The best document control software makes sure everyone works from the latest approved version of a controlled document, with reviews, approvals and an audit trail of every change. Some are quality management suites for regulated industries, while others are built for engineering projects or general document management. Eleven options follow in no particular order.
Picture an engineer working from an outdated drawing, or a team following a procedure that was replaced months ago. That's the problem document control solves. When versions live in email attachments and shared folders, it's only a matter of time before the wrong one gets used.
The eleven document control tools below are listed alphabetically and in no particular order, and every description comes from the vendor's own website, read this week. If you only need general file organisation rather than formal control, my guide to document management software may suit you better.
Document control software at a glance
I checked the free plan column on each tool's own website, as of Oct 2026. Yes means the site names a free plan, a free version, a free allowance or an open source version. Trial only means a time-limited trial. Not stated means the pages I read named neither, even where there's a button inviting you to start for free, so check the vendor's page before you sign up.

What regulators look for in electronic records
The U.S. Food and Drug Administration's guidance on Part 11, which covers electronic records and electronic signatures, explains how the agency approaches those rules. It says the FDA intends to exercise enforcement discretion for certain Part 11 requirements, and it works through validation, audit trails, record retention and copies of records.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
If you work in a regulated industry, those are the settings to check first. The editor matters far less than whether the system records who changed what, when and why, and whether you can produce a faithful copy for an inspector.
Document control versus document management
Document management is about storing, finding and sharing files. Most businesses need it, and many tools handle it well.
Document control adds formal rules on top: review and approval steps, version numbering, training sign-off and a full audit trail. You'll need it for quality systems, regulated work, engineering drawings and any procedure people must follow exactly.
Questions to ask before you buy document control software
- Does it keep a full audit trail of every change?
- Can I set review and approval steps per document type?
- How are obsolete versions withdrawn?
- Can staff confirm they've read a new procedure?
- Does it support electronic signatures?
- How easily can I export records for an audit?
Document control usually sits inside a quality system, which our quality management software roundup covers.
Signs your documents need formal control
- People ask which version is current. Keep one approved copy.
- Approvals happen by email. Record them in the system.
- An audit is coming. Check your audit trail now.
- Old procedures are still in use. Withdraw them formally.
Do you make document control or quality management software? Tool makers can ask to be considered for a featured place on this list.
My plain advice on choosing document control software
Start by listing the documents that would cause real harm if someone used an old version. Those are the ones to control first. Then test each shortlisted tool on one of them, from first draft to approval to withdrawal of the old version.
Bring someone who'll face the next audit into the trial, because they'll spot gaps quickly. If your bigger headache is getting documents from clients in the first place, my notes on collecting client documents without email chains may help.
Frequently asked questions
What is document control software?
Document control software manages controlled documents through review, approval, versioning and withdrawal, with an audit trail of every change.
Who needs document control software?
Quality, compliance, engineering and construction teams use it most, especially in regulated industries and on large projects.
Is document control the same as document management?
Not quite. Document management stores and shares files, while document control adds formal approval, versioning and audit rules.
What is an audit trail?
An audit trail is a record of who created, changed, approved or viewed a document and when they did it.
Does document control software support e-signatures?
Many tools include electronic signatures for approvals. Check whether they meet the rules for your industry.
Is there free document control software?
Some vendors offer trials. The free plan column above shows what each vendor's site says.
