Best RPA Software: 11 Robotic Process Automation Tools

The best RPA software depends on how big your automation plans are: a browser bot tool suits small teams with web tasks, an open source framework suits developers, and an enterprise platform suits companies automating across many departments. Eleven options follow in no particular order.

Robotic process automation, or RPA, uses software bots to do the clicking and typing people do in other systems: copying data between apps, filling forms, downloading reports. It's most useful where old systems have no API and someone's spending hours on copy and paste.

The eleven tools below are listed alphabetically and in no particular order, from free open source frameworks to platforms built for big automation programmes. Every description comes from the vendor's own site, read this week. Before you buy anything, my automation audit checklist helps you find the tasks worth automating.

RPA tools side by side

In the free plan column, Yes means the tool's own site names a free plan, a free version, a free tool or an open source edition. Trial only means a time-limited trial. Not stated means the pages I read named neither, even where there's a button inviting you to try it.

Want AI doing the heavy lifting in your marketing?

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

Classic bots, workflow tools or AI agents?

Classic RPA bots follow exact steps on screen, which makes them reliable for stable, rule-based tasks and fragile when a screen changes. Workflow tools connect apps through their APIs instead, which is sturdier when an API exists. AI agents are the newest layer: they can read documents and handle some variation, but they need closer supervision.

Most vendors now sell all three under one roof. Ask which one your task needs. If the apps have good APIs, you may not need screen-level bots at all; my guide to Zapier alternatives covers that route.

When a bot makes decisions about people

The ICO explains that Article 22 of the UK GDPR adds rules for solely automated decision-making with legal or similarly significant effects on people, and that this type of decision-making is only allowed where it's necessary for a contract, authorised by law or based on explicit consent.

Most RPA moves data rather than deciding anything, so it won't be caught. But if a bot approves or rejects a loan, a job application or a refund on its own, check the rules first or keep a person in the loop for the final call.

Questions to ask before you choose

  1. Which tasks will we automate first, and how often do those screens change?
  2. Do the apps involved have APIs we could use instead?
  3. Who will build and fix bots: IT, a centre of excellence or business users?
  4. Can bots run unattended on servers, or only on someone's desktop?
  5. How does it log what each bot did, for audits?
  6. What happens when a bot fails halfway through a task?

Signs a task is ready for a bot

  • Someone copies data between two systems every day. That's the classic case.
  • The rules fit on one page. Exceptions are rare and clear.
  • The screens rarely change. Bots hate surprise redesigns.
  • Mistakes come from tiredness. Bots don't get bored.

Do you make RPA software? Tool makers can ask to be considered for a featured place on this list.

My plain advice on choosing RPA software

Start with one boring, high-volume task that follows clear rules and rarely changes. Automate it, measure the hours saved and fix the problems before you add a second. A handful of bots that work beats a long list that keep breaking.

Plan for maintenance from day one. Screens change, logins expire and bots stop. Give someone the job of looking after them, and choose a tool your team can fix without calling a consultant.

Frequently asked questions

What is RPA software?

It's software that uses bots to copy the clicks and keystrokes people make in other applications, so repetitive tasks run automatically.

What's the difference between RPA and workflow automation?

RPA works through the screen like a person. Workflow automation connects apps through their APIs. Many tools now offer both.

Is RPA being replaced by AI agents?

Not replaced, but joined. Bots handle exact, rule-based steps; AI agents help with documents and judgement calls under supervision.

Are there free or open source RPA tools?

Yes. Some tools in the table name a free community edition or an open source framework. Check the free plan column.

What tasks suit RPA best?

Repetitive, rule-based tasks in stable systems, such as copying invoice data between apps or downloading and filing reports.

Why do RPA bots break?

They follow exact screen steps, so a moved button, a new pop-up or an expired password can stop them.
