If you run HR alongside everything else, pick a Sage HR alternative that handles holiday, absence, documents and onboarding well before anything fancier. Group the options by the HR job you need covered, then test them with your own staff contracts during a trial.
Nobody starts a business because they love tracking holiday requests. Yet once you have a handful of staff, somebody has to keep contracts in one place, know who's off next Tuesday and remember when probation ends. In most small firms, that somebody is the owner.
Who this list is for: owners doing HR on top of the day job
I've written this for small business owners and office managers who run HR without an HR department. You might be using Sage HR now, or you might be comparing it with others before you choose. Either way, you need software that handles the basics reliably, doesn't need training to use, and grows with you if the team doubles.
Holiday tracking is the job that can't slip
If you employ people in the UK, holiday is a legal entitlement, not a perk. GOV.UK's holiday entitlement guidance says almost all workers are legally entitled to 5.6 weeks of holiday a year with pay. Part-timers, irregular hours and people who join mid-year all have their own calculations, which is why a spreadsheet tends to break. Whatever tool you choose, make sure it works out allowances for different contracts and shows staff their own balance.
Grouped by the HR job you need covered
- Records, holiday and documents: Breathe HR, CharlieHR, Simployer and Zoho People describe general HR software, so check what each covers for holiday and documents.
- Shift and deskless teams: Kenjo describes shift planning, time tracking and payroll preparation, and Employment Hero combines HR with payroll.
- HR joined to payroll, IT or global staff: HiBob, Humaans and Rippling describe HR joined with payroll, finance, IT or global teams.
- Reviews and growth: Lattice describes managing people and performance, so check what Leapsome covers beyond general HR before you trial it.
Most owners only need the first group to begin with. Performance tools are valuable once you have managers running reviews, and joined-up HR and payroll platforms make sense once payroll errors or new starters across countries become a weekly headache.

What to try during a free trial or demo
- Book a holiday as an employee, approve it as a manager and check the calendar updates for everyone.
- Add a part-time starter who joins mid-year and see whether their allowance looks right.
- Upload a contract and check who can see it.
- Run a sickness absence through and see how it's recorded and reported.
- Export your data, so you know you can leave if you need to.
Those five tasks take about half an hour and tell you more than any demo video. If a tool makes one of them awkward, your team will feel that awkwardness every week.
It's also worth asking who you'll talk to when something goes wrong. Software won't give you employment law advice, and some providers offer HR support or document templates alongside the tool while others don't. If you've never had to manage a disciplinary or a long sickness absence, that support can matter more than any feature, so ask what's included before you sign up.
For a wider view, my guide to HR software for small businesses covers more options, and if you're still writing your policies, start with these employee handbook templates.
My advice for owners running HR alone
Buy for the HR jobs you do every week, not the ones you might do in two years. Holiday, absence, documents and onboarding are the core for most small firms. Get those working smoothly, make sure staff can serve themselves, and add performance or payroll features later when you've a clear reason.

Frequently asked questions
Do small businesses need HR software at all?
Once you have more than a few staff, tracking holiday, absence and documents in spreadsheets and email gets risky. HR software keeps one record per person and lets staff check their own details.
Can HR software work out UK holiday entitlement?
Most HR tools aimed at UK firms calculate allowances, including for part-time staff. Test it with your own contract types during a trial, especially irregular hours or mid-year starters.
Should HR and payroll be in the same tool?
It helps once payroll errors or double entry become a problem, because changes to an employee flow straight through. Many small firms start with HR only and connect payroll later.
How hard is it to move from Sage HR to another tool?
Most providers can import employee records from a spreadsheet export. Plan time to check holiday balances and documents carefully after the import, before staff start using the new system.
What should staff be able to do themselves?
At least book holiday, check their balance, update personal details and see their own documents. Self-service is what saves an owner the most time.
