Best Call Center Software: 11 Options Compared

The best call center software depends on the calls you handle: an AI-assisted cloud tool suits a small support team, a high-volume dialer suits outbound sales, and an enterprise contact center suits large customer service operations. Eleven options follow in no particular order.

Phones haven't gone anywhere. Customers still call when something's urgent, and sales teams still dial when they need conversations fast. The right software makes both feel organised rather than frantic.

The eleven tools below are listed alphabetically and in no particular order, from open source suites to enterprise platforms. Every description comes from the vendor's own site, read this week. If you're adding automation to support, my guide on setting up an AI chatbot for customer service is a useful next step.

Call center software at a glance

In the free plan column, Yes means the tool's own site names a free plan, a free version, a free app or an open source edition. Trial only means a time-limited trial. Not stated means the pages I read named neither, even where there's a button inviting you to try it.

Want AI doing the heavy lifting in your marketing?

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

Outbound calling has rules

The Federal Trade Commission (FTC) lists calling before 8 a.m. or after 9 p.m. as abusive under the Telemarketing Sales Rule, along with denying or interfering with a consumer's right to be placed on a Do Not Call list.

If your team dials out, check the software can enforce calling hours by time zone and keep suppression lists up to date automatically. Relying on memory isn't a plan.

Inbound support, outbound sales or both?

Inbound tools focus on routing, queues, call recording and links to your help desk. Outbound tools focus on dialers, local numbers and getting calls answered. Enterprise contact centers add AI, workforce management and many channels beyond the phone. Small teams often do best with a cloud phone system that has light call center features built in.

Questions to ask in a demo

  1. Which CRM or help desk does it connect to?
  2. How does call routing work when everyone's busy?
  3. Are calls recorded and transcribed, and who can access them?
  4. Can you get local numbers in the countries you call?
  5. How does it enforce calling hours and Do Not Call lists?
  6. What do supervisors see in real time?

Features that matter more than they look

  • Call recording. Training and disputes get easier.
  • CRM links. Notes land on the customer record automatically.
  • Smart routing. Callers reach the right person first time.
  • Live dashboards. Supervisors spot a queue building.

Cloud or self-hosted?

Cloud tools are quick to start and need no servers. Self-hosted open source suites give you control, but you'll need someone technical to set them up and keep them running.

Do you make call center software? Tool makers can ask to be considered for a featured place on this list.

My plain advice on choosing call center software

Match the tool to your direction of calls. A support team needs smart routing and short waits. A sales team needs a dialer that gets answers and keeps you on the right side of the rules. Very few teams need everything an enterprise platform does.

Then run a week of real calls on a trial or pilot before you move everyone. Watch the dropped calls, the wait times and the notes your team leaves. My piece on AI customer service for small teams shows other ways to lighten the load.

Frequently asked questions

What is call center software?

It's software that routes, records and reports on business phone calls, often with dialers for outbound calling and links to a CRM.

Is there free call center software?

Yes. At least one tool on this list is open source and another names a free edition. Check the table.

What's the difference between a call center and a contact center?

A call center handles phone calls. A contact center adds other channels such as chat, email and messaging.

What calling hours are allowed for telemarketing?

The FTC lists calling before 8 a.m. or after 9 p.m. as abusive under the Telemarketing Sales Rule.

Can call center software use AI?

Many tools now include AI voice agents, call summaries or routing. Check how much of that you'd use day to day.

Do small businesses need call center software?

If several people answer or make calls, light call center features like routing and recording can help even a small team.
