How to Use Gemini in Gmail: Summaries, Drafts and Inbox Tidy-Ups

To use Gemini in Gmail, open Gmail on a computer, click Ask Gemini at the top right and type your request in the side panel. It can summarise threads, draft emails and tidy your inbox. The detail people miss: it needs your confirmation before it archives, labels or deletes anything.

Email is where most of us lose the day. A client thread that's grown to forty replies, a supplier asking about a delivery you can't find, a draft you've rewritten three times. Gemini in Gmail is built for exactly that kind of mess, and it sits in a panel beside your inbox rather than in a separate app.

Here's how to open it, what Google's help page says it can do, and the safeguards and limits that matter before you let an AI near your business email.

Opening Gemini in your Gmail inbox

  1. Open Gmail on your computer.
  2. Click Ask Gemini at the top right.
  3. Use the side panel that opens on the right.
  4. Type your request in the prompt box at the bottom and click Submit.

Access depends on your account. Google says Gemini in Gmail requires an eligible Google Workspace or Google AI plan, and that personal account users can try it through Google Workspace Experiments, a trusted tester programme. That programme is for adults aged 18 or older with a personal Google Account they manage, and it isn't open to Google Workspace accounts. The help pages link to separate lists of supported languages and countries, so I'd check which accounts and places are covered on Google's page.

Summarising long email threads with Gemini in Gmail

The most useful job for most people is the summary. Google's help says Gemini can condense long threads into concise bullet points. That helps when you come back from a week away, or when a customer thread has passed through three people and you need the gist before you reply.

Try asking for specific things rather than a vague recap. 'What did the client agree to, and what's still open?' will usually get you a more useful answer than 'summarise this'. Then skim the original thread for anything that matters, because a summary can miss the one awkward detail.

Drafting and polishing emails with Gemini in Gmail

Google says you can ask Gemini to draft new emails or refine an existing draft for tone and clarity. Give it the point of the message, who it's for and how formal you want it. Then read it aloud and change anything that doesn't sound like you.

I'd be careful with one thing here. An AI draft can sound polished and still feel oddly impersonal to a customer who knows you. My piece on why AI-polished emails can get fewer replies covers that, and it's worth a skim before you automate your replies.

The Google help page I read doesn't walk through a Help me write button in the compose window, and I couldn't confirm the steps for suggested replies, so I've left those out. Menus can differ between accounts and app versions.

Tidying and searching your inbox with Gemini in Gmail

Beyond writing, Google lists these jobs for Gemini in Gmail:

  • Organising your inbox: archiving, labelling and starring emails.
  • Searching for details such as flight times or package tracking.
  • Scheduling meetings by proposing times based on your Google Calendar availability.
  • Creating Google Docs, Sheets and Slides, generating images and managing tasks.

For web answers, Google says to include a phrase such as 'Use Google Search' in your prompt. Without it, Gemini sticks to your own account.

The safeguards built into Gemini in Gmail

Handing an AI your inbox makes people nervous, so it's worth knowing what Google promises. Its help page says your emails are never deleted, archived, labelled, or marked read or unread until you explicitly confirm the action. After you confirm, you get 60 seconds to undo, and a new prompt ends that window.

Google also says conversations with Gemini in Gmail aren't saved to Gemini Apps Activity, and that deleting your Gemini in Gmail history doesn't remove anything saved to Gemini Apps Activity. If you manage a team's mail, read Google's article on how Gemini in Workspace protects your data too.

What Gemini in Gmail can't do

  • It only gives information about events on your primary calendar.
  • It can only use labels that already exist in your account.
  • It won't mark multiple emails as spam.
  • Very large requests that match too many threads aren't processed.
  • It can be wrong. Google says not to rely on it as medical, legal, financial or other professional advice.

None of that is a dealbreaker, but it explains why a request sometimes fails. If a prompt doesn't work, narrow it down: a date range, a sender, a single label.

Using Gemini in Gmail for a small business inbox

  • Catch up on a client thread before a call.
  • Pull out the delivery date a supplier mentioned.
  • Draft a polite chase for a late reply.
  • Sort a pile of newsletters into a label you already made.
  • Suggest meeting times that fit your calendar.

Never paste passwords, bank details or other secrets into a prompt, and think about what's in the threads you point Gemini at. If you'd like a hand working out where AI belongs in your day-to-day admin, that's part of my work as an AI consultant, and my first-week guide to Gemini covers the basics.

Gemini in Gmail versus Gemini in your browser

These are separate things. Gemini in Gmail is the assistant inside your inbox. Gemini in Chrome is a different assistant in the browser that can also draft Gmail messages, according to Google's Chrome help. Use the Gmail one when the job is about your mail, and the Chrome one when you're working across web pages.
