The best home care software keeps carers, clients and the office on the same page: rotas that update on carers' phones, visit notes and care plans, invoicing and, for US Medicaid work, electronic visit verification. Almost every vendor here starts with a demo. Below are ten platforms in no particular order, with the market and type of care each one is aimed at.
Home care is scheduling under pressure. A carer calls in sick at six in the morning, a client's needs change after a hospital stay, and the office has to rearrange the day without losing track of who was where. Software earns its keep in those moments, which is why I'd judge every platform on how fast the rota and the carer app react to change.
I've listed ten platforms alphabetically and in no particular order, with descriptions from each vendor's own website, re-checked today. Some are built for particular countries, and I've flagged those, because the rules a home care agency answers to depend on where you operate. Only one of the ten shows a free trial on its own site; the rest begin with a demo.
Home care platforms compared
None of these shows an ongoing free plan on its own site, so you won't see Yes in the free plan column. Trial only means the vendor offers a time-limited trial. No means the way in is a demo or a quote.

The US EVV requirement, in plain words
If you bill Medicaid in the US, this matters more than any feature list. A Medicaid.gov bulletin from CMS explains that section 12006(a) of the 21st Century Cures Act requires states to mandate electronic visit verification for Medicaid personal care services from the start of 2020, and for home health care services from the start of 2023. States that don't face incremental reductions in their federal Medicaid matching funds.
What it means for an agency: EVV isn't optional for Medicaid-funded visits, and because the mandate runs state by state, the question for any vendor isn't simply whether they do EVV. Ask whether their EVV works with your state's programme and how the visit data gets there. If you're a UK or Australian provider, this US rule won't apply to you, but your own regulator's record-keeping expectations will, so ask the same question about those.
Match the platform to the care you deliver
- Private home care: the rota, the carer app, client invoicing and payroll are the core.
- Medicaid-funded care in the US: add state-compatible EVV and claims to that list.
- Home health or hospice as well: you'll need clinical documentation built for those services.
- Several programmes or care settings: look for one system that handles them all, rather than three logins.
Running a fair demo, step by step
- Write down one messy real week: a sickness, a new client and a changed care plan.
- Send that scenario to each vendor before the demo.
- Ask them to rebuild the rota live when a carer drops out.
- Watch the carer app on a phone, from clock-in to visit notes.
- Ask how EVV or visit records reach your funder or regulator.
- Check how invoicing and payroll pull from completed visits.
- Speak to an agency of your size that already runs on the system.
What carers will thank you for
- An app that copes with patchy signal. Visits happen in lifts, basements and rural lanes.
- Care plan changes before the visit. Nobody wants to learn about a new medication at the door.
- Fewer calls from the office. Clear rota updates on the phone save everyone time.
- Realistic travel time. Back-to-back visits across town burn carers out.
Carers who feel supported stay longer, and the skills good care staff bring are easier to keep when admin isn't wearing them down. If you're deciding which office jobs to automate next, my notes on automation in healthcare settings will help.
Do you make home care software? Tool makers can ask to be considered for a featured place on this list.
My plain advice for a home care agency choosing software
Start with where you operate and who funds your visits. A UK homecare provider, an Australian disability provider and a US agency billing Medicaid need different things, and several platforms here are built with one of those markets in mind. Narrow it to three that serve yours, then judge them on the rota and the carer app, because that's where your team will spend its day.
If you bill US Medicaid, put EVV first on every demo agenda and ask for evidence it works with your state's programme. And ask to see the carer app on a real phone, from clock-in to notes, before you sign anything.
Frequently asked questions
What does home care software do?
It handles rotas, carer apps, care plans, visit notes, client invoicing and payroll, and for US agencies billing Medicaid it usually covers EVV as well.
Is there free home care software?
None of the platforms on this list shows an ongoing free plan on its own site. One offers a free trial; the rest start with a demo.
What is EVV in home care?
Electronic visit verification records that a visit took place. Medicaid.gov guidance says US states must require it for Medicaid personal care and home health care services.
Do UK home care providers need EVV?
The EVV mandate described here is a US Medicaid rule. UK providers should check what their own regulator and the bodies commissioning care expect from visit records.
How long does it take to move to new home care software?
It depends on how many clients, carers and care plans you're moving. Ask each vendor who handles the data transfer and how long agencies of your size usually take.
Can carers use home care software on their own phones?
Several platforms here mention a carer app or mobile clock in and out on their own sites. Check which phones are supported and what happens when signal drops.
