Pick Apple Mail if you live on a Mac, iPhone and iPad and want a free, built-in app that sorts mail into categories and offers Apple Intelligence Writing Tools. Pick Outlook if you want email, calendar, contacts and to-do lists in one view, with Word, Excel, OneDrive and Copilot alongside, on Apple devices, Windows and the web. Both will happily run Gmail, iCloud and other accounts.
I read Apple's Mail User Guide for Mac, then Microsoft's Outlook page and its support pages on Outlook versions and the new Outlook for Windows. This one is less about features and more about which world your work lives in.

What Apple Mail handles on its own
Apple's guide covers setting up and managing all your email accounts from one app, blocking senders, and automatic sorting into Primary, Transactions, Updates and Promotions. That last feature saves a lot of manual tidying. You can also mark emails to revisit later and search across your accounts.
Apple Intelligence adds Writing Tools to summarise selected text, proofread your work and find the right wording and tone. Apple is clear that it isn't available in every language or region and that usage limits may apply, so check it works where you are before you count on it.
Where Outlook goes further
Microsoft's pitch is everything in one place: emails, calendars, contacts and to-do lists together, on desktop, mobile and web. It connects Outlook.com, work or school accounts, Gmail, Yahoo!, iCloud and other services. Focused inbox and sweep cut clutter, you can open Word, Excel or PowerPoint from your inbox and link OneDrive files, and Copilot helps draft messages.
Security features are part of the case for business users. Microsoft says Outlook scans attachments and links for threats, and encryption can stop sensitive messages being forwarded. If your company runs on Microsoft 365, your mail, calendar and files will already be set up for it.
The Windows twist
If you also use a Windows PC, note that Microsoft now has two Outlook apps there. Its version guide says new Outlook for Windows is free, while classic Outlook comes with many Microsoft 365 subscriptions, and the new app supports iCloud and IMAP accounts as well as Microsoft ones. So an Apple Mail user who moves between a Mac and a PC can keep one email app on both with Outlook.
How to decide
- Only use Apple devices and want something simple? Apple Mail.
- Work in Microsoft 365 or switch between Mac and Windows? Outlook.
- Want inbox categories without setup? Apple Mail sorts them automatically.
- Want email, calendar and to-do in one window? Outlook.
- Want AI writing help? Check Apple Intelligence availability in your region, or use Copilot in Outlook.

My advice on Apple Mail or Outlook
If you're a solo business owner on a Mac and iPhone, Apple Mail is free, tidy and already there, and its categories do a lot of the sorting for you. If you work with a team on Microsoft 365, or you move between Apple and Windows machines, Outlook keeps your email, calendar and files in one place on every device. I wouldn't switch for one feature. I'd switch when your calendar and documents already live in Microsoft's world.
