To find archived emails in Gmail, click More then All Mail on the left, or type in:archive into the search bar. Archiving only removes a message from your inbox, so it's still there, and a reply to it brings the conversation back to your inbox.
You archived a thread to clear your inbox, and now a client wants the details from it. It has vanished, and the first thought is that you've lost it. You haven't. In Gmail, archived mail doesn't go anywhere scary, it just stops showing in the inbox.
Below is where Gmail keeps archived messages, the quickest ways to find them, how to archive in the first place, and how to put a message back. It all follows Google's own Gmail help pages, and I've said where I'm leaving the exact menu names loose because they change between app versions.
Where archived emails live in Gmail
Google's help says archiving removes a message from your inbox, but you can still find it under the All Mail label. There's no separate Archive folder in Gmail. Everything you've archived sits in All Mail alongside the rest of your mail, which is why it can feel hidden.
Finding archived emails in Gmail on a computer
There are two routes on a computer, and the search one is faster once you've used it:
- Open Gmail in your browser.
- On the left, click More if you can't see everything, then click All Mail.
- Scroll or search within that list to find the message.
Or click the search bar and type in:archive. Google's help gives that as a shortcut for archived messages. You can add a name or keyword after it, such as in:archive followed by a client's name, to narrow the results.
Finding archived emails in the Gmail app on Android or iPhone
Google's help for the phone apps points the same way. Tap Menu at the top left, then All mail. From there you can scroll or use the search box. Menu names can shift a little between app versions, so if yours looks different, open the menu and look for All mail near the bottom of the label list.
How to archive an email in Gmail
Since you're here, it's worth getting the other half right. On a computer, Google's steps are:
- Open Gmail and tick the box beside the message.
- Click the Archive icon at the top.
- Or tick the box and press E on your keyboard.
On your phone, Google's help says you can set a swipe to archive. In the app settings look for Mail swipe actions, choose the left or right swipe and set it to Archive. Check your own settings first, because a swipe may be set to delete instead.
What happens when someone replies to an archived Gmail thread
This catches people out in a good way. Google says that if someone replies to a message you archived, it returns to your inbox. So archiving a conversation that's still live isn't dangerous, the next reply brings it back to the top.
Moving an archived email back to your Gmail inbox
- Find the message in All Mail or with in:archive.
- Tick the box beside it.
- Click Move to Inbox at the top.
Do this for anything that needs an answer. A tidy inbox should show what's waiting on you, and a message you've forgotten about is better in view than hidden.
Archive, delete or label in Gmail: a simple rule
| If the email is... | Do this |
|---|---|
| Handled but might be needed later | Archive it |
| Pointless or a duplicate | Delete it |
| Needs a reply | Leave it in the inbox |
| Part of a project you revisit | Archive it and apply a label so it's easy to pull up |
I use archive for most client mail once a job is finished. If you want more ideas for keeping Gmail manageable, my guide to improving productivity in Gmail without extra apps has a few that work with what you already have.

Searching your archive in Gmail for client records
For a small business, the archive is a quiet filing cabinet. Clients rarely ask for something from last week, they ask for an old quote, an agreed deadline or the address they sent in the spring. A search that combines in:archive with a name usually gets you there in seconds.
It's worth agreeing with anyone who shares your mailbox, like a VA, that archive means 'done'. If they treat it as 'ignore for now', things go missing in the middle of a deal. And if you want a calm way of sorting what comes in, see how I think about triage rather than drafting emails.
Why archived Gmail emails seem to disappear
The usual cause is a mis-tap. A swipe on the phone, or the E shortcut on a computer, archives a message in a split second and there's no folder with a name to remind you where it went. If a conversation vanishes right after you were scrolling, archive is the first place to look, before you assume it was deleted.
It also happens when someone else has access to the account. A team member tidying up with good intentions can leave you wondering where a client thread went. A quick in:archive search settles it.
If you can't find an archived email in Gmail
- Check All Mail first, not Sent or Drafts.
- Try in:archive with a word from the subject or the sender's name.
- Make sure you're signed in to the right Google account, especially if you use a personal and a work one.
- Check Trash. Google's help says deleted messages stay there up to 30 days before they're permanently deleted.
- Look in Spam, in case it was filtered.
- If it's a work account, ask your admin, since retention rules can differ.
