for notes, billing and bookings, a practice system that carries all three is worth the move, especially one built for mental health. Either way, ask the data question before anything else and test the client side yourself, because a booking page that confuses a nervous new client is a session you never get.

Frequently asked questions
What is the best scheduling software for therapists?
It depends on what you need. A standalone booking tool suits therapists who only want online booking and reminders, while a practice system suits those who want scheduling, notes and billing together.
Do therapists need an EHR or just a booking tool?
If your notes and billing already work, a booking tool may be enough. If you want everything in one place, a practice system or EHR that includes scheduling makes more sense.
Can clients fill in intake forms when they book?
Several tools on this list describe intake forms, including custom intake forms and automated intake, so new clients can complete them before the first session.
How do I reduce missed therapy sessions?
Automated reminders are the main tool. Depending on the software, reminders go out by email, text or WhatsApp before each appointment.
Is my clients' health information safe in scheduling software?
Ask each vendor directly how it handles client health information where you practise, and read its own security pages before you move client records over.
Can I start free?
Some tools on this list name a free start or free trial on their own pages. Check each tool's own site for what the free option includes.
