Best Construction Accounting Software (2026): 11 Tools

The best construction accounting software handles what general accounting tools struggle with: job costing by project and phase, retention, progress billing, construction payroll and subcontractor paperwork. Small builders often need simple bookkeeping tied to estimates, while larger contractors need a full construction ERP. Eleven options follow in no particular order.

General accounting software is built for businesses that sell a product and send an invoice. Construction doesn't work like that. One job can run for months, with change orders, retention, progress claims and a crew whose hours are split across three sites.

Construction accounting software is built for that mess. The eleven tools below are listed alphabetically and in no particular order, and every description comes from the vendor's own website, read this week. If you're still on a general package, my roundup of accounting software tools is a useful comparison point.

Construction accounting tools at a glance

I checked the free plan column on each tool's own website, as of Oct 2026. Yes means the site names a free plan, a free version, a free account or an open source release. Trial only means a time-limited trial. Not stated means the pages I read named neither, even where there's a button inviting you to try it, so check the vendor's page before you sign up.

The UK scheme your software has to handle

GOV.UK's guidance for HMRC's Construction Industry Scheme says you must register as a contractor if you pay subcontractors to do construction work. Contractors then verify subcontractors, make deductions, pay those deductions to HMRC and file monthly returns.

Work with me

Want AI doing the heavy lifting in your marketing?

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

That's a monthly job, every month, and it's easy to get wrong in a spreadsheet. If you work in the UK, check that any tool you shortlist handles subcontractor verification and returns, or links cleanly to something that does.

Job costing is the heart of it

Every construction accounting tool claims job costing. The difference is in the detail: can you see labour, materials, equipment and subcontractor spend by job and by phase, and does it update as the work happens?

The better tools pull timesheets and purchase orders straight from the field, so the job report shows what's happening now, not what happened weeks ago. That's how you spot a job going wrong while there's still time to fix it.

Look at retention and progress billing too. If the tool can't handle the way your clients pay, your team will end up running a second spreadsheet beside it.

Questions to ask before you switch

  1. Can it show job profit by phase as the work happens?
  2. Does it handle retention and progress billing?
  3. Will it run construction payroll, including union or multi-state rules?
  4. Can field teams log time and materials from a phone?
  5. Does it handle UK subcontractor deductions if you need them?
  6. How will your existing data move across?

Signs you've outgrown your accounting setup

  • Job reports arrive weeks late. Pull time from the field.
  • Retention lives in a spreadsheet. Use built-in tracking.
  • Payroll takes days. Move to construction payroll.
  • Nobody trusts the job numbers. Link purchasing to jobs.

Do you make construction accounting or contractor software? Tool makers can ask to be considered for a featured place on this list.

My plain advice on construction accounting software

Size the tool to the business you'll be in two years from now, not the one you were in two years ago. A small builder doesn't need a full ERP, but a contractor running twenty live jobs will hit the limits of simple bookkeeping fast.

Ask each vendor to walk through one of your real jobs, from estimate to final invoice, before you sign. For the wider picture, my piece on resources for growing a construction business is a good place to start.

Frequently asked questions

What is construction accounting software?

It's accounting software built for contractors, with job costing by project and phase, progress billing, retention, construction payroll and subcontractor management.

Can I use QuickBooks for construction accounting?

Many small contractors start there, and some construction tools work alongside QuickBooks. As jobs and crews grow, dedicated construction accounting usually gives clearer job reports.

What is job costing?

It's tracking every hour, material and subcontractor charge against a specific job, so you can see whether that job is making money while it's still running.

Do UK contractors need to register for CIS?

GOV.UK says you must register as a contractor with the Construction Industry Scheme if you pay subcontractors to do construction work.

What's the difference between construction accounting and construction ERP?

Construction accounting covers the books. A construction ERP adds project management, payroll, equipment, service and document control in one system.

How long does it take to switch systems?

It depends on how much history you bring across. Many contractors switch at a year end and keep the old system read-only for past jobs.
