Wix Invoices is the payment request tool in your Wix dashboard: you create an invoice, email it or share a link, and your client pays online through the payment method you've connected. It isn't an accounting service, and it isn't where you'll find the bills for your own Wix plan or domain, which live on your Billing History page.
Here's the catch most people find out too late. Every invoice gets a unique, consecutive number, and Wix won't let you create a new invoice with a number you've used before, including the number of an invoice you've deleted. You can't reset the numbering either. So if you're moving from another tool, set your starting number before you send the first one.
What you need before your first invoice
To take payment through an invoice, you need a payment method set up on the site. If you already set one up for Wix Stores, Wix Bookings or Wix Events, you don't need to do it again. If not, go to Invoices in your dashboard, open More Actions at the top right and choose Accept payments. If you're still choosing a processor, my guide to Wix Payments covers the options.
The first time you open Invoices, Wix asks for your business info: business name, business email address and your logo. The email is the only required field. This info appears on every invoice you send. As of October 2026, that business info and logo are the only design changes you can make; there's no full template editor.
How to create and send a Wix invoice
- Go to Invoices in your site's dashboard and select Create New, then Invoice. Pick Invoice & Order instead if you sell through Wix Stores and want an order created automatically when it's paid.
- Add the issue date, due date, the customer from your contact list and an invoice title that says what the payment is for.
- Add each product or service, with quantity and price per unit. Use Add New for an item you haven't sold before.
- Add tax if it applies, and choose whether tax is included in the item price or added on top.
- Optionally add a discount, request a deposit up front, and fill in your notes and terms.
- Preview it, then either save and close to send later, or select Send Invoice, check the email your client will get, and send.
You can also create invoices from the Wix app on your phone, and you can turn an accepted price quote into an invoice instead of starting from scratch. Only one customer can go on each invoice. To get it to someone else, download the PDF or send them the invoice link.
What each invoice status tells you
| Status | What it means, as of October 2026 |
|---|---|
| Draft | Saved but not sent to your customer |
| Sent | Sent; your customer can view and print it |
| Viewed | An icon that shows your customer opened it |
| Partial | Partly paid |
| In Process | Your customer started paying but it isn't confirmed; it can take up to 4 hours to change |
| Paid | Paid in full online, or you marked it paid |
| Overdue | Unpaid and past the due date |
| Void | Cancelled; your customer still sees it, with a Void stamp |
While an invoice is In Process, you can only view or print it. You can edit an invoice as long as it isn't Paid or Void, and if you raise or lower the total, it can't drop below what your client has already paid.
The actions you can't take back
Three of the management actions are permanent, and Wix's help says so plainly. Voiding a paid or sent invoice can't be undone, and voiding a paid one takes the amount out of your paid overview and revenue report. Deleting removes the invoice from your list, you can't restore it, and your client can no longer view it. You can delete invoices in Sent, Draft or Void status; a paid one has to be voided first.
The third one surprises people. If you create a share link for a draft invoice, it's marked as Sent, and that can't be undone either. And if you change a customer's email address on a sent invoice, it goes back to Draft, a new link is created and the old link stops working. You also can't issue an invoice that shows a refund, as of October 2026.
Getting paid and recording payments
Your client pays from the email or link. You can also charge their card from the invoice yourself, but only for the full invoice amount or the deposit amount, nothing in between. If they pay by cash, bank transfer or cheque, use Record payment. You must record the full amount for the invoice to show as Paid, and partial amounts can only be recorded for offline payments.
If a client says the invoice never arrived, Wix suggests they check spam, whitelist [email protected] and your business email, or you send the link directly. If you can't create an invoice at all, check your business info, your numbering and that your site's plan allows accepting payments.
Automations, unpaid orders and receipts
Wix Invoices works with Wix Automations. The invoice triggers are invoice sent, invoice paid, invoice overdue, recurring payment starts and recurring payment cancelled. A handy one is an overdue reminder, and you can set it to run before the trigger, for example a few days before the due date. One limit: the overdue trigger doesn't work retroactively, only on invoices created while the automation is active.
You can also raise an invoice for an unpaid order from Wix Stores, Wix Bookings, Restaurants Orders or Donations: open the order, choose Collect Payment, then Charge with invoice. If you turn on automatic invoices or receipts for paid orders, pick one or the other. Wix says enabling both can show a single sale twice in your reports. An order paid in instalments gets one invoice but a receipt for each payment.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
Wix Studio quotes, recurring invoices and EU rules
If you work from a Wix Studio workspace, invoices live under CRM & Client Billing. Studio adds price quotes with an expiry date and payment terms, which you can convert to an invoice by hand or automatically when the client accepts. Accepted quotes can't be edited. Recurring invoices bill weekly, bi-weekly, monthly or yearly, end after 3, 6 or 12 occurrences, unlimited or a custom number, and need a payment method that supports recurring payments.
For EU e-invoicing, Wix is clear that Invoices isn't an e-invoicing gateway and doesn't connect to PEPPOL or national tax systems. You export a CSV, up to 5,000 invoices at a time, and submit it through your own tools, or use a third-party app from the Wix App Market. Bulk PDF downloads cap at 50 invoices.
Chasing invoices by hand is exactly the kind of job I'd hand to an automation. I run AI training and workshops for teams, and help businesses with AI enablement and workflow automation, so the busywork runs itself and people get time back. Most of that work is with SaaS marketing teams and small businesses. Here's how we can work together.
My verdict on Wix Invoices
I'd use Wix Invoices if you already run your business on Wix and want clients to pay a link without another tool, and I'd set up the overdue reminder on day one. Skip it if it would be your only record and your accountant needs a full accounting system or you're in an EU country with an e-invoicing mandate, because you'll be exporting and submitting elsewhere anyway. Either way, set your starting number and check the draft before you share a link.
Frequently asked questions
Where do I find invoices for my own Wix plan?
Not in Wix Invoices. Invoices for Wix services such as Premium plans and domains are on your Billing History page.
Can I reset invoice numbers in Wix Invoices?
No. You can edit the starting number, but you can't reset it, and you can't reuse a number that's been used before, even on a deleted invoice.
Can I edit a Wix invoice after sending it?
Yes, as long as it hasn't been marked as Paid or Void.
Can I delete a paid Wix invoice?
Not directly. You have to change it to Void first, then delete it, and neither step can be undone.
Does Wix Invoices send e-invoices to PEPPOL?
No. Wix Invoices doesn't connect to PEPPOL or national tax systems. You export your invoices and submit them with your own tools or a third-party app.
