To schedule a Teams meeting, select Calendar, pick a timeslot or select New, add the details and attendees, check the Teams meeting toggle is on and select Save. The detail people miss: guests outside your organisation need their full email address in the Required attendees field.
Booking a call in Teams sounds simple until you're juggling a client in another company, two colleagues in different time zones and a channel full of people who might want to drop in. Get the invite right first time and people turn up. Get it wrong and you spend the morning resending links.
Microsoft gives you three places to start a meeting in Teams: the Calendar, a chat and a channel. Each one suits a different kind of call, so I'll cover all three from Microsoft's help pages, then the bits that catch small business owners out, like inviting people outside your organisation.
Scheduling a Teams meeting from the Calendar
This is the most complete route, with every option in one place. Microsoft's steps are:
- Select Calendar in Teams.
- Select a timeslot in your calendar, or select New.
- Add a title, the date and time, and any meeting details.
- Add your attendees.
- Make sure the Teams meeting toggle is on, so the invite carries a join link.
- Select Save.
Everyone you invited gets the meeting in their calendar, with the link to join.
Scheduling a Teams meeting straight from a chat
If you're already chatting with the people you want to meet, you can book it without leaving the conversation. According to Microsoft:
- Select Chat and open the conversation.
- Select More chat options at the top of the chat.
- Select Schedule a meeting.
- Add the details and select Send.
I like this for quick follow-ups, because the people in the chat are added for you and the meeting sits right beside the thread that prompted it.
Scheduling a channel meeting in a Teams team
A channel meeting is for the whole team rather than a named list of people. Microsoft's route is:
- Select Teams and pick the team.
- Select the dropdown arrow next to Meet now.
- Select Schedule a meeting.
- Add any attendees from outside the team.
- Select Send.
Microsoft says everyone in the team can see and join a channel meeting. Two catches from its help: channel meetings aren't available in private channels, and you can't edit or add a channel once the invite has gone out. Pick the right channel before you hit Send.
Inviting someone outside your organisation to a Teams meeting
This is the one that matters if you work with clients, suppliers or freelancers. Microsoft says to type the person's full email address in the Required attendees field. Teams sends them an invitation they can join from, even though they're not part of your organisation.
You can also share a link without adding anyone to the invite. Open the meeting, select Share, then Copy join link, and paste it into a chat, a post or an email. That's handy when you're arranging a call in another app and just need to drop the link in.
Finding a time that works in Teams Scheduler
Before you pick a slot, check the Scheduler view. Microsoft's help says it shows each attendee's time zone, schedule and availability, with shaded areas marking when people are busy or have tentative meetings.
For a small team spread across countries, that time zone detail stops a lot of awkward 'sorry, that's 6am for me' replies. Choose a gap that isn't shaded for anyone, and you're done.
How many people can join a Teams meeting
Microsoft's help sets out the limits:
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
| What Microsoft says | Limit |
|---|---|
| People who can join and take part | Up to 1,000 invitees |
| View-only attendees once a meeting already has 1,000 attendees | Up to 10,000 |
Most of us will never get near that, but it's useful to know Teams can handle a big community session or company-wide update.
Rescheduling or changing a Teams meeting
Plans change. Microsoft gives two ways to move a meeting:
- Drag the meeting to a new timeslot in your Teams calendar.
- Open the meeting details, choose a new time and select Send update.
Microsoft says attendees get a notification when you update a meeting, so you don't need to message everyone separately.
Scheduling a Teams meeting from Outlook instead
Lots of people live in Outlook rather than Teams, and that's fine. Microsoft notes that if you schedule a Teams meeting from Outlook, the dial-in number and conference ID appear in the invite automatically, which helps anyone who needs to join by phone. Whichever app you use, check the invite before you send it.
Making your Teams meetings worth the time
Scheduling is the easy part. What makes a meeting useful is a clear reason for it and someone owning the follow-up. A few habits I'd recommend:
- Put the purpose and any decision you need in the meeting details.
- Invite only the people who need to be there, and send notes to the rest.
- End with named actions and dates.
If you're tempted to let software handle the notes, my piece on what AI meeting notes get right and what they miss is a good reality check. And if you want to free up more time around meetings, I've rounded up real automation examples for marketing teams.
If you can't schedule a Teams meeting
- Check the Teams meeting toggle is on, or the invite won't include a join link.
- For a channel meeting, make sure it isn't a private channel.
- Use the full email address for anyone outside your organisation.
- Update Teams, sign out and back in.
- If the Calendar is missing, ask your IT admin, as some options depend on how your organisation is set up.
