To add a checkbox in Excel, select the cells you want, go to the Insert tab and choose Checkbox. If you don't see it, your version uses the older route: the Developer tab, Insert, then the check box under Form Controls, which you link to a cell yourself.
A column of tick boxes turns a dull list into something you'll use: a content checklist, a packing list for orders, or a launch plan where you can see at a glance what's done. Excel now has two quite different kinds of checkbox, and which one you get depends on your version.
I'll cover the newer cell checkbox first, because it's far simpler, then the older Developer tab method that still turns up in plenty of guides and templates.
Two kinds of checkbox in Excel
| Type | Where it lives | Good for |
|---|---|---|
| Cell checkbox | Insert, then Checkbox | Quick to-do lists and trackers |
| Form control check box | Developer tab, Insert, Form Controls | Older files and forms with a linked cell |
Microsoft's help page for the newer feature lists Excel for Microsoft 365 and Excel for Microsoft 365 for Mac. If you don't see Checkbox on your Insert tab, skip to the Developer tab section further down.
Adding a checkbox to Excel cells from the Insert tab
- Select the cells where you want the boxes, such as a whole Done column.
- Go to the Insert tab and select Checkbox.
- Click any box to tick or untick it.
That's it. The boxes sit inside the cells themselves rather than floating over the sheet, so they line up neatly with each task. You can also select several and press the Spacebar to toggle them all at once, which is handy when you've finished a batch of tasks.
What a ticked Excel checkbox means to your formulas
This is the part that makes cell checkboxes useful rather than just pretty. Microsoft says a ticked box holds the value TRUE and an empty one holds FALSE, and any formula that refers to that cell sees that value.
Microsoft's own example is =IF(A1, "Checked", "Unchecked"), which shows a word depending on the box in A1. In practice I'd use the same idea to show Done or To do next to each task, or to count how many items you've completed with a COUNTIF on TRUE.
A neat trick: pair the checkbox column with conditional formatting so a row greys out when it's ticked. Your eye goes straight to what's left.
Removing checkboxes from Excel cells
Deleting cell checkboxes has one quirk Microsoft spells out. Select the cells and press Delete. If all the boxes are empty, they disappear. If any are ticked, the first press only clears the ticks, and a second press removes the boxes.
If you want to keep the TRUE and FALSE values but lose the tick-box look, go to Home, then Clear, then Clear Formats. Bear in mind that clears all the other formatting on those cells too.
Adding a form control check box from the Developer tab
If your version doesn't have Insert, Checkbox, or you're editing an older template, use the form control method. First, switch on the Developer tab if you can't see it: go to File, Options, Customize Ribbon, tick Developer and select OK.
- On the Developer tab, select Insert.
- Under Form Controls, select the check box icon.
- Click the cell where you want the box to appear.
- Select the label text next to the box and type your own wording. If the text is cut off, drag a control handle to make it wider.
Microsoft says you can only add one of these at a time. To add more, right-click the first one and use Copy and Paste.

Linking an Excel form check box to a cell
Form control check boxes float over the sheet rather than sitting inside a cell, so if you want a formula to react to them, you link each one to a cell.
- Right-click the check box and select Format Control.
- On the Control tab, choose whether it starts Checked or Unchecked.
- In the Cell link box, enter the cell you want to connect it to, then select OK.
You'll need to do this for each box, which is why I'd use the newer cell checkboxes for anything longer than a handful of items.
Checkboxes in Excel for the web
Be careful here. Microsoft says Excel for the web doesn't support form control check boxes. If you open a workbook that contains them in the browser and edit it, the controls are lost, though you can bring them back with Previous Versions. Add and edit form control check boxes in the desktop app.
If your team lives in the browser, it might be easier to keep shared to-do lists in Google instead. My guide to adding a tick box in Google Sheets walks through the same idea there.
Checkbox ideas for creators and small business owners
- A weekly content checklist with columns for drafted, designed and posted.
- An order packing list where each line gets ticked as it's boxed up.
- A client onboarding tracker showing which documents have arrived.
- A launch plan you can filter to show only unticked tasks.
If your checklist ends up as a printable planner made in Canva, my steps for adding links in Canva let you point each item to the right file or page.
If you can't add a checkbox in Excel
- No Checkbox on the Insert tab? Your version may not have the newer feature yet. Use the Developer tab method.
- No Developer tab? Switch it on from File, Options, Customize Ribbon.
- Boxes vanished in the browser? Form control check boxes aren't supported in Excel for the web. Check Previous Versions.
- ActiveX check boxes? Microsoft keeps separate help for those, and I'd avoid them for simple lists.
Frequently asked questions
Where is the checkbox in Excel?
In newer versions, select your cells and go to Insert, then Checkbox. In older versions, use the Developer tab, Insert, then the check box under Form Controls.
What value does an Excel checkbox give a formula?
Microsoft says a ticked cell checkbox holds TRUE and an unticked one holds FALSE, so formulas such as IF can react to it.
How do I tick several Excel checkboxes at once?
Select the cells with checkboxes and press the Spacebar to toggle them together.
Why won't my Excel checkboxes delete?
If any are ticked, the first press of Delete only clears the ticks. Press Delete a second time to remove the boxes.
Do checkboxes work in Excel for the web?
Microsoft says form control check boxes aren't supported in Excel for the web, and editing such a file there loses them. Use the desktop app for those.
