To print Google Calendar, open it on a computer, choose the date range you want (day, week, month or schedule), then click the Settings gear and select Print. On the print preview page you can change the orientation, font size and whether weekends show, then click Print. To save it as a PDF instead, change the destination before printing.
There's still a lot to be said for a printed calendar. A week stuck on the fridge, a month pinned above your desk, a schedule to hand a babysitter or take to a planning meeting. Google Calendar doesn't make printing obvious, but the option is there, with a handful of settings that make the result far more readable. Here's how to print exactly what you need.
Print your Google Calendar, step by step
- Open Google Calendar on your computer.
- At the top right, choose the view you want to print, such as Day, Week, Month or Schedule, and move to the right dates.
- Click the Settings gear at the top right, then Print.
- On the Print preview page, adjust the font size, orientation and other options.
- Click Print.
Printing is a computer job. The Google Calendar app on your phone doesn't offer it, so if you need a printout on the go, open calendar.google.com in a browser.
Choose the right view before printing
| View | Best for |
|---|---|
| Day | A detailed timetable for one busy day |
| Week | Planning or a fridge copy for the family |
| Month | An overview of deadlines and events |
| Schedule | A list of events with more detail |
Whatever view you're looking at when you click Print is what you get, so pick it first.
Hide the calendars you don't want on paper
If your calendar shows work, personal and shared calendars together, the printout can be a mess. Google's tip is to hide calendars before printing: on the left, under My calendars or Other calendars, click the names of the ones you want to leave out. A calendar without a tick is hidden and won't print. I hide everything except the one calendar I'm printing for, then switch them back on afterwards.
Make the printout readable
- Orientation: the wide, horizontal option works best for week and month views; the tall, vertical one for day and schedule.
- Show weekends: untick it for a work-only printout and you get more space for weekdays.
- Font size: make it bigger for a wall planner, smaller for a dense week.
Here's the detail Google points out that saves frustration: changing the font size won't change the number of days on a page. It only makes text easier or harder to read. If a month looks cramped, switch to the horizontal orientation or hide weekends rather than shrinking the font to unreadable.
Locations print when there's room
Google notes that when space allows, the locations or rooms of events also appear on the printout. That's handy for a day sheet of client visits or a conference schedule. If locations are missing, try a view with more space per event, such as Day or Schedule.
Save your calendar as a PDF
- Follow the steps to print.
- In the final print window, under Destination, click Change.
- Choose Save as PDF.
- Save the file.
A PDF is perfect for emailing a schedule to a client, a team member or someone who looks after your children. It looks the same on every device, unlike a shared calendar link that depends on their settings.
Ideas for printed calendars
- A weekly family planner on the fridge, printed every Sunday.
- A month view of content deadlines pinned near your desk.
- A day sheet for an event or workshop with times and rooms.
- A schedule printout to take into a planning meeting and scribble on.
I print my content month at the start of each month and cross things off with a pen. It's oddly satisfying, and it keeps me honest. If you plan content this way, my content calendar template gives you a structure to fill in, and the weekly content batching template helps you plan the days you create.
Printing for someone else
If you're printing a schedule for a babysitter, a client or a new team member, hide your private calendars first and print only what they need. Better still, print to PDF and check it on screen before you send it. It's surprisingly easy to share a dentist appointment or a private note by accident when every calendar is switched on.

Printing a week every Sunday
A simple habit that keeps a household or a small team on track: every Sunday evening, open next week in Week view, hide anything personal, and print one copy for the fridge or the office wall. Everyone can see what's coming without opening an app, and you'll spot clashes before they happen.
If the printout looks wrong
- Events cut off? Switch to the horizontal orientation or a shorter date range.
- Too many calendars? Hide the ones you don't need.
- Text too small? Increase the font size in print preview.
- Wrong week? Close the preview, move to the right dates and try again.
My verdict
Pick your view and dates, click the Settings gear, choose Print, and tweak orientation, weekends and font size in print preview. Hide calendars you don't want on paper, and save as a PDF when you're sending it to someone. It's a computer-only job, so use a browser if you're on your phone.
