Best MSP Quoting Software (2026): 9 Tools Compared

The best MSP quoting software falls into three groups: MSP-native quoting and CPQ tools, general CPQ and proposal platforms that MSPs use, and the quoting modules built into a PSA. If you already run a PSA, compare its quoting module with a stand-alone tool, and check that accepted quotes land in the PSA without anyone retyping them.

Every MSP owner hits the same fork: buy a stand-alone quoting tool, or make do with the quotes module inside the PSA you already run. Both can work. The nine tools below cover each route, in no particular order, so you can see which side of the fork suits the way your team sells.

Quoting sounds like a small job until you count how many people touch a quote: the engineer who scopes it, the account manager who sends it, the client who signs it and whoever orders the kit. The right tool shortens that chain.

Stand-alone quoting tool or the quotes module in your PSA?

HaloPSA and Syncro are PSA platforms first. The first lists quotations, sales orders and purchase orders among its features; the second lists estimates, invoicing and payments created from inside its RMM and PSA. If your quotes are simple and your team lives in the PSA all day, a built-in module may be all you need, and it's one less login.

A stand-alone tool earns its place when quotes get complicated: bundles of hardware, licences and managed services, several distributors, approval steps, e-signatures and recurring agreements. That's where dedicated quoting and CPQ tools go further, as long as they hand the accepted quote back to the PSA cleanly.

MSP-native, general CPQ and PSA-based quoting

MSP-native quoting and CPQ. Five of the nine were built with MSPs in mind. ITQuoter describes itself as designed by MSPs for MSPs, with ePayment and online ordering in its proposals. Two come from big platform vendors, ConnectWise and Datto, which is part of the Kaseya group, and the other two are independent tools built to hand quotes to your PSA. All four are covered in the next section but one.

General CPQ and proposal platforms. QuoteWerks builds quotes from connected product catalogues and CRM data, and lists MSPs and IT solution providers as one of its industries. Zomentum unifies proposals, quotes, e-sign, renewals and payments, with an MSP-ready CRM on top. Both suit MSPs whose proposals look more like sales documents than parts lists.

Quoting inside a PSA. The two PSA platforms from the section above sit here. Choose them when having one system matters more to you than the deepest quoting features.

The quote has to land in your PSA

Here's what decides whether a quoting tool saves time or adds a step. The accepted quote has to land in your PSA and use your distributor's catalogue, or someone retypes every order. Retyping is where margins leak: a missed licence, a wrong part number, a recurring line that never gets billed.

The vendors know it. Salesbuildr's page says accepted quotes land in Autotask, ConnectWise or Halo. ConnectWise CPQ's page says it pulls and compares catalogues from multiple distribution partners. Datto Quote Manager's page says it unifies suppliers through vendor data feeds. Those are vendor claims, so make each one prove it: in the demo, ask to see a quote built from your own distributor catalogue and pushed into your own PSA.

Check ownership too. Quoter's web address now sits on ScalePad's site, so ask who supports the product, where the roadmap is heading and whether your contract terms carry over if anything changes.

My advice for MSP owners choosing a quoting tool

Start from your PSA, not the quoting tool. Write down which PSA you run and which distributors you buy from, then cross off any tool that can't show a live quote going into both. If your quotes are mostly simple renewals and small add-ons, try the quotes module in your PSA before you add another subscription. If you're quoting projects with hardware, licences and managed services in one go, a dedicated tool usually pays for itself in time saved.

For wider context, my list of proposal software covers tools outside the MSP world, and my guide to features to look for in RMM software helps if you're reviewing the rest of your stack at the same time.

Three mistakes MSPs make with quoting software

  • Buying for the proposal design. A good-looking quote that has to be retyped into the PSA wastes more hours than a plain one that flows straight through.
  • Skipping the distributor test. If the demo uses sample products instead of your own distributor catalogue, you haven't seen the part that matters.
  • Leaving engineers out. The people who scope the work should try the tool too, or quotes keep going out with the wrong parts and hours.

Fix those three and almost any tool on this list will save your team time. Ignore them and the best-looking one won't.

Frequently asked questions

What is MSP quoting software?

It's software that helps a managed service provider build quotes and proposals for hardware, licences and services, send them for signature and pass the accepted order into its PSA.

Do I need a separate quoting tool if my PSA has quotes?

Not always. A PSA quotes module can be enough for simple quotes. A separate tool helps when you quote complex bundles, use several distributors or want e-signatures and online ordering.

What's the difference between CPQ and quoting software?

CPQ tools add configuration and product rules and bundles on top of basic quoting, so complex quotes are built correctly every time.

Which PSA tools do MSP quoting platforms connect to?

It varies. Some vendors name Autotask, ConnectWise and Halo, and others say they integrate with major PSA platforms. Ask to see your own PSA working in the demo.

Can clients sign quotes online?

Several tools here offer online acceptance or built-in e-signatures, and some add online ordering and payment inside the proposal. Check which your clients will use.

How do I move quote templates to a new tool?

Usually by rebuilding them. Product catalogues often import from your distributor or a file, but templates, bundles and approval rules are normally set up again.
