Best Talent Management Software (2026): 10 Tools Compared

The best talent management software is the one your managers will open between review cycles, not just during them. Small teams usually need reviews, goals and one-to-ones in one place, while larger companies add calibration, succession planning and learning. This page lists ten platforms in no particular order, then covers how to choose and set one up.

Talent management sounds grand, but for most businesses it comes down to three questions. Is everyone clear on what good looks like? Are people getting feedback before their annual review? And do you know who could step up if a key person left tomorrow?

Below are ten talent and performance platforms, sorted alphabetically and in no particular order, from Microsoft Teams add-ons to full people platforms. Each description comes from the vendor's own website, re-checked today. If you only need appraisals, my list of tools built just for appraisals is narrower and may be enough.

Talent platforms at a glance

In the free plan column, Yes would mean an ongoing free plan, Trial only means a time-limited free trial, and No means the vendor asks you to book a demo or request a quote. None of these ten shows an ongoing free plan.

How long US employers must keep review records

In the US, the EEOC's recordkeeping requirements page says employers must keep all personnel or employment records for one year. If an employee is involuntarily terminated, the EEOC says their personnel records must be kept for one year from the date of termination.

Performance reviews, ratings and promotion notes are personnel records, so this matters when you choose a platform. Before you sign, ask how long the tool keeps archived reviews, whether you can export them, and what happens to a leaver's history when you remove their account. Other rules can require longer retention, so check your own position with an employment lawyer.

Performance tool or full talent suite?

  • Performance tools: reviews, goals and one-to-ones. That's enough for most companies under a hundred people.
  • Talent suites: add learning, succession planning and skills mapping, which matter once you're promoting from within at scale.
  • HR platforms with talent modules: keep records, hiring and reviews together, handy when you don't want two systems to maintain.

Setting up talent software in six steps

  1. Write down the one problem you're solving first, such as late reviews or vague goals.
  2. Agree a simple review template with your managers before you configure anything.
  3. Import your org chart so every review and goal has the right manager attached.
  4. Launch with goals and one-to-ones, then add reviews once people are using it.
  5. Train managers on giving feedback, not just on clicking buttons.
  6. Check completion after the first cycle and simplify anything people skipped.

Demo questions for a talent platform

  • Can managers see a person's goals, feedback and past reviews on one screen?
  • How does calibration work if two managers judge the same role differently?
  • Does it connect to the HR system you already use?
  • Can employees request feedback from colleagues themselves?
  • How are archived reviews kept after someone leaves?

Software helps, but development still needs time set aside. My notes on lining training up with business goals are a useful place to begin.

Do you make talent or performance management software? Tool makers can ask to be considered for a featured place on this list.

My plain advice on talent management software

If you're a small business without an HR team, start with a performance tool that handles goals, one-to-ones and reviews, and resist buying succession planning you won't use for years. If your managers aren't holding regular one-to-ones yet, software won't fix that on its own.

If you're a larger company, ask each vendor to walk through one complete review cycle using your own template, from goal setting to calibration. And check record keeping before you sign, because switching platforms later is far easier when your history exports cleanly.

Frequently asked questions

What is talent management software?

It's software for setting goals, running reviews, giving feedback and planning development and succession, so managers can grow people in a consistent way.

Is there free talent management software?

None of the ten here shows an ongoing free plan. Two offer free trials, and the rest are sold through a demo or quote.

What's the difference between talent management and performance management?

Performance management covers goals and reviews. Talent management is broader and adds learning, succession planning and skills.

How long should I keep performance review records?

In the US, the EEOC says employers must keep personnel records for one year, and other rules can require longer. Ask an employment lawyer about your situation.

Can small businesses use talent management software?

Yes. Start with the simplest tool that covers goals and reviews, and add modules only when you need them.

How long does a rollout take?

A small team can be running goals and one-to-ones within a few weeks. Full review cycles and calibration usually take a quarter to settle in.
