Best Claims Management Software (2026): 10 Compared

Claims management software runs a claim from first notice of loss to settlement: recording details, assigning handlers, tracking documents and communicating with the claimant. Some tools are full core systems for large insurers, others are AI and communication tools that sit alongside them. Ten options follow in no particular order.

For a policyholder, the claim is the product. Everything before it was a promise, and the claim's where the insurer shows whether it meant it.

Claims software decides how smoothly that goes. The ten tools below are listed alphabetically and in no particular order, and every description comes from the vendor's own website, read this week. My piece on organising insurance policy information covers the step before a claim.

Claims management tools side by side

I checked the free plan column on each tool's own website, as of Oct 2026. Yes means the site names a free plan, a free version, a free account, a free edition or an open source release. Trial only means a time-limited trial. Not stated means the pages I read named neither, even where there's a button inviting you to try it, so check the vendor's page before you sign up.

What UK rules expect from a claims team

The Financial Conduct Authority's handbook, in ICOBS 8.1.1, says an insurer must handle claims promptly and fairly, provide reasonable guidance to help a policyholder make a claim and appropriate information on its progress, not unreasonably reject a claim, and settle claims promptly once settlement terms are agreed.

Each of those duties leaves a trail, and it's the trail regulators look at. A good claims system shows when the claimant was updated, what guidance they were given and why a decision was made. If a complaint arrives, that record is your answer.

Want AI doing the heavy lifting in your marketing?

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

Core claims system or add-on tool?

Core claims systems hold the claim record itself. They're the big decision, they're often tied to policy and billing, and they'll take months to put in.

Add-on tools sit around the core: AI that reads documents, analytics that flag severity, or messaging that keeps claimants informed. They're quicker to add and they'll often lift results without replacing anything.

If your core system works but claimants complain about silence, a communication tool may help more than a new core, and it's far less disruptive.

Disputed claims can end up with lawyers, and our guide to matter management software compares tools in-house legal teams use to track them.

Questions to ask a claims software vendor

  1. How quickly can a new claim be set up from first notice?
  2. Does it record every update sent to the claimant?
  3. Can it route claims to the right handler automatically?
  4. How does it explain AI suggestions to handlers?
  5. Will it connect to your policy and finance systems?
  6. How long does a typical rollout take?

Claims often start with a report from the floor, and our list of incident reporting tools compares tools that capture it.

Signs your claims process needs better software

  • Claimants chase for updates. Send them automatically.
  • Simple claims take weeks. Automate routine steps.
  • Big claims surprise you. Flag severity early.
  • Complaints lack a record. Log every contact.

My plain advice on claims management software

Map one ordinary claim from first call to settlement and mark every point where the claimant waited without hearing anything. Whichever tool shrinks those gaps the most is the one that will show up in your complaints and reviews.

Reviews matter to brokers too, and my guide to using AI for customer reviews as an insurance broker covers that side.

Frequently asked questions

What is claims management software?

It's software that runs an insurance claim from first notice of loss to settlement, including recording details, assigning handlers, tracking documents and updating the claimant.

Who uses claims management software?

Insurers, managing general agents, third-party administrators and self-insured organisations all use it, at very different scales.

What does the FCA expect from insurers on claims?

ICOBS 8.1.1 says insurers must handle claims promptly and fairly, give reasonable guidance and progress updates, not unreasonably reject claims and settle promptly once terms are agreed.

Can AI help with claims?

Some tools use AI to read documents, flag claims likely to become serious or automate simple decisions, with handlers reviewing the results.

Is there a free trial of claims software?

A few tools offer a free trial. Check the free plan column above and confirm on the vendor's site.

How long does it take to replace a claims system?

Core systems usually take months to put in, while add-on tools for messaging or analytics can often be added much faster.
