The right Workato alternative depends on who builds and who uses the integrations: enterprise iPaaS suits IT teams connecting many systems, embedded iPaaS suits software companies offering integrations to their own customers, and developer platforms suit teams who'd rather write code. Any platform that moves personal data needs the right data protection paperwork.
Workato is a strong enterprise automation and integration platform. But it's not the only option, and depending on whether you're connecting your own systems or building integrations into your product, a different platform may suit you better.
Below are ten alternatives in no particular order, sorted alphabetically, from smaller embedded integration specialists to established enterprise platforms. Each description comes from the company's own website, re-checked today. If you're automating marketing in particular, my guide on implementing marketing automation covers the planning side.
Start with the integrations you need in the coming months, not every system you own. A short, prioritised list makes demos far more useful and stops you paying for connectors you'll never switch on.

The GDPR contract rule for tools that touch data
Here's the paperwork that's easy to forget. Article 28 of the GDPR says processing by a processor shall be governed by a contract or other legal act that sets out the subject matter, duration, nature and purpose of the processing, the type of personal data and the categories of people involved. It also requires the controller's prior specific or general written authorisation before a processor engages other processors.
An integration platform that moves customer records between your systems is usually acting as a processor. So ask every vendor for their data processing agreement and their list of sub-processors before you connect anything containing personal data, and keep both on file.
Questions to ask an integration vendor
- Connectors: do they cover your key systems out of the box?
- Who builds: business users, IT or developers?
- Embedded or internal: for your team, or for your customers?
- Data protection: processing agreement, sub-processors and data location.
- Monitoring: alerts, logs and retries when something fails.
Planning an integration project
- List the systems and the data that moves between them.
- Mark which data is personal or sensitive.
- Agree who owns each integration and its errors.
- Build and test the most valuable integration first.
- Document every connection, trigger and field mapping.
Integrations worth doing first
- CRM and email: new leads flow straight into nurture.
- Shop and finance: orders reconciled without copying.
- Support and CRM: agents see the full customer picture.
- HR and IT: new starters get accounts on day one.

Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
Watch your usage as well. Integration platforms often measure tasks or runs, and a single looping workflow can burn through a month's allowance overnight, so set alerts before you go live.
Review your integrations whenever a system changes. A renamed field or a new required value can break a flow quietly, and a quick check after each update saves a lot of clean-up.
Do you make integration platforms? Tool makers can ask to be considered for a featured place on this list.
My plain advice on Workato alternatives
Pick the platform your builders will enjoy using. Integration work never really ends, and a tool that suits the people maintaining it matters more than a long connector list.
And document everything. The person who built an integration won't always be around when it breaks, so clear notes save hours of guesswork.
Frequently asked questions
What is a good alternative to Workato?
Enterprise iPaaS suits IT teams, embedded iPaaS suits software companies, and developer platforms suit teams who write code.
What is iPaaS?
Integration platform as a service: cloud software that connects apps and data without building every connection from scratch.
What is embedded iPaaS?
It lets software companies offer integrations to their own customers inside their product.
Do I need a data processing agreement?
If the platform processes personal data for you, GDPR Article 28 requires a contract covering that processing.
Can business users build integrations?
Some platforms are built for business users, while others expect IT or developers.
How do I handle integration errors?
Choose a platform with alerts, logs and retries, and name an owner for each integration.
Is there a free integration platform?
Some developer platforms offer free tiers, while enterprise tools usually work through demos.
What's the difference between iPaaS and simple automation tools?
iPaaS handles complex, high-volume and enterprise integrations, while simple tools suit small app-to-app tasks.
How long does an integration project take?
A single integration can take days, while a programme of many can take months.

Only for unusual needs. Platforms save time on common connections.
Can integration platforms connect AI tools?
Many now include connectors for AI services, so you can pass data to and from AI models inside your workflows.
