Visio vs draw.io: Microsoft's Diagrams or the Free Option?

Pick Visio if you're in Microsoft 365 and want deep diagram types, huge shape libraries, data-linked diagrams and Power BI or AutoCAD connections on the higher plans. Pick draw.io if you want a free, open-source diagramming tool with no sign-up, that saves wherever you choose and plugs into Google Drive, Confluence, GitHub and Notion. For most everyday flowcharts and org charts, draw.io does the job for nothing.

I read Microsoft's Visio overview and plan comparison pages, then draw.io's home page and its GitHub repositories for the web and desktop apps. One is a paid Microsoft product with several tiers; the other has been free since 2005.

What Visio offers

Microsoft's Visio page covers flowcharts, mind maps, org charts, network diagrams, floor plans and infographic timelines, with templates, starter diagrams and stencils in the desktop and web apps. Accessibility gets real attention, with Narrator, Accessibility Checker and high-contrast support, and Visio shares Microsoft 365's security features such as Information Rights Management.

The plan you pick decides the depth. Visio in Microsoft 365 handles basic diagrams with real-time collaboration in the web app. Plan 1 adds advanced org charts, cross-functional flowcharts, cloud architecture, ERD and UML diagrams and Power BI integration. Plan 2 adds the desktop app, more than 250,000 shapes, BPMN 2.0, P&ID, engineering and electrical diagrams, AutoCAD file support and two-way data sync.

Why draw.io is so widely used

draw.io says it's free forever, with no sign-up and no lock-in, and that more than 100 million people use it. The source code is Apache 2.0 licensed, there's no paid tier for features like SSO, and the company says it isn't VC-funded. It also promises backwards compatibility: diagram files from 2005 still load today.

Its privacy stance is the detail I'd underline. draw.io lets you bring your own storage or save locally with the desktop app, and says it can't access your data. It plugs into Google Drive, SharePoint, OneDrive, Teams, Confluence, Jira, GitHub, VS Code and Notion, and the free desktop app runs on Windows, including ARM64 machines, plus macOS and Linux.

The gap that still matters

Visio's top plan goes where draw.io doesn't claim to: industry diagram standards like BPMN 2.0 and P&ID, AutoCAD file support and diagrams that sync two ways with live data. If your engineers or process teams need those, Visio Plan 2 earns its place. If you're drawing flowcharts, org charts, network maps and process diagrams to share, draw.io covers that without a licence.

How to decide

  1. Need BPMN, P&ID or AutoCAD files? Visio Plan 2.
  2. Want diagrams in Confluence, GitHub or Notion? draw.io integrates directly.
  3. Want to control where every file is stored? draw.io lets you choose.
  4. Already pay for Microsoft 365? Check whether Visio in Microsoft 365 covers your basic diagrams.
  5. Just need flowcharts and org charts? Start with draw.io.

My advice on Visio or draw.io

For most small businesses and marketing teams, draw.io is the smart starting point: it's free, private, works where you already store files and handles everyday diagrams well. If you're in an engineering or process-heavy business that needs industry standards, data-linked diagrams or AutoCAD files, Visio's higher plans are built for that and fit neatly into Microsoft 365. I'd only pay for Visio when a client or standard asks for it.
