Zoom Help: Guides to Joining, Hosting, Sharing and Settings

Most Zoom help questions come down to who controls the setting. Zoom's support site says you don't need an account to join as a participant, but hosts and admins decide things like waiting rooms, screen sharing and recording, and a greyed-out option means it's been locked. My Zoom guides for each task are below.

When someone messages me in a panic five minutes before a Zoom call, it's nearly always one of a handful of problems: they can't get in, nobody can hear them, or a button they need has vanished. Here's what Zoom's own support pages say about each of those, so you can work out what's going on quickly, followed by every Zoom guide I've written, grouped by task.

Let's start with the most common question. According to Zoom's support site, you don't need a Zoom account to join meetings as a participant. An account is what lets you create and host meetings, invite others and change your personal settings.

You can join from the link in an invite, from the Zoom app, or by typing a meeting ID at join.zoom.us. Zoom says each meeting has a unique 9, 10 or 11-digit meeting ID, so if the number you've been sent is shorter or longer than that, check you've copied all of it.

Two host settings explain most of the I'm-stuck-outside moments. If the host uses a waiting room, Zoom says you wait there until the host admits you. And if the host uses authentication profiles to restrict access, every participant must be signed in to a Zoom account. Joining from a browser without the app also depends on the host, who has to enable the Join from your browser link, and Zoom says browser access offers basic meeting features only.

Hosting on Zoom: recording, screen sharing and breakout rooms

Hosts get more control, but also more rules about who can do what. Zoom's recording help says computer recording needs a Basic account or higher and the desktop app for Windows, macOS or Linux. It isn't supported on iPhone, iPad or Android, where Zoom says mobile users need cloud recording, and cloud recording is listed for Pro, Business, Education and Enterprise accounts.

Screen sharing has a default that surprises people. Zoom's help says hosts can enable or disable participant screen sharing, and Basic accounts default to host-only. So if a guest can't share, the fix is in the host's controls, not on the guest's computer.

For workshops and training, breakout rooms are the feature to learn. Zoom says hosts can split a meeting into up to 100 separate sessions and assign people automatically, manually or let them choose.

Zoom audio, mute and background settings worth knowing

Audio trouble is the other classic. On desktop, Zoom's help gives the mute shortcut as Alt+A on Windows and Command+Shift+A on macOS, which is handy when you need to cough quickly.

If you're playing a video and people can't hear it, you need to share sound as well as the screen. Zoom also says the volume of shared computer audio is controlled at the source app or device, not in Zoom itself, so turn the video up in the app you're playing it from.

Virtual backgrounds work from Settings, then Video and effects. Zoom notes that admins can turn virtual backgrounds off and lock them, and that a greyed-out option has been locked at group or account level. That one line saves a lot of fruitless reinstalling.

A Zoom troubleshooting checklist before you call IT

  1. Check the meeting ID is complete: Zoom says it's 9, 10 or 11 digits.
  2. If you're waiting, assume a waiting room and give the host a moment to admit you.
  3. If you're asked to sign in, the host has restricted access, so sign in with the email you were invited on.
  4. If you can't share, ask the host to allow participant screen sharing.
  5. If a setting is greyed out, it's locked by an admin, so ask them rather than reinstalling.
  6. If guests can't hear a video, share sound and raise the volume in the source app.
  7. Before deleting an account, note Zoom's rule that paid accounts must cancel and wait until the billing cycle ends, and that deletion is permanent.

My advice for getting Zoom help faster

Before you search for a fix, ask one question: is this my setting, the host's, or my admin's? Most Zoom problems I hear about are host or admin settings doing exactly what they were set to do. Start with the joining guides if you're a participant, and the hosting and sharing guides if you run the calls.

Frequently asked questions

Do I need a Zoom account to join a meeting?

No. Zoom's support site says you don't need an account to join meetings as a participant, unless the host uses authentication profiles, in which case all participants must be signed in.

How long is a Zoom meeting ID?

Zoom says each meeting has a unique 9, 10 or 11-digit number called a meeting ID.

Why can't I share my screen on Zoom?

Hosts can enable or disable participant screen sharing, and Zoom says Basic accounts default to host-only sharing. Ask the host to allow it.

Can I record a Zoom meeting on my phone?

Zoom says computer recording isn't supported on iPhone, iPad or Android, so mobile users need cloud recording, which is listed for Pro, Business, Education and Enterprise accounts.

Why is a Zoom setting greyed out?

Zoom says a greyed-out option has been locked at group or account level by an admin, so you'll need to ask them to change it.
