Hotel management software, often called a property management system or PMS, runs reservations, check-in, room status, guest records and billing, and usually connects to booking sites and your own website. The right one depends on your size, your guests and how much you sell direct. Ten options follow in no particular order.
An independent hotel competes with chains that have whole departments for distribution, revenue and guest experience. A good PMS gives a small team some of that power: rooms that update everywhere at once, guests who can check in on their phone and a front desk that isn't buried in admin.
The ten options below are listed alphabetically and in no particular order, from systems built for B&Bs and guesthouses to cloud platforms for modern hotels and small groups. Each description comes from the vendor's own site, re-checked this week. For ideas on using AI at a small property, see my guide to AI for hotels and B&Bs.

The guest records rule UK hotels still have to follow
The Immigration (Hotel Records) Order 1972, published on legislation.gov.uk, says every person of or over the age of 16 who stays at premises it covers must tell the keeper their full name and nationality on arrival, and guests who count as aliens under the Order must also give their passport number and place of issue and, before leaving, their next destination.
What that means for you: if you run a UK hotel, check the PMS can capture these details at check-in, including online check-in, and keep them as required. It's far easier than a paper register and easier to find when you need it.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
B&B system, independent hotel PMS or group platform?
Small-property systems focus on bookings, a channel manager and payments with as little setup as possible. Independent hotel systems add housekeeping, rate plans, reporting and integrations with locks and point of sale. Group platforms handle several properties, central reporting and shared guest profiles.
Whichever you choose, look hard at the booking engine on your own website. Every direct booking saves you a commission, so a smooth direct booking flow matters as much as the back office.
Switching hotel systems without double bookings
- Pick a switch date with low occupancy and plenty of staff.
- Export all future reservations and guest profiles from the old PMS.
- Map room types and rate plans in the new system before import.
- Connect booking channels only after inventory is checked.
- Run both systems side by side for the first day.
- Train the front desk on check-in and room moves first.
Hotel software features guests notice
- Online check-in. Guests skip the queue and you collect details early.
- A fast booking engine. Every extra step loses direct bookings.
- Clear confirmation emails. They cut calls and confusion.
- Easy upsells. Breakfast, parking or late checkout offered at the right moment.
What a PMS can't fix for you
Software won't make up for slow replies, tired rooms or unclear policies. Use the time it saves to answer messages faster, follow up reviews and give guests reasons to come back. The data it holds, such as repeat guests and their preferences, is only useful if your team acts on it.
Reports worth checking each week
You don't need dozens of reports. Look at occupancy for the weeks ahead, where bookings came from and how many guests booked direct. Those three tell you whether to push a promotion, adjust rates or chase direct bookings harder, and they take minutes to read.
Guest messaging that doesn't feel robotic
Automated messages save time, but guests can tell when they're talking to a template. Keep pre-arrival emails short, friendly and useful, and make sure a real person replies when a guest asks something. It's those small human touches that turn a first stay into a return visit, and they don't need a big team.
Do you make hotel management software? Tool makers can ask to be considered for a featured place on this list.
My plain advice on hotel management software
Choose the system your front desk can run on a busy Saturday night. Watch a demo of a walk-in, a late arrival and a room move, because those everyday moments matter more than reports you'll look at once a month.
Then push direct bookings hard. A strong booking engine, a fast website and a clear reason to book direct can shift a real share of reservations away from commission-taking sites. For simple ways to raise your profile, see my seven ways to improve a hospitality brand's online presence.
Frequently asked questions
What is hotel management software?
It's a property management system that runs reservations, check-in, room status, guest records and billing, often with a booking engine and channel manager.
Is there free hotel management software?
None of the systems on this list describes a free plan on the pages we read, but several offer free trials.
What's the difference between a PMS and a channel manager?
The PMS runs the hotel; the channel manager keeps rooms and rates in sync across booking sites. Many systems include both.
Do UK hotels have to record guest details?
Yes. The Immigration (Hotel Records) Order 1972 requires name and nationality from guests aged 16 or over, and more from some guests.
Is cloud hotel software safe?
Reputable cloud systems encrypt data and handle backups. Ask each vendor where data is stored and how payments are secured.
How long does it take to switch PMS?
It depends on size, but plan the move carefully, pick a quiet date and run checks before connecting channels.
