The Microsoft 365 admin center is where you run your business's Microsoft 365 account: adding people and assigning their licences, resetting passwords, billing, activity reports and groups all live there. You open it by signing in to Microsoft365.com with a work account, opening the app launcher and choosing Admin, as long as you've got admin permission.
Here's the catch. Most small business owners only ever need Users, Billing and Products. The trouble starts when you go looking for a shared mailbox setting, a domain or a security role, because those jobs live in different places, and some admin centres only show up depending on your plan and region. Here's the map, as of October 2026.
Simplified view or Dashboard view
The admin center has two views, and a button at the top switches between them.
- Simplified view is built for smaller organisations and covers the common tasks. Its tabs include Users, Teams, Products, Upcoming changes and Learn. Products is where you add licences and change your payment method.
- Dashboard view carries the more complex settings, and it's what most users see.
If you only manage a handful of people, I'd switch to the simplified view. It hides the menus you'll never touch, and you can always flip back when you need a deeper setting.
What each menu is for
| Menu | What you'll do there |
|---|---|
| Users | Add people and assign licences, delete or restore users, reset passwords |
| Teams and groups | Microsoft 365 groups, Teams, distribution groups, security groups and shared mailboxes |
| Roles | Assign Microsoft Entra built-in roles for access to other admin centres |
| Billing | Billing for your Microsoft 365 account |
| Settings | Password policy and expiry, domain names, organisation profile, release preferences, partner access |
| Setup | Domains, multi-factor authentication, admin access, mailbox migration, app installs |
| Health | Service health and its history |
| Admin centers | Links to the separate Exchange, Teams, SharePoint, Viva Engage and Microsoft Entra admin centres |
Reports is where the activity reports sit, so you can see how your team uses the services you're licensing. The full left-hand menu also includes Home, Resources and Support. You won't need every item. For most small business owners, Users, Billing and Products do the heavy lifting.
Open it and add your first person
- Sign in at Microsoft365.com with your work account.
- Open the app launcher and choose Admin. If you don't see it, your account doesn't have admin permission.
- Switch to the simplified view if you only manage a few users.
- Open Users to add a person and assign their licence in the same step.
When someone leaves, Users is also where you delete their account, and where you restore it if you find you still need it.
If you're still working out which plan your team's on, whether Microsoft 365 is free is a good place to start.
Settings and Setup: the two easily confused menus
Settings is where your business-wide rules sit: password policy and expiry, domain names, your organisation profile, release preferences, and whether partners can access your admin center. That last one's worth a look if you've ever worked with an outside IT firm.
Setup is the guided side. It's where you manage domains, turn on multi-factor authentication, manage admin access, migrate mailboxes and help people install their apps. If you haven't switched on multi-factor authentication yet, Setup's the first place I'd go.
Which admin centre holds what
The main admin center doesn't hold every setting. Separate admin centres open for Exchange, Teams, SharePoint, Viva Engage and Microsoft Entra, and each one carries all the settings for its own service. Which of those you see depends on your plan and region.
Roles is the bridge. It's where you assign Microsoft Entra built-in roles, which is what gives someone access to those other admin centres. If a colleague needs to manage the mail side but not your billing, a role is how you do it rather than handing over your own login.
Keep an eye on changes
Message center tracks upcoming changes and announcements, and Health shows service health and its history. When something stops working for the whole team at once, check Health before you start resetting anything. If you're weighing up plans, this Microsoft 365 plan comparison sets them side by side.

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
My verdict on the admin center
I'd learn Users, Billing and Products well, and ignore the rest until you need them. Switch on multi-factor authentication in Setup, give anyone who helps you a role instead of your password, and use the simplified view if you're a small team. Don't go hunting for mailbox or SharePoint settings in the main menus, because they're in their own admin centres.
If your Microsoft 365 set-up is holding your team back, fixing that's often the first step before any AI work. I run AI training and workshops for teams, and help businesses with AI enablement, AI automation and GEO, which is about getting your business seen and cited in AI answers. Most of that work is with SaaS marketing teams, telecom companies and small businesses. Here's how we can work together.
