The best online scheduling software is the one built around the scheduling job you have. There are three: giving people a link to pick a slot on your calendar, finding one time that suits a group, and handing each incoming meeting to the right person on a team. Tools differ more by the job they were built for than by their features.
Online scheduling software sounds like one product, but the tools sold under that name do different jobs. Some give you a link that people use to book time with you, some find a time that suits a whole group, and some decide which teammate takes each meeting.
This list covers ten scheduling tools for meetings, calls and consultations, using only what each maker's own website says, read on 2 Nov 2026 (as of Nov 2026). It's alphabetical and in no particular order. If you take bookings for classes, tours or rentals, you'll want booking software instead, and if you're after a calendar app, that's another list.

Three jobs hiding behind one search
Here's what you wouldn't guess from the category name: these tools differ more by the job they were built around than by their features. Read the home pages side by side and three jobs come out.
- One person, one link: people open your link and pick a slot on your calendar.
- One time for a group: the tool looks across several people and finds a time that works for all of them.
- The right teammate: each incoming meeting goes to a person on your team, by turn or by rules.
Some tools here do more than one, but each page leads with one job. Start with the job you do most often, and judge the rest as extras.
For classes, tours or rentals where seats and stock matter, look at booking software.
A link people use to pick a slot on your calendar
This is the classic scheduling link. YouCanBookMe promises to 'eliminate the back and forth of scheduling', and says you can share your booking page on social media, your website, your email signature and in person. TidyCal calls itself a 'simple calendar management and booking solution', and says your booking page is live as soon as you create an account, with no domain or hosting needed.
SavvyCal works on the moment of choosing. Its page says it's replaced the click-a-day, then click-a-time routine with a week view, so recipients see every option at once and can lay their own calendar on top of your link. Cal.com describes itself as 'your all-purpose scheduling app', offering 'effortless scheduling for business and individuals'.
Finding one time for a group
The second job is different: you're not offering your own slots, you're looking for one time that suits several people. Doodle's page promises 'the best time for everyone, found automatically', for meetings inside your team or across companies, and says everyone sees the times in their own time zone.

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
Meeting polls, where guests vote on the times they prefer, are another route, and three tools on this list name them on their menus.
Routing meetings to the right teammate
The third job matters once more than one person takes meetings. Zcal offers 'round robin scheduling' that distributes meetings evenly among your team, with higher priority given to specified team members, plus team pages where clients can book individual team members. Calendar.com lists 'round-robin booking, shared availability' for teams, and routing rules under automation.
Some tools check who's asking before anything's booked. OnceHub's page talks about how to 'screen and qualify before scheduling', so every meeting starts with the right context, and it now offers phone agents that screen and book callers. Zoho Bookings has routing forms that qualify leads before they book and direct each appointment to the right person.
For staff who each keep their own calendar, TimeTap brings each staff member's booking page into a single booking site, and adds an automated waitlist.
Small settings that shape the booking
Beyond the main job, a few settings change how a link feels to the person booking. One tool on this list lets you host scheduling links on your own domain, one offers minimum notice periods and buffer time, and one adds automatic time zone detection beside daily booking limits.
Event types vary too. One maker here offers four of them: one-on-one, group, collective and resource-based. If you run group sessions as well as one-to-one calls, check that the tool you pick handles both.
Questions before you share a scheduling link
- Which job do I need most: a link for my own calendar, one time for a group, or routing across a team?
- Will people book me alone, or several teammates?
- Do I want to qualify people before they get a slot?
- Should guests be able to compare their calendar with mine?
- Do I need my scheduling link on my own domain or brand?
- Who on the team will own the availability rules?

My advice on picking a scheduling tool
Name the job before you compare tools. If it's mostly people booking time with you, shortlist the link tools and try booking yourself from the guest side. If you're forever chasing a group for one date, look at the tool built for that. And if leads or clients need sharing across a team, go straight to the round-robin and routing tools, and check how each one decides who gets the meeting.

Frequently asked questions
What does online scheduling software do?
On the pages here, it covers three jobs: giving people a link to pick a slot on your calendar, finding one time that suits a group, and routing each meeting to the right person on a team. Each tool's page leads with one of those jobs.
Which of these tools offer round-robin scheduling?
Several name it on their own pages. One distributes meetings evenly among your team with higher priority for specified members, one lists round-robin booking with shared availability, one distributes meetings across a pool of organizers, and one lists a new Round Robin feature to share meetings fairly across a team.
Can I qualify people before they book a meeting?
Two tools here say so. One talks about screening and qualifying before scheduling, and another uses routing forms to qualify leads before they book and send each appointment to the right person.
Can guests compare their own calendar with mine?
One tool here lets recipients lay their own calendar on top of your link and spot a time that works for both of you, without flipping between tabs.
Can my scheduling link use my own domain?
One tool on this list says you can host your scheduling links on your own domain for a white-labeled booking experience, and adjust the colours, banner image and avatar on your links to match your style.
Do these tools send reminders automatically?
Several say so. One sends automatic confirmation, reminder and follow-up messages, one sends automated confirmation and reminder notifications, and one lets you send confirmations, reminders and follow-ups on your schedule, in your words.
