Wix Events: Create Events, Manage Guests and Handle Refunds

Wix Events is the Wix Events and Tickets app: add it to your site and you get a dedicated events page where visitors find upcoming events, RSVP and buy tickets. You create each event from Events in your site's dashboard, choose RSVP or ticketed, save it as a draft and publish when it's ready.

Here's the catch. The choice between a ticketed event and an RSVP event can't be changed after you click Create Draft, and it decides what you can do later. Waitlists only work on RSVP events. A published event can't go back to being a draft. And if you cancel a ticketed event, refunds don't happen in one click: each order has to be refunded individually through the payment provider used for the original purchase.

RSVP or ticketed: decide first

Guest limitUnlimited or a set maximumLimit the number of tickets available

If you just want people to say they're coming, RSVP is simpler. If you'll take payment, even for some tickets, pick ticketed from the start. Guests who buy get their tickets as a printable PDF, and you can also sell at a Point of Sale using your phone.

Adding the app and creating your first event

You can add Wix Events from the editor or from the Apps tab in the dashboard. In the editor, click Add Apps on the left, search for the Wix Events and Tickets app and click Add to Site. If you're still finding your way round, my guide to the Wix Editor covers the basics. Then build the event:

  1. Go to Events in your site's dashboard and click + Add Event.
  2. Select Ticketed event or RSVP event. This can't be changed once you click Create Draft.
  3. Add the general info: event name, a short teaser, up to 10 event categories and an image.
  4. Set the date, time and time zone, or mark it To Be Decided with a message such as Stay tuned for details.
  5. Add a physical location, an online location title such as Webinar, or To Be Decided, then click Create Draft.
  6. For ticketed events, create one or more ticket types in the Tickets and Seating tab.
  7. Check the Settings tab for registration, forms, policies and emails, then publish from the Drafts tab.

A small time-saver: when you type a location, Wix shows up to 15 locations from your past events so you can pick a saved venue. If you run the same event again and again, create a recurring event instead of starting from scratch, then change individual occurrences where you need to. You can also duplicate a draft with Duplicate as draft from the More Actions icon.

Online and hybrid events

An online event is created almost the same way. Choose Online as the location and give it a title. For a hybrid event, pick a physical location and add video conferencing from the Features tab, where Zoom is built in. You can also host on another platform, such as YouTube streaming or Facebook Live, or use Wix Video's live streaming.

The part people forget is how guests get in. Guests need access information, such as a link and login details, and you decide when and how they get it. Your options are the confirmation email, a reminder email, Wix Automations, an email marketing campaign, an email to your exported guest list, or the Wix app, where you can broadcast to all guests or start a discussion. For ticketed online events, Wix suggests switching off the Include PDF ticket in the email toggle and rewriting the default text, which tells guests to bring their tickets. If you'll send login details 1 hour before the start, say so in the confirmation email.

Guest limits and waitlists

For RSVP events, go to the event's Settings tab, click Edit next to Registration settings, choose Limited guests and enter the Max number of guests. Then decide what happens when you hit it: close registration, or keep taking sign-ups onto a waitlist. You can restrict registrations to one per email by setting event permissions to Only site members.

To let someone in from the waitlist, open the Guests tab, filter by Waitlist, select their name and change the status from Waitlist to Going. If you raise the guest limit, an automated email goes to waitlisted guests and the extra spots fill on a first-come, first-served basis. You can edit or switch off that waitlist email, but only on desktop.

Exporting guests and orders

Exports come as a .csv file from the Guests or Orders tab. They're not the same list. For ticketed events, the order list tracks purchases and the guest list tracks attendees, so one order for two tickets shows as one order with two guests. The guest list export is also the easiest way to see every answer to your custom registration questions on one page.

Cancelling a ticketed event and refunding guests

Wix lays this out in three steps, and the order matters. First, in Settings under Emails you send to event guests, make sure the Cancelation email toggle is on and edit the text. Second, cancel the event from the More Actions icon, which stops new ticket sales and notifies guests if that email is on. Third, refund each order from the Orders tab with Refund Order.

Work with me

Want AI doing the heavy lifting in your marketing?

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

Refunds go through the provider used for the original purchase, so tickets bought via PayPal are refunded within PayPal. Anything paid outside Wix, such as cash or in person, has to be refunded outside Wix too. If you'd rather not cancel, you can reschedule the event for a later date, or remove a single order while the event stays active.

My verdict on Wix Events

I'd use Wix Events if your site's already on Wix and you run talks, classes or community events, because guest lists, waitlists and emails live in one dashboard. Pick RSVP or ticketed carefully, and put the join details in your emails before you publish an online event. I'd skip it for appointment-style sessions with one person at a time, where Wix Bookings is the closer fit.

Most of what slows an event down is the follow-up admin around it. I run AI training and workshops for teams, and help businesses with AI enablement and workflow automation, so the busywork runs itself and people get time back. Most of that work is with SaaS marketing teams and small businesses. Here's how we can work together.

Frequently asked questions

Can I change an RSVP event to a ticketed event in Wix?

No. The event type can't be changed after you click Create Draft, so you'd need to create a new event with the other type.

Does Wix Events have a waitlist for ticketed events?

No. Waitlists are only available for RSVP events. For ticketed events you can limit the number of tickets available to buy.

Why isn't my published event showing on my site?

Check your editor settings. If Which events are shown? is set to Select Manually, you need to select the new event yourself.

Can I turn a published event back into a draft?

No. Once it's published it can't go back to draft, but you can hide it from your live site by changing which events you display.

How do I refund tickets for a cancelled Wix event?

Refund each order individually from the Orders tab, through the payment provider used for the original purchase. Payments made outside Wix are refunded outside Wix.
