ClickUp Dashboards turn the task data in your Workspace into visual cards, so you can see progress, tracked time and project performance on one screen. Every plan can build them, but as of October 2026 Free Forever gets 60 uses and Unlimited gets 100, and simply viewing a Dashboard counts as a use.
That last point is the one to plan around. ClickUp counts creating a Dashboard, creating a Dashboard view, viewing one, and adding, editing or removing a card as uses, and those uses don't reset. On Core, Dashboards are a trial. Unlimited uses only start on Business. So if you're on a lower plan and want a Dashboard your team opens every morning, the allowance is going to run out.
Dashboard usage limits by plan
| Plan | Dashboards | Scheduled reports |
|---|---|---|
| Free Forever | 60 uses | 40 uses |
| Unlimited | 100 uses | 40 uses |
| Core | Trial | 40 uses |
| Business | Unlimited uses | 40 uses |
| Business Plus | Unlimited uses | Unlimited uses |
| Enterprise and Max | Unlimited uses | Unlimited uses |
Scheduled reports are counted differently. A use is one email sent, however many people it goes to. ClickUp's example is a Dashboard emailed to ten recipients every Monday and Friday, which uses two a week. These don't reset either, and each scheduled report also counts as an active Automation towards your monthly Automations usage.
Three kinds of ClickUp Dashboard
Where you create a Dashboard decides where people find it. A Dashboard view sits in the Views Bar of a Space, Folder, Subfolder, List or Sprint location, right next to the work. A Dashboard created from a Space, Folder, Subfolder or List lives in that part of the Hierarchy. One created in Dashboards Hub or from the toolbar is only visible in the Hub by default, though you can add it to a location later. Whatever the type, every Dashboard also shows up in Dashboards Hub.
You can start from scratch or from a template. Simple Dashboard, AI Team Center and AI Personal Center are on all plans. Time Tracking and Project Management need Business or above, and Sprint Reporting needs Business or above plus a List that's a Sprint. The Location (Data source) dropdown sets where the Dashboard pulls its data from.
How to build a Dashboard from scratch
- In your Global Navigation, select Home, Spaces or Dashboards.
- In the upper-right corner of the sidebar, click the plus icon and select Dashboard.
- Choose a template, or click Start from scratch.
- Click + Card in the upper-right corner and pick a pre-made card or create a custom one from the sidebar categories.
- Make sure Edit mode is on in the upper-left corner, then click a card's cog icon to change its settings and click Save.
- Drag cards into place, or turn on Auto Layout from the ellipsis menu so they close up empty space automatically.
You won't see Edit mode on Dashboards created from a template. You can undo up to five recent layout changes, but adding or removing a card resets that undo history. There's a ceiling as well: 100 cards per Dashboard, and up to 500 rows of cards.
Filters that apply to every card
A Dashboard filter, set from Filter while in edit mode, applies to every supported card at once, including cards you add later. You can then layer card filters on top. ClickUp's example is a Dashboard filtered to one List with a Calculation card filtered to in-progress tasks, which gives you a count of work in progress for that List. Filter fields include assignee, status, dates created, updated, closed and done, due and start dates, priority, tags, time estimates, time tracked, Sprint points and Custom Fields.
Not every card accepts Dashboard filters. ClickUp's newer Sprint Velocity, Burnup and Burndown cards can't use them, while the legacy versions can.
Sharing, PDFs and scheduled reports
This is the bit that surprises people who report to clients: Dashboards can't be shared with anyone outside your Workspace. Inside it, you can make a Dashboard public to the whole Workspace or share it with individuals, and sharing with Teams needs Business Plus or above. A shared Dashboard follows the permissions of the location the data is in, so if someone can see a List, they'll see every task from it.
For anyone outside, export a PDF from the download icon. Each page is laid out in two columns of cards, embed cards aren't included, and if the file is over 10mb the emailed version arrives as a download link. Or set up a scheduled report: click Schedule report, then Add schedule, set the start date, repeat, time, timezone and end, and enter To, CC and BCC addresses. ClickUp then emails a PDF copy on that schedule. Scheduled Reports are still being released to Workspaces gradually.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
When the numbers look wrong
Cards only show data from tasks you can view, so two people can see different numbers on the same Dashboard. Dashboards auto refresh every 30 minutes, but if you've just updated tasks, click the Refresh icon. Refreshing the Dashboard doesn't refresh AI Cards, which you refresh by hand. Time-based cards can show data back to August 2020, and cards show every status in the Workspace, not just the ones used in that location. Guests only see cards when they can access the tasks or locations behind them, and they can't create Dashboards or add cards.
My verdict on ClickUp Dashboards
I'd build Dashboards if you're on Business or above and want one screen for workload, time and project health, or a weekly PDF landing in a stakeholder's inbox. I'd skip relying on them on Free Forever, Unlimited or Core, because every view eats into a limit that doesn't come back. For the time side, my guide to ClickUp time tracking covers how the data gets in, and if you're comparing tools, here's my list of the best dashboard software.
A Dashboard is only as useful as the data feeding it, and getting that data to update itself is most of the job. I run AI training and workshops for teams, and help businesses with AI enablement and workflow automation, so the busywork runs itself and people get time back. Most of that work is with SaaS marketing teams and small businesses. Here's how we can work together.
Frequently asked questions
Is ClickUp Dashboards free?
Yes, Free Forever includes Dashboards with a limit of 60 uses as of October 2026. Viewing, creating and editing all count, and the uses don't reset.
Can I share a ClickUp Dashboard with a client?
Not as a live link. Dashboards can't be shared outside your Workspace, so export a PDF or schedule a report to their email address instead.
How often do ClickUp Dashboards refresh?
They auto refresh every 30 minutes. You can also refresh the whole Dashboard or a single card by hand.
How many cards can a ClickUp Dashboard hold?
Up to 100 cards. Once you hit that, you can't add or duplicate cards until you remove one.
Why does my colleague see different numbers?
Dashboard cards only show data from tasks each person has permission to view.
