HubSpot Payments: Who Can Use It, Payouts, Refunds and Disputes

HubSpot payments is HubSpot's built-in payment processing, used to collect one-time and recurring payments through invoices, payment links, quotes and subscriptions. As of October 2026 it's only for businesses located and operating in the United States, the United Kingdom and Canada, with a bank account there and a paid version of HubSpot.

The catch most people find later is what happens on a bad day. Payouts arrive daily, minus refunds and chargebacks, and if a day's refunds or chargebacks are bigger than that day's payout, HubSpot debits your bank account for the difference. You'll get an email first saying how much. A refund is taken from future payouts or debited from your bank, and issuing one doesn't stop an active subscription, which keeps billing as scheduled.

Who can use HubSpot payments

Eligibility is reviewed case by case, and you may not qualify if you're in a high-risk industry or if Stripe, which powers HubSpot payments, doesn't accept your type of business. Each HubSpot account can only have one instance, so if you use Brands, they all share it. It's designed for non-physical goods like software, services, events and courses, because HubSpot doesn't calculate shipping. It isn't supported in sandbox accounts. If you're outside those three countries, HubSpot points you to connecting your own Stripe account instead, which I cover in my guide to Stripe payment links.

To apply you'll need your country, industry, approximate sales volume, business type and structure, government tax IDs for all business owners, bank account information and an authorised business representative with significant control over the business. HubSpot's risk assessment and underwriting team reviews applications within two to three business days.

Applying, step by step

  1. In HubSpot, go to Revenue, then Payments, and click Set up payments.
  2. Under Choose a payment processor, select HubSpot payments and click Next.
  3. Choose the country where your company is located and click Save and continue.
  4. Select your business type. In the U.K. or Canada it can't be changed afterwards, and in the U.S. changing it means restarting the enrolment.
  5. Fill in each section of the application. U.S. and Canadian businesses add bank details now, while U.K. businesses add them after approval.
  6. At Review & finish, agree to the Terms & Conditions and click Submit. If your identity can't be verified, you'll be sent to Stripe to add more information.

When payouts land

Payment methodTime to receive the buyer's payment, as of October 2026
CardTwo business days
ACHUp to four business days
BACSUp to five business days
PADsUp to five business days
SEPAUp to fourteen business days

Funds only become available once the buyer's payment has been received, and then the deposit can take a little longer depending on your bank. If you connect Stripe instead of using HubSpot payments, payout information doesn't show in HubSpot at all; you manage it in Stripe.

Buyers can pay by credit or debit card, Apple Pay, Google Pay and bank debits such as ACH, SEPA, PADs and BACS, with buy now, pay later in beta. Apple Pay isn't available in the payments module or in a checkout embedded on your website.

Refunds and receipts

You can send receipts and issue full or partial refunds from the payments index page, with Super Admin or Manage payments and subscriptions permissions. A payment can only be refunded if it's fully processed, went through HubSpot payments or Stripe, and wasn't manually recorded; manual payments have to be refunded with the buyer outside HubSpot. ACH direct debit refunds must be started within 180 days of the payment, and bank debit refunds can take 5 to 10 business days to process. You can customise refund reasons, and they're included in exports.

Handling a disputed payment

If a buyer disputes a payment, it shows on the Disputes tab of the payments index page with the reason, deadline and status. You'll get an email when a dispute is opened, won or lost, and only Super Admins can respond.

To fight it, open the payment, click Counter dispute under Dispute details, answer the questions, add any details and upload your evidence. The status moves from Disputed (action required) to Disputed (awaiting decision) while the bank decides, and then to won or lost. If you'd rather not contest it, click Accept dispute to close it.

Storing a payment method for later

A Super Admin can turn on a setting so buyers can save a payment method at checkout, then charge it later through contracts, invoices and subscriptions. Only card and ACH details can be stored; BACS and SEPA aren't supported. The agreement the buyer accepts only covers the original billing terms, so if you change the schedule or make one-off charges, getting their authorisation is your responsibility. HubSpot suggests putting a refund or cancellation policy in your terms if you plan unscheduled charges.

My verdict on HubSpot payments

I'd use HubSpot payments if you're a U.S., U.K. or Canadian business selling services or software and you want quotes, invoices and payments tied to the same contact and deal without another tool. I'd skip it if you sell physical goods that need shipping worked out, or if your cash flow can't absorb a day when refunds are debited from your bank. If you just need a quick way to take a payment, compare it with PayPal payment links first.

Getting paid is the end of a chain of quotes, invoices and reminders that a small team can automate from start to finish. I run AI training and workshops for teams, and help businesses with AI enablement and workflow automation, so the busywork runs itself and people get time back. Most of that work is with SaaS marketing teams and small businesses. Here's how we can work together.
