Estate agent software is the CRM a UK sales or lettings agency runs on: applicants, vendors, landlords, viewings, offers, tenancies and client accounts in one place, usually with portal feeds and a website. The biggest choice is whether sales and lettings share one database. Ten UK-focused tools follow in no particular order.
Most UK agencies don't run one business, they run two: sales and lettings, with property management and client accounts on top. The software you choose decides whether those sides share one record or work against each other.
The ten tools below are listed alphabetically and in no particular order, and every description comes from each vendor's own UK website, read as of Oct 2026. If winning more instructions is the bigger worry, my guide to lead generation for property businesses sits nicely alongside this one.
UK estate agent CRMs side by side
I checked the free plan column on each vendor's own website, as of Oct 2026. Yes means the page names a free plan, a free version or an open source edition. Trial only means the page names a time-limited free trial. Not stated means the page I read named neither, so check the vendor's own site before you sign up.

One database or two: the question behind most CRM switches
Here's the thing I'd want every agency owner to know before a demo. Acquaint CRM's own page says having sales and lettings on a single database is the single biggest reason its long-term customers stay. That tells you where the pain is: when sales and lettings live in separate systems, the same landlord, vendor or applicant gets entered twice and drifts out of date.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
Several other vendors on this list make the same promise in their own words, from an all-in-one CRM for sales and lettings agents to sales, lettings, management and accounting all in one place. Ask each one to show you a landlord who's also selling, on one screen.
From single branch to franchise
These systems aren't all aimed at the same size of agency. Expert Agent's page says its cloud software is used in over 2,300 estate agent and letting agency branches, while Dezrez splits its solutions into startups, single branch, multi-branch, enterprise agencies and franchises. Tell each vendor your branch count up front and ask to speak to a customer of the same size.
Don't forget what sits on top of the CRM, either. Several vendors here also build agency websites and client portals, so one contract may cover both. If you're also dressing empty listings for the portals, my roundup of virtual staging software shows how agents do it.
What UK agencies should ask in a CRM demo
- Portals. How do listings reach the property portals, and how do portal leads turn into booked viewings?
- Client accounts. Can it handle rent, landlord statements and client money inside the system, or does that need another tool?
- Compliance and GDPR. Ask where your data is held and how records and consent are handled. One vendor here lists compliance and GDPR as a feature in its own right.
- Integrations. An open API matters if you already use other PropTech, and two vendors here name one on their own pages.
- Switching. Ask who moves your data across and how long the old system stays live. Some vendors have a dedicated page for agencies switching from another CRM.

My plain advice for UK agents choosing a CRM
Choose on the one-database question first, then portals and client accounts, then everything else. Book demos with two or three vendors, bring a real landlord and a real sales chain, and count how many screens it takes to get through them. Pick the one where your team does the least re-typing.
Once the CRM's sorted, your emails to applicants and landlords are the next easy win. My guide to email marketing for property businesses covers the tools that plug into it.

Frequently asked questions
What is estate agent software?
It's the CRM an estate or letting agency runs on. It holds applicants, vendors, landlords and tenants, books viewings, tracks offers and sales progression, and often handles portal feeds, websites and client accounts.
What's the difference between sales and lettings software?
Sales tools focus on valuations, viewings, offers and sales progression. Lettings tools add tenancies, maintenance, compliance, renewals and rent. Many UK systems now cover both on one database.
Is there free estate agent software?
None of the vendor pages here named a free plan when I read them. One offers a 30 day free trial, so check the free plan column and ask each vendor about trials.
Does estate agent software connect to the property portals?
Most UK systems here mention portal integration, portal uploading or real-time portal feeds, but ask each vendor which portals they support before you sign.
How hard is it to switch estate agent CRM?
That depends on how clean your data is. Some vendors here have dedicated switching pages, so ask who migrates your records, how long it takes and how long your old system stays live.
