How to Add a Signature in Word: Picture, Reusable Block or Line

To add a signature in Word, scan your handwritten signature as an image and insert it with Insert, Pictures, or choose Insert, Signature Line for a spot someone else can sign. Microsoft also shows how to save a signature block as AutoText so you can reuse it.

Printing a contract, signing it by hand, scanning it and emailing it back is a faff, and it's what most of us still do. Word gives you a few tidier options: drop in a picture of your handwriting, save a ready-made signature block you can reuse, or add a line that shows someone where to sign.

Microsoft's support article covers all three, and I've followed it for the steps below. It covers the desktop versions of Word, with separate Windows and Mac instructions, and it has no steps for Word for the web.

Choosing between the three ways to sign in Word

MethodGood forWhat Microsoft describes
Handwritten signature pictureLetters and documents you send outSign on paper, scan it, insert the image
Saved signature blockSigning the same way every timeSave the picture and your details as AutoText
Signature lineDocuments someone else must signInsert, Signature Line, with an X marking the spot

Pick by what you need. A letter from you wants the picture. A contract that a client has to complete wants the line.

Making a handwritten signature picture for Word on Windows

  1. Sign your name on a clean sheet of paper.
  2. Scan it and save the file as a BMP, JPG or PNG. Your scanner's manual or website explains how.
  3. Open the image in Word.
  4. Select the image, then use Crop on the Picture Format tab to trim away the empty paper.
  5. Right-click the image and choose Save as Picture, so it exists as its own file.
  6. In any document, use Insert, then Pictures, to add your signature.

Microsoft describes a handwritten signature as giving a document a personal touch, and I agree. It does need a scanner, though.

Making a handwritten signature picture for Word on a Mac

  1. Sign on paper, then scan it and save it as a BMP, GIF, JPG or PNG file. The Mac list includes GIF.
  2. On the Insert tab, choose Pictures, then Picture from File, select your image and click Insert.
  3. Select the picture and use Crop on the Picture Format tab.
  4. Right-click the picture and choose Save as Picture.

Saving your signature block in Word to reuse

Pasting the picture and retyping your title and phone number every time gets old. Microsoft's answer is AutoText. On Windows:

  1. Type your details (job title, phone, email) under the signature picture.
  2. Select both the picture and the text.
  3. Choose Insert, then Quick Parts, then Save Selection to Quick Part Gallery.
  4. Name the block, set the Gallery to AutoText, and click OK.
  5. To use it, put the cursor where you want it, then choose Insert, Quick Parts, AutoText and pick your block.

On a Mac, select the picture and text, choose Insert, AutoText, New, name it and click OK. To reuse it, go to Insert, AutoText, AutoText and pick the name.

Adding a signature line in Word for someone else to sign

  1. Click where the line should go.
  2. Choose Insert, then Signature Line.
  3. Select Microsoft Office Signature Line.
  4. In Signature Setup, you can enter a suggested signer and that person's title.
  5. Click OK. The line appears with an X marking where to sign.

This is the one to use on agreements, quotes and consent forms. It tells the signer exactly where to put their name, and the suggested signer box means the right person's name is already printed beneath.

Microsoft has a second article about adding a signature line by hand. As I understand it from the summary of that page, a printed document can use underlined tab characters, and an online one can use a single-cell table with its bottom border switched on. I haven't relied on that here, so check Microsoft's page before using it.

Keeping your Word signature safe

A signature picture is just an image. Anyone who gets hold of the file can paste it into something you never saw, so treat it like a key. Keep it in a folder you control, don't leave it on a shared drive that everyone can open, and think twice before attaching an editable Word file that contains it. Sending a PDF of the finished document is usually safer.

I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.

Please also keep to the rules for the document in question. Some agreements need a particular kind of signature, and I can't advise on that. Ask the other party or a solicitor if it matters.

Signing documents in Word and Google Docs

If part of your team works in Google's tools, the equivalent job is covered in my guide to inserting a signature in Google Docs. For a letter or quote that runs onto a second sheet, adding a page in Google Docs shows how I'd keep the sign-off from being stranded alone.

If your signature in Word looks wrong

  • It looks pixelated: scan it again and crop closely, without stretching the picture.
  • There's a grey box around it: crop in on the signature and re-save the picture.
  • The AutoText block isn't listed: check you set the Gallery to AutoText when you saved it.
  • You can't find Signature Line: use the desktop app, because Microsoft's article gives no web steps.
  • Menus look different: Microsoft covers several versions, so look for Insert, then Pictures or Signature Line.
