Microsoft 365 Copilot Business is Microsoft's Copilot add-on for organisations with up to 300 users on eligible Microsoft 365 Business licences. It gives you the same Copilot capabilities as the enterprise version, with purchasing designed for small and medium businesses, on an annual commitment.
Microsoft now calls it Microsoft Copilot Business on its licensing page, though most people still search for the old name. The question that matters isn't what it does but whether your business qualifies, because the answer decides which product, and which price, you're looking at.
Which Microsoft 365 plans qualify
Microsoft's licensing page lists five prerequisite plans. The people you want to give Copilot to need one of these first:
- Microsoft 365 Business Premium
- Microsoft 365 Business Standard
- Microsoft 365 Business Basic
- Microsoft 365 Apps for Business
- Microsoft Teams Essentials
The last one surprises people. A team that only pays for Microsoft Teams Essentials can still add Copilot Business, according to Microsoft's list. What doesn't qualify is any enterprise plan, which is where the confusion starts.
The 300-user cap explained
The cap is 300 licensed users per tenant. Your tenant is your organisation's Microsoft 365 account, so it's the whole company that counts, not one department. Microsoft says organisations with more than 300 users should use the enterprise licensing options instead.
Here's the catch most people miss: size isn't the only test. Copilot Business only attaches to Business-family licences. A 280-person firm on Microsoft 365 E3 is under the user limit but doesn't hold an eligible plan, so it goes the enterprise route, where the add-on is $30.00 per user per month paid yearly, as of October 2026.
Which route fits your business
| Your situation | Route |
|---|---|
| Business Basic, Standard or Premium, up to 300 users | Copilot Business add-on |
| Teams Essentials or Apps for Business only | Copilot Business add-on |
| More than 300 users | Enterprise licensing |
| On Microsoft 365 E3 or E5 | Enterprise add-on |
| Want Copilot and Agent 365 on one licence | Microsoft 365 E7 |
For reference, Microsoft lists Copilot Business at $18.00 per user per month on yearly billing, down from $21.00, or $25.20 on a monthly subscription, as of October 2026.
What Copilot Business includes
- Copilot in Word, Excel, PowerPoint, Outlook and Teams.
- AI chat grounded in your work data, so answers draw on your own files and conversations.
- Pre-built agents for research and data analysis.
- Analytics to measure adoption, usage and business impact.
- Enterprise Data Protection.
The analytics are the part I'd use from day one. Knowing who's using Copilot, and for what, is how you decide whether to renew those seats when the annual commitment comes round. If take-up is slow, my guide to Copilot adoption covers how to get people using it.
How to check eligibility and assign licences
- List which Microsoft 365 plan each person is on, using the Microsoft 365 admin center.
- Count the users across the whole tenant. If you're over 300, stop here and look at enterprise licensing.
- Make sure everyone who'll get Copilot holds one of the five eligible Business plans. Anyone on an enterprise plan needs the enterprise add-on instead.
- Buy Copilot Business for the number of seats you need, remembering it's an annual commitment.
- Assign the licences to users in the Microsoft 365 admin center.
- If someone still can't see Copilot, run Microsoft's service plan diagnostic tool, which checks whether a user account meets the requirements.
Treat it as a year-long decision
Microsoft's licensing page lists Copilot Business with an annual commitment, so don't license the whole company on day one. Start with the people who write, analyse and sit in the most meetings, and add seats when the usage reports back it up. It's far easier to add licences mid-year than to explain a pile of unused ones.
One more thing worth knowing: Microsoft updated its licensing page on 19 October 2026. If you're reading guides from earlier in the year, the plan names and the price may already be out of date. And if you're not ready to pay at all, Copilot Chat is the free starting point Microsoft includes with eligible Microsoft 365 subscriptions.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
Is Copilot Business right for a small team?
If you're on a Microsoft 365 Business plan with fewer than 300 people, this is the version to buy, and I'd rarely pick anything else. Start with a handful of seats for your heaviest Office users, check the adoption analytics after a couple of months, then roll it out wider. If you're on an enterprise plan already, don't waste time trying to make Business fit. It won't attach, and you'll end up on the enterprise add-on anyway.
Getting the licences sorted is the easy bit. Getting a team to change how they work is harder, and that's where I come in. I run AI training and workshops for teams, and help businesses with AI enablement, AI automation and GEO, which is about getting your business seen and cited in AI answers. Most of that work is with SaaS marketing teams, telecom companies and small businesses. Here's how we can work together.
