Is Asana Free? What Asana Personal Gives You (and the 2-User Limit)

Yes, Asana is free. The Asana Personal plan is free forever and includes unlimited tasks and projects with list, board and calendar views, but it's limited to 2 users. Timeline and Gantt views, reporting dashboards and custom fields start on the Starter plan.

Asana is one of the best-known project management tools, and a lot of people remember its free plan being much more generous for teams. Today's free plan is built for one or two people, which changes who it suits.

What Asana Personal includes

Asana describes Personal as a plan for one or two people managing personal projects. Its plans page lists:

  • 2 users.
  • Unlimited tasks and projects, so you never run out of space for work.
  • List, board and calendar views, so you can switch between details, flow and deadlines.
  • Unlimited storage, with a maximum of 100MB per file.
  • Status updates to share what's done and what's next.
  • Time tracking with integrations, by syncing with your time-tracking tools.
  • 100+ free integrations, including Slack, Google Drive and Zoom.

The 2-user limit changes everything

Here's the catch. Asana Personal is capped at 2 users. If you're a solo business owner, or a business owner with one assistant, that's fine. If you want to bring in a freelancer, a virtual assistant and a designer, you've outgrown it on day one.

Starter is where Asana opens up for teams, with no user seat limits and unlimited free guests, so clients and contractors can collaborate without counting as extra users.

The other limit you'll notice is planning. Timeline and Gantt views, which show how tasks depend on each other over time, are on Starter. If you plan launches or client projects with lots of moving parts, that's the feature you'll miss most.

How to set up Asana Personal well

  1. Sign up for Asana and choose the Personal plan.
  2. Create one project for each area of your business, such as Clients, Marketing and Admin.
  3. Add your recurring tasks first, so the routine work never slips.
  4. Use board view for anything with stages, such as content from idea to published.
  5. Use calendar view each Monday to check the week's deadlines.
  6. Connect the apps you already use, such as Slack or Google Drive.

If you're new to the tool, my guide on how to use Asana walks through the setup step by step. If you're weighing up options for a team, this round-up of the best project management software for remote teams compares Asana with its rivals.

Getting the most from two users

If it's you and one other person, Personal works well with a little structure. Agree which project each type of work lives in, give every task one owner and a due date, and use status updates once a week so you both know what's moving. Comments on tasks keep conversations attached to the work, instead of buried in email.

Asana says unlimited storage is included, with up to 100MB per file, so you can attach briefs, contracts and images straight to the tasks they belong to. For anything bigger, such as video, link to where it's stored instead.

What Starter's AI adds

Asana AI is one of the main things Starter adds. Its plans page says Starter includes AI Teammates and Asana Dash, with 5 requests per user per month up to 50 per account, plus AI Studio with a monthly credit allowance per account. If AI help is the reason you're interested in Asana, the free plan won't show you much of it.

Good uses for the free plan

  • Running your own to-do list and content calendar in one place.
  • Managing your business with one assistant or one business partner.
  • Tracking personal projects alongside work.
  • Learning Asana before you roll it out to a team.

When to move from Personal to Starter

  • You need a third person in Asana, even part-time.
  • You want clients or contractors in as guests.
  • You plan projects where tasks depend on each other and need a timeline.
  • You want dashboards to report on progress without building them by hand.
  • You want custom fields to tag tasks with priorities or statuses.

If none of those apply, there's no reason to rush. Personal covers the core of what makes Asana useful, and everything you build there carries on working if you move up later, so setting it up well now isn't wasted.

Who Asana's free plan suits

Asana Personal suits solo business owners and pairs who want a clear, visual way to manage tasks and projects without signing up for features they won't use. Unlimited tasks and three useful views cover most day-to-day planning.

Work with me

Want AI doing the heavy lifting in your marketing?

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

It suits you less if you have a team of three or more, work with lots of contractors or need timelines and reports. Those are the jobs Starter is built for.

My verdict: Asana is free, and Personal is a tidy, capable plan for one or two people. Just know the 2-user cap going in, because the moment you hire help, you'll need to move up or choose a tool with a bigger free plan.
