Best Accounts Receivable Software (2026): 10 Tools Compared

The best accounts receivable software depends on where your cash gets stuck: sending invoices, chasing overdue ones, matching incoming payments or forecasting what's coming in. Small firms on cloud accounting usually need automated reminders, while bigger finance teams need cash application and customer portals. This page lists ten tools in no particular order, then covers how to choose one.

Late invoices rarely come down to one rude customer. Usually it's a reminder nobody sent, an invoice sitting in the wrong inbox, or a payment that arrived but never got matched to the right account. Receivables software exists to close those gaps, so your team spends less time chasing and more time talking to customers.

Below are ten accounts receivable and collections tools, listed alphabetically and in no particular order, from small credit control apps to enterprise platforms. Each description comes from the tool's own website, re-checked today. If you're still deciding what your terms should say, my cheat sheet for setting payment terms is a good companion to this list.

Receivables tools side by side

In the free plan column, Yes means the tool's own site describes an ongoing free plan, Trial only means a trial or a free starter allowance, and No means the site points you to a demo or a conversation with sales.

When a UK invoice legally becomes late

For UK businesses, this is the rule worth knowing before you set up any reminder schedule. GOV.UK's guide to late commercial payments says that if you don't agree a payment date with another business, the payment is late 30 days after the customer gets the invoice or after you deliver the goods or service, whichever is later. It also says agreed payment dates must usually be within 60 days for business transactions.

Want AI doing the heavy lifting in your marketing?

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

So your software's reminder timing should follow the terms you've agreed with each customer, and where you haven't agreed any, that 30 day default is what decides when an invoice counts as late. Put your terms on every invoice. If a customer disputes them, talk to a solicitor or your accountant rather than relying on a tool's default settings.

Reminder app, collections hub or full credit-to-cash suite?

  • Reminder apps: sit on top of your accounting software and send polite, scheduled chasers by email or text. They're right for small firms with a few dozen open invoices.
  • Collections hubs: add dispute tracking, customer portals and team workflows, so several people can work the same ledger without tripping over each other.
  • Credit-to-cash suites: cover credit checks, invoicing, cash application and forecasting for high-volume B2B suppliers, usually through a sales-led demo.

Getting receivables software live in six steps

  1. Export your aged debtors report so you know who owes what and for how long.
  2. Write down the agreed terms for each customer group, including any you've never formally agreed.
  3. Connect the tool to your accounting system and check invoices sync both ways.
  4. Draft a reminder sequence that starts friendly and gets firmer, with a phone call step for your biggest accounts.
  5. Run it on a small group of customers for a fortnight before switching everyone on.
  6. Review the dashboard weekly and rewrite any message that isn't getting replies.

Questions to ask in a receivables demo

  • How does it match a single payment that covers several invoices?
  • Can customers raise a dispute without emailing someone?
  • Which accounting systems does it sync with, and how often?
  • Can I pause reminders for one customer while we sort out a query?
  • What happens to my data and reminder history if I leave?

If you'd rather write your own chasers, my notes on chasing late payers without sounding like a debt collector show the tone that keeps relationships intact.

Do you make accounts receivable or collections software? Tool makers can ask to be considered for a featured place on this list.

My plain advice on accounts receivable software

If you're a small business on cloud accounting, start with a reminder tool that plugs into your ledger and offers a trial or a free starter allowance. Consistent, well-timed reminders fix more late invoices than any clever dashboard.

If you're a finance team handling hundreds of customers, look first at how each platform deals with cash application and disputes, because that's where the hours go. Ask for a demo using your own messy data, not the vendor's tidy sample ledger.

And whatever you choose, don't automate a reminder you wouldn't be happy to send by hand. Tone matters as much as timing, and a customer who feels nagged often settles last.

Frequently asked questions

What does accounts receivable software do?

It tracks what customers owe you, sends reminders, records payments as they arrive and shows which invoices are overdue, so you're not managing it all in a spreadsheet.

Is there free accounts receivable software?

A few tools offer an ongoing free plan or a free starter allowance, though most collections platforms here are sold through a demo. Check what the free option leaves out before you rely on it.

When is a UK business invoice legally late?

GOV.UK says that without an agreed payment date, it's late 30 days after the customer gets the invoice or you deliver, whichever is later. For anything disputed, speak to a solicitor.

Do I need AR software if I already have accounting software?

Not always. Many accounting packages send basic reminders. AR tools earn their place when you've got lots of open invoices, several people chasing, or payments that are hard to match.

Will automated reminders annoy my customers?

They can if they're blunt or too frequent. Start gently, personalise the first message, and stop reminders the moment a customer raises a query.

What is cash application?

It's matching incoming payments to the invoices they're meant to settle. It sounds simple, but partial and combined payments make it slow without software.
