Housecall Pro Review: Three Plans, Seat Counts and a Demo

Housecall Pro is home-service software for HVAC, plumbing, cleaning, landscaping and handyman firms that want online booking, dispatch, estimates, invoicing and payments in one place. The catch is the jump between plans: as of Oct 2026, routes, GPS tracking and QuickBooks Online sync start on Essentials at 149 dollars a month billed annually, not on the 59 dollar Basic plan.

Housecall Pro's pricing page is busier than most, with save badges, one-month offers and placeholder figures stacked on the cards. I read it line by line and kept only the three list prices and what each plan includes, so you can see which seat count and feature set you'd be paying for.

Basic, Essentials and MAX side by side

PlanBilled annually / monthly view (US dollars, excluding sales tax)Seats includedWhat it addsWhere it stops
Basic59 / 79 a monthOne userOnline booking, scheduling and dispatch, estimates and invoicing, payments and consumer financing, price book, job costingNo routes, GPS tracking, commissions or QuickBooks Online sync
Essentials149 / 189 a monthFive usersRoutes, flat-rate pricing, checklist automations, photo reports and annotations, employee GPS tracking, commissions, QuickBooks Online syncNo route optimisation, recurring service plans or open API
MAX299 / 329 a monthEight users, then 35 dollars a month per additional userSales proposal tool, recurring service plans, route optimisation, open API access, a dedicated onboarding specialistBooked through a demo rather than a sign-up button

Prices as of Oct 2026, in US dollars and exclusive of sales tax, which the page says may apply depending on your state. The first figure is billed annually and the second is the monthly view. Check the vendor's pricing page before you buy.

Where the Housecall Pro entry plan runs out

Basic looks complete for a solo operator, and for one person it may well be. It has online booking from Google or your website, scheduling and dispatch, estimates and invoicing, card payments and consumer financing, a price book and even job costing. What it doesn't have is much that helps you run more than one person in the field.

Routes that group and sequence jobs to cut drive time, employee GPS tracking from techs' phones, commissions by item, service or job type, checklist automations, photo reports and QuickBooks Online sync all begin on Essentials. So the decision isn't 59 against 149 dollars billed annually. It's whether you need any of those features, and once a second tech joins, most of them start to matter.

Two smaller points. Basic includes one user and Essentials includes five, and the page lists an extra-user charge of 35 dollars a month only against MAX. The pricing FAQ says add-ons and extra users are optional, so you only pay for what you need. And the cards carry save badges, short offer prices and placeholder figures. I've ignored all of those, because none of them is what you'll pay once the offer's over.

What you get from Housecall Pro day to day

Customers can book and pay online 24/7 directly from Google or your website. Scheduling and dispatch assigns techs to the right job at the right time. Estimates turn into invoices in seconds, customers can pay in the field or online, and you can offer financing to close bigger jobs. The price book keeps your services priced accurately, and job costing tracks and reports the costs on each job.

Essentials is the operations layer. Flat-rate pricing builds your profit margins into service prices, custom checklists make sure each job is done the same way, and photo reports let a tech mark up job photos with drawings and notes. GPS tracking uses the tech's mobile phone, so there's no hardware to buy, and QuickBooks Online sync imports your existing QuickBooks data.

MAX is for firms selling bigger work and recurring contracts. The sales proposal tool builds visual proposals with your own images and side-by-side options, recurring service plans set up maintenance agreements, route optimisation reorders jobs in one click based on real drive time and live traffic, and open API access connects Housecall Pro to other systems. It also comes with a dedicated onboarding specialist. If the diary needs filling rather than organising, there's more in this guide to finding leads for trades firms.

Good fit, poor fit: Housecall Pro

Housecall Pro makes sense for:

Work with me

Want AI doing the heavy lifting in your marketing?

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

  • Solo HVAC, plumbing, cleaning, landscaping or handyman pros who want booking, dispatch, estimates, invoicing and card payments, starting on Basic.
  • Owners who expect to hire and are happy to move up as staff join, since Essentials includes five users.
  • Firms that want GPS tracking without buying hardware: the page says it works from the tech's phone.

It's harder to justify for:

  • Anyone who needs routes, checklist automations, GPS tracking, commissions or QuickBooks Online sync but wants to stay on Basic.
  • Buyers who'd rather sign up for MAX online than book a demo call.
  • Anyone who wants prices in another currency, since the page says all prices are in US dollars.

If online booking is the part you care about most, it's worth reading up on online booking tools that suit trades firms before you commit to a plan.

Housecall Pro: the advice I'd give a new owner

I'd use the 14-day trial to look hard at the features of the plan you'll need in a few months, not just the one you need today. If you're solo and plan to stay that way, Basic covers the work at 59 dollars a month billed annually. If you're hiring, judge Essentials, because routes, GPS tracking and QuickBooks Online sync are the features you'll miss first. I'd skip Housecall Pro if you want MAX without a sales call, or if moving up a plan just to get QuickBooks Online sync would annoy you.
