How to Add Speaker Notes in PowerPoint (Windows, Mac and Web)

To add speaker notes in PowerPoint, click in the Notes pane below the slide where it says Click to add notes and type. If the pane is hidden, click Notes on the bottom task bar. To see your notes privately while presenting, use Presenter View in the desktop app, because the web version can't show them.

Speaker notes are my safety net. I write the story, the statistic I always forget and the joke I want to land, and they sit quietly under each slide where nobody else can see them. It means my slides can stay clean and visual while the detail lives somewhere private.

Whether you're pitching a client, running a webinar or teaching a workshop, notes stop you reading off the screen with your back to the room. Here's how to add them in each version of PowerPoint and how to keep them visible to you alone while you present.

Adding speaker notes in PowerPoint for Windows

  1. Open your presentation in Normal view.
  2. Select the slide you want to write notes for.
  3. Look below the slide for the Notes pane, where it says Click to add notes.
  4. Click there and type. Your notes save with the presentation automatically when you save the file.

Can't see the Notes pane? Microsoft says to click Notes on the task bar along the bottom of the PowerPoint window. It toggles the pane on and off, which is why it sometimes vanishes after a stray click.

Making the PowerPoint Notes pane bigger

The default pane is tiny, only a couple of lines tall. To give yourself room to write, point at the top edge of the Notes pane until the pointer turns into a double-headed arrow, then drag it upward. The slide shrinks a little and you get a comfortable writing space.

I find this makes a huge difference when I'm drafting a talk. I'll often write the whole script in the notes first, then trim the slides down to a few words each.

Writing speaker notes in PowerPoint for Mac

  1. Go to the View menu and click Normal.
  2. Select the thumbnail of the slide you want to add notes to.
  3. In the Notes pane under the slide, select Click to add notes.
  4. Type your notes.

The pane behaves in the same way as on Windows, and you can drag its top edge to make it taller.

Adding speaker notes in PowerPoint for the web

In the browser version, the Notes pane may be hidden by default. Go to the View tab, and in the Show group select Notes. The pane opens below the slide, ready for typing.

There's an important limit here. Microsoft says PowerPoint for the web can't show your notes while you're presenting. You can write and edit them in the browser, but to see them during a talk you'll need a desktop version of PowerPoint.

Seeing your speaker notes privately with Presenter View

This is the part that makes notes useful on the day. Presenter View shows your notes on your own screen while the audience sees only the slides on the projector or shared screen.

  • On Windows, start the show with From Beginning on the Slide Show tab. If you've connected a second screen, Presenter View opens on your laptop.
  • The Presenter View checkbox on the Slide Show tab controls whether it opens by default.
  • On a Mac, go to the View menu and click Presenter View to present with notes visible only to you.

Microsoft's help page doesn't promise anything about what shows when you share a single screen on a video call, so if you're presenting on Teams or Zoom, run a quick practice with a colleague before the real thing to check what they see.

What to put in PowerPoint speaker notes

They work best as prompts, not a word-for-word script you read aloud. Here's what I put in mine:

Use notes forKeep it out of notes
The key point of the slide in one lineLong paragraphs you'll end up reading
Stats, names and dates you might forgetAnything you'd be uncomfortable sharing
A story or example to tellText that should be on the slide for the audience
Timing cues, like where you should be at the halfway pointDetailed client data in a deck you'll send on

That last row matters for anyone in business. If you send your deck to a client after a meeting, they'll see the notes too unless you remove them. I keep a separate copy without notes for anything leaving my hands.

Using PowerPoint speaker notes for recorded talks and video

Notes are just as useful beyond live talks. If you record a presentation for a course or a YouTube channel, your notes are a ready-made script, and they're a great head start when you add subtitles to the finished YouTube video later.

Printing is also handy. Microsoft's help on notes mentions that on the web, printing notes is limited to work or school accounts with the file stored on OneDrive for work or school or SharePoint, so if you need a paper copy, the desktop app is usually the easier route. For a printed handout pack you design yourself, numbering the pages in Canva keeps everything in order.

If your PowerPoint speaker notes aren't showing

  • Notes pane missing in Normal view: click Notes on the bottom task bar.
  • Notes missing in the browser: View tab, Show group, Notes.
  • Notes not visible while presenting on the web: switch to the desktop app, because the web version can't show them during a slide show.
  • Audience can see your notes: you're probably duplicating screens. Check your display settings so the slides go to the second screen and Presenter View stays on yours.

Frequently asked questions

In the Notes pane below the slide, where it says Click to add notes. If you can't see it, click Notes on the task bar at the bottom of the window.

Can the audience see my speaker notes?

Not in Presenter View. Microsoft says Presenter View shows your notes on your screen while the audience sees only the slides. Anyone you send the file to can read the notes, though.

How do I make the Notes pane bigger in PowerPoint?

Point at the top edge of the Notes pane until you see a double-headed arrow, then drag upward.

Can I see my notes while presenting in PowerPoint for the web?

No. Microsoft says the web version can't show your notes during a presentation, so use a desktop version of PowerPoint for that.

How do I add notes in PowerPoint on a Mac?

Go to View, then Normal, select the slide thumbnail, select Click to add notes and type. Use View, then Presenter View, to see them while you present.
