The best AI proposal software drafts a first version of your proposal from a short brief, then lets you edit, brand and send it so you win work faster. Some tools are built for freelance bids, some for sales teams and some for formal RFPs. Ten options follow in no particular order.
Writing proposals eats the hours you'd rather spend doing the work. AI won't win the client for you, but it can turn your notes into a tidy first draft in minutes, and that's where most of the time goes.
The ten tools below are listed alphabetically and in no particular order. Each description comes from the tool's own site, read this week. If you'd rather start from a proven structure, my proposal template that closes pairs well with any of them.
AI proposal tools at a glance
In the free plan column, Yes means the tool's own site describes free use or a free plan, Trial only means a time-limited trial and No means neither is stated on the pages we read. Most proposal tools also offer a demo if you'd like a walkthrough first.

The data question nobody asks before pasting in a brief
Here's the part most people skip. The ICO's guidance on AI and data protection has been updated with new content on what to consider as part of a data protection impact assessment, alongside chapters on transparency, lawfulness, accuracy, fairness and security.
If you paste client names, project details or personal data into an AI proposal tool, check where that data goes and whether the tool uses it to train its models. Look for a clear data policy and settings that let you switch training off.
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
Freelance bids, sales proposals or formal RFPs?
These tools solve three different problems. Freelance bid writers help you answer job posts quickly. Sales proposal tools focus on branded documents, e-signatures and tracking what the buyer reads. RFP tools draw answers from a library of past responses for long, formal questionnaires.
Work out which of the three describes most of your proposals, then shortlist from that group. A freelancer doesn't need an RFP library, and a bid team won't get far with a tool built for quick platform pitches.
How to get a good first draft from AI
- Give the tool the client's own words from the brief or call notes.
- Add your offer, timeline and the outcome the client cares about most.
- Ask for a short draft first, then expand the sections that matter.
- Rewrite the opening yourself so it sounds like you, not a template.
- Check every claim, date and deliverable before you send it.
- Save the strongest sections to reuse in the next proposal.
What to look for in an AI proposal tool
- Your own content. The tool should learn from your past proposals, not just generic templates.
- Brand control. Fonts, colours and layouts that match the rest of your materials.
- Tracking. A view of when the client opened the proposal and which sections they read.
- Easy acceptance. A clear way for the client to say yes and sign.
Where AI proposals go wrong
The most common problem is sameness. When everyone uses AI to write proposals, they start to sound alike, and the client can't tell you apart. The fix is simple: lead with the client's situation in their own words, add one specific idea they haven't heard elsewhere and keep the AI text for the structure around it.
Proposals for small businesses and solo consultants
If you're a solo consultant or coach, you don't need enterprise features. A tool that drafts quickly, looks professional and lets the client accept online covers almost everything. Save the bigger platforms for when you have a team sending proposals every week.
Do you make AI proposal software? Tool makers can ask to be considered for a featured place on this list.
My plain advice on AI proposal software
Use AI for the first draft and keep the final word for yourself. Clients can spot a generic proposal in seconds, and the bit that wins the work is the part that shows you understood their problem.
Pick one tool, write three proposals with it and compare your reply rate with what you had before. If it saves time without making your proposals sound like everyone else's, keep it. My guide on how to use AI to write a client-winning proposal shows the editing step in detail.
Frequently asked questions
What is the best AI proposal software?
It depends on what you send. Freelancers need fast bid writers, sales teams need branded proposals with tracking and bid teams need RFP tools.
Is there free AI proposal software?
Yes. Several tools on this list describe free use or a free plan. Check the table for each one.
Can AI write a whole proposal for me?
It can write a solid first draft, but you'll still need to add your own judgement and proof that you understand the client.
Is it safe to put client details into an AI tool?
Check the tool's data policy first. The ICO's guidance on AI and data protection covers the questions to ask, including whether a data protection impact assessment is needed.
What's the difference between proposal software and RFP software?
Proposal software creates branded documents for individual deals, while RFP software answers long questionnaires using a library of approved past answers.
Do AI proposal tools include e-signatures?
Many sales proposal tools include acceptance or e-signature features, so clients can sign without printing anything.
