Square Appointments Explained: Free vs Plus vs Premium and What Each Adds

Square Appointments is Square's booking software: one calendar that syncs staff availability, services and appointments in real time, with a free online booking site clients can use 24/7 and card payments built in. You can run it on the Free plan, but the no-show fees, the waitlist and multi-staff booking are listed under Plus, not Free.

That's the bit people miss. Free gives you the booking site, reminders, unlimited calendars and invoicing, which is plenty for a one-person diary. If clients who don't turn up are what's hurting you, the cancellation policy and no-show fee tools sit in the paid tier, so read the plan cards before you build your whole booking flow on Free. Everything here comes from Square's US pages as of October 2026; UK, Australian and Canadian readers will see their own plans and numbers on their local Square site.

What every Square Appointments account includes

Square describes the core as scheduling software that keeps appointments, staff availability and services in one place. On its Appointments page it lists these as the starting tools:

  • A free booking site where clients can book your services around the clock.
  • Unlimited staff schedules, so clients can book any team member at any of your locations.
  • Google Calendar sync, which blocks out your personal events so you don't get double-booked.
  • Resources: you assign rooms, stations or chairs to services, and they're booked along with the appointment.
  • Class bookings, either single sessions or recurring classes.

You set each team member's working hours and the services they offer, and Square books appointments around that availability. The Square Dashboard shows sales as they happen, your most popular services and payment activity, so you're not waiting for an end-of-month report to see how the week went.

Free, Plus or Premium: the tier chooser

Square pitches each plan at a different size of business. This is how the Appointments page lays them out as of October 2026:

PlanWho Square pitches it atWhat the page lists
FreeSolo professionalsOnline booking site, reminders, unlimited calendars, invoicing
Plus (labelled Best value)Growing teamsLower processing rates, cancellation policy and no-show fees, multi-staff booking, waitlist, email and text marketing
PremiumLarge salons with complex staff and booking needsLowest processing rates, 24/7 support, future bookings report, service cost tracking, resource management
Square ProBusinesses processing over $250,000 a yearCustom pricing and processing fees, plus hardware discounts and onboarding on request

Square's pricing page adds one detail on texts. Plus includes the first 500 marketing texts free, then 3 cents per text. Premium includes the first 2,500 free, then 1.5 cents per text. If you plan to send promotions by text to a big client list, that's the line to read.

On processing, Square's Register page lists 2.6% + 15 cents per tap, dip or swipe for in-person card payments on the Free plan. Plus and Premium promise lower and lowest rates. For the full rate story, here's what Square charges per payment.

How Square handles no-shows and late cancellations

This is where the plan you're on matters most. Square's no-show tools work in layers:

  • Cards on file. Save a client's card to hold the appointment, take a prepayment or charge a cancellation fee.
  • No-show policies. You set the policy and the fee yourself, and you can ask for prepayment.
  • A waitlist that fills cancellation gaps automatically. It's listed under Plus.
  • Reminders. Customisable email and SMS messages for confirmations, reminders and easy rescheduling.
  • Square Assistant, Square's AI tool, can write automated appointment messages for clients on your behalf.

Square Messages keeps the texts, emails and transaction history for each client in one thread, which helps when someone swears they never got the reminder.

Taking payment at the appointment

Clients can pay by card, digital wallet, QR code, payment link, Cash App Pay or gift card, in person or online. If you work from a chair or a treatment room with no counter, Tap to Pay on iPhone (iPhone XS or above on the latest iOS) or Tap to Pay on Android turns your phone into the reader. Afterpay lets clients spread the cost while you're paid up front when they make the first purchase.

You can also sell prepaid packages of services, which brings cash in before the work, and ring up retail products in the same transaction as the service, with stock tracked as you go.

Client records, forms and getting found

Each client gets a profile that stores preferences, birthdays, documents, images and files. You can collect forms and contracts during booking, so a consultation form arrives before the client does. To bring new bookings in, Square lists its free Square Go app, where clients discover and book local businesses, and booking straight from your social pages. The booking site takes your logo, brand colours and services, and you can embed it on your website or link it from Google and Instagram.

Switching from another booking tool

Square says getting set up to take bookings and cards only takes a few minutes. The move itself looks like this:

  1. Create a Square account and bulk import your customer list and item list. A CSV file works for an existing client list.
  2. Set up your services and each team member's hours.
  3. Switch on the online booking site and link it from Google, Instagram and your website.
  4. Turn on reminders, your cancellation policy and cards on file.
  5. Add the waitlist if your plan includes it.

Appointment history and future appointments from your old provider are a different job: Square asks you to contact its sales team for that. If you use a separate CRM, Square connects to third-party tools through Square's app directory.

My verdict

Square Appointments makes the most sense if you already take card payments, because the diary, the till and the client notes all live in one place and you're not copying details between apps. If you only need a calendar and reminders, Free does the job and you won't miss much. If no-shows are eating into your week, look at Plus, because that's where the cancellation fees and the waitlist sit. And if you're weighing Square against other till systems, my Square vs Clover comparison is a good next read.
