Notion automations run one or more actions whenever a set change happens in a database, such as a new page being added or a property being edited. You build them from the lightning bolt at the top of a database, and as of October 2026 they're on paid plans, while Free Plan users can only create Slack notification automations.
Here's the catch. A database automation can't be triggered by another automation. A recurring template won't set one off, and neither will an automation that creates a page in another database. A person clicking a button that creates a page will, though, so buttons are the way to chain things together.
Who can build Notion automations
| Who | What they can do, as of October 2026 |
|---|---|
| Paid plan users with full access to the database | Create, edit and delete database automations |
| Free Plan users | Create Slack notification automations only, and use automations that come in templates without editing them |
| Guests, even with full access | Can't create database automations |
| Slack automations | Only the person who created them can edit them |
| Send mail automations | Only the person who linked their Gmail account can edit them |
There's an oddity on Notion's own help page worth knowing about. It says Free Plan users can create Slack notification automations, but it also lists the Send Slack notification action as a Plus, Business and Enterprise feature. If you're on Free and Slack alerts matter, test it in your workspace before you plan around it, and check what each Notion plan includes.
How to create a database automation
- Click the lightning bolt at the top of a database, then New automation.
- Give the automation a name if you'd like.
- Select New trigger, then Add trigger if you need more than one.
- Select New action, then Add action for more.
- Choose whether it runs on the whole database or on one view, then select Create.
That choice of database or view matters. If any filters in the view change later, the automation follows the new list of pages.
The three trigger types
| Trigger | When it fires |
|---|---|
| Page added | A new page is added to the database |
| Property edited | A chosen property is edited. For name, person, number, text, select and relation properties you can pick which kind of edit counts |
| Every day, week, month and so on | On a schedule, with a time, start and end date and timezone you set |
You can set an automation to run When any of these occur or When all of these occur. If you use several is edited triggers that must all happen, they need to land within a window of about three seconds, or the automation may not fire. Notion suggests separate automations for each trigger, or a more specific trigger such as is set to or contains.
The recurring trigger has two limits. It can't be paired with another type of trigger, and it works with every action except Edit property.
Every action you can add
| Action | What it does |
|---|---|
| Edit property | Changes properties on pages in the same database, and can add or remove single values in multi-select, people and relation properties |
| Add page to | Adds a page to any database you choose and sets its properties |
| Edit pages in | Edits pages and properties in a database you choose |
| Send notification to | Notifies up to 20 people in your workspace, or the people in a People property |
| Send mail to | Sends an email from your Gmail account |
| Send webhook | Sends an HTTP POST request to a URL you set |
| Send Slack notification to | Posts a custom message to the Slack channel you pick |
| Define variables | Builds a custom variable from mentions and formulas to use in later actions |
Any action that adds or edits pages needs you to have edit permission on them, and the pages can't be Private or Shared. Automations also won't act on any page whose access is restricted.
Sending email from an automation
Send mail to needs a Gmail account. The To field can be a person property such as Page creator, someone in your workspace, or any external email address. You can add CC and BCC, a display name and a separate reply-to person, and use @ or the formula symbol in the subject and message to pull in properties, dates or page links. Emails can take up to two minutes to arrive, and Gmail's own daily and recipient limits still apply.
The sub-task trick with variables
Notion's own example shows what variables are good for: marking every sub-task complete when the parent task is.
- Set the trigger to Status set to Complete.
- Add the action Define variables and open the formula field below Variable 1.
- Select Trigger page, type a full stop after it, then choose Sub-item, so it reads Trigger page.Sub-item, and save.
- Add the action Edit pages in, and pick Variable 1 as the database.
- Set the Status property to Complete and select Save.
Mentions and formulas only work in actions, not triggers, and formulas can't be used in Slack notifications.

Why a Notion automation stops firing
| Cause | Fix |
|---|---|
| It's meant to be set off by another automation | Use a non-automated trigger, or a button |
| The page no longer matches the view's filters after the edit | Run it on a view that includes every page it needs |
| A date calculation hits an empty field | Run it on a filtered view where that field isn't empty |
| The database is locked | Turn the lock off on the database |
| It hit an error after working before | Fix it, then switch it back on by hand |
That last one catches people out. A broken automation is paused, and fixing it doesn't restart it. Open the database, select the three dots, then Automations, hover over the automation and toggle on Active. Notion tells you about some errors, such as a missing property or a Gmail or Slack connection that needs signing in again, but you may not be told when a formula or webhook fails. The same menu is where you edit, pause or delete any automation.

My verdict on Notion automations
I'd start with one Page added trigger and one action, check it fires, then build from there. Use specific triggers instead of stacking is edited ones, and when you need one step to set off another, put a button in the middle. If you'd rather have something that works out what to do by itself instead of following set rules, that's a different tool, and my guide to Notion Agents covers it.
If you want help mapping your team's repetitive Notion tasks into automations that run without anyone touching them, that's the kind of work I do. I run AI training and workshops for teams, and help businesses with AI enablement, AI automation and GEO, which is about getting your business seen and cited in AI answers. Most of that work is with SaaS marketing teams and small businesses. Here's how we can work together.
Frequently asked questions
Are Notion automations free?
As of October 2026, database automations are on paid plans. Free Plan users can create Slack notification automations, but no other kinds, and can use automations in templates without editing them.
Can one Notion automation trigger another?
No. Database automations can't be triggered by other automations, but a button that creates a page will trigger one.
Why did my Notion automation stop working?
If an automation that worked before hits an error, Notion pauses it. Fix the problem, then toggle it back to Active from the Automations menu.
Can guests create Notion automations?
No. Guests can't create database automations, even with full access to the database.
Can a Notion automation send an email?
Yes. The Send mail to action sends an email from a linked Gmail account, including to external addresses.
