Microsoft Bookings is the booking app inside Microsoft 365: a web-based booking calendar that works with Outlook and sends automated emails so customers are less likely to miss appointments. It comes with Business Basic, Standard and Premium among other plans, it isn't sold as a standalone app, and as of October 2026 it can't take payments.
Here's the catch. The Bookings FAQ says there's no payment support, so you can't link a payment option to a booking. And every Bookings calendar you create quietly makes a new mailbox in Exchange and a new entry in Microsoft Entra ID, which shows up as an unlicensed user. Deleting a calendar later isn't a button in Bookings. You delete that mailbox in Exchange.

One requirement trips people up: Outlook on the web has to be enabled for anyone to use Bookings. If it's switched off for a user, Bookings won't work for them either.
Personal Bookings or shared Bookings
There are two flavours. Personal Bookings is for one person sharing their own availability and setting meeting types, much like a personal booking link. Shared Bookings is the team version: you invite team members and build a booking page with services, staff, schedules and business hours.
For a small service business with a few people taking appointments, the shared version is the one you want with services, staff, schedules and business hours on one page. If you're still comparing options for a small team, my guide to the best appointment scheduling apps for small teams lays out the wider choice.
The mailbox behind every calendar
This is what surprises admins most. Bookings stores its data in Exchange Online, using shared mailboxes to hold customer, staff, service and appointment details. That has three knock-on effects.
- Your Exchange compliance policies apply to Bookings data, because that's where it lives.
- Each new calendar adds an unlicensed user entry in Microsoft Entra ID, so your user list grows every time someone tests a new booking page.
- Removing a calendar means deleting the associated mailbox in Exchange, not clicking delete inside Bookings.
If several people are experimenting, those test calendars and mailboxes pile up. That's why I'd agree who creates booking pages before you switch it on for everyone.
Staff, notifications and online meetings
Staff can be added with any email address and still get the confirmation and calendar invite, so a freelancer outside your organisation can take bookings without a licence. Customers only ever see the Bookings calendar you publish. Notifications go to the email used in your Microsoft 365 account.
Appointments can be booked as Teams online meetings, and Skype is still listed as an option. Each one gets a unique link that people can join from a web browser, by phone dial-in or in the app. If you want to see how those links work on their own, here's how to create a Teams meeting link.
What Teams Premium adds to Bookings
Plain Bookings gives you scheduling, appointment management and email notifications. Teams Premium adds Advanced Bookings on top: SMS notifications, queue views and virtual-appointment APIs. The SMS reminders are available in Australia, Canada, the Netherlands, the United Kingdom and the United States, as of October 2026.
Admin controls worth knowing
An admin can turn Bookings off entirely in the admin center. The finer option is an Outlook on the web mailbox policy that limits who can create Bookings calendars. Under that route every user still has a Bookings licence, but only people in the policy, or staff added to a calendar, can get in.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
You can also stop search engines indexing your booking page and restrict the page to people in your organisation, which is handy for internal bookings such as IT help slots or one-to-ones.
Setting up your first booking page
- Open Bookings from the Microsoft 365 app chooser on the web, and check Outlook on the web is enabled for you.
- Create a booking page, then add your services, staff and business hours.
- Choose Teams online meetings if you want a joining link in every invite.
- Decide whether the page should be public, or limited to your organisation and hidden from search engines.
- Share the link, or copy the iFrame code from the Booking page tab into your website.
Is Microsoft Bookings worth using?
If you already pay for Microsoft 365 Business, I'd use it for free consultations, internal slots and any service you don't charge for at the time of booking. It's already included, it sends the Teams link for you, and staff outside your organisation can still take appointments. I'd skip it if you need people to pay when they book, because there's no payment support, or if you run a hybrid or federated setup, because it's cloud-only.
A booking page saves a few emails a week. AI can save your team hours, and that's where I help. I run AI training and workshops for teams, and help businesses with AI enablement, AI automation and GEO, which is about getting your business seen and cited in AI answers. Most of that work is with SaaS marketing teams, telecom companies and small businesses. Here's how we can work together.
