To schedule a Zoom meeting, click Schedule on the Home tab of the desktop app, add a topic, date and time, then click Save. You can also schedule from the phone app, the web portal or an Outlook or Google Calendar add-in. Check the passcode and waiting room first.
A meeting link sent five minutes before the call looks chaotic. A clear invite, sent in advance with the right settings, tells a client you're organised and gives them time to find a quiet room. Scheduling in Zoom takes about a minute once you know which of its several routes suits you.
Zoom offers more ways to schedule than most people realise, so I'll go through the desktop app, phone app, web portal and calendar add-ins, then the options worth checking before you hit Save.
Scheduling a Zoom meeting in the desktop app
Zoom's help says the desktop app (Windows, macOS or Linux) lets you schedule from the Home, Calendar, Meetings or Scheduler tab, depending on your setup. The simplest route is this one:
- Open the Zoom desktop app and stay on the Home tab.
- Click Schedule to open the scheduling window.
- Add a topic, a date and a start time, then choose your options.
- Click Save.
- If calendar and contacts integration is on, choose Send, Don't send or Back to editing when Zoom asks what to do with the invitation.
Can't see a tab you expected? Zoom says to check the More tab, because which tabs show depends on whether calendar and contacts integration is switched on.
Scheduling a Zoom meeting on your phone
On Android or iPhone, open the Zoom Workplace app and go to the Home tab. Tap Schedule, enter a topic, set the date and time, choose your options and tap Save. It's quick enough to do from a train platform.
Scheduling a Zoom meeting from the web portal
Prefer a browser? Sign in to the Zoom web portal, open the Zoom Products menu in the top-right corner, choose Meetings and click Schedule a Meeting. Using the Zoom Web App instead? Zoom says clicking Schedule on its Home tab sends you to the web portal to finish.
Scheduling a Zoom meeting from Outlook or Google Calendar
If your diary lives in Outlook or Google Calendar, you don't need to leave it. Zoom lists an Outlook add-in or plugin, plus Chrome and Firefox extensions and a Google Calendar add-in. Booking from your calendar means the Zoom details drop straight into the invite, so you only send one message.
Zoom meeting settings to check before you save
Zoom says the host controls most of the options on a scheduled meeting, apart from anything an admin has locked. These are the ones I'd check on every client call:
| Setting | Why it matters to a small business |
|---|---|
| Passcode | Keeps uninvited people out of your client calls |
| Waiting room | Lets you admit guests when you're ready |
| Mute on entry | Stops background noise when a larger group joins |
| Automatic recording | Captures the call without you remembering to press Record |
| Authentication | Limits the call to people who are signed in |
| Alternative hosts | Lets a colleague start the meeting if you're delayed |
Zoom also lists encryption choices, including end-to-end, and notes that choosing end-to-end switches off some features, so decide whether you need it before you finalise the invite.
Scheduling a Zoom meeting for someone else
Assistants and virtual assistants do this daily. Zoom's help says you need scheduling privilege from the person you're booking for. In the scheduling window, pick their name under Schedule for, adjust the settings and save. If the privilege has only just been granted, sign out of the Zoom app and sign back in so the option appears.

Planning the day and time of your Zoom meeting
The scheduling window only asks for a date and time, but the thinking happens before it. Pick a slot that gives you a few minutes either side, so a call that overruns doesn't collide with the next one. If you work with people in other countries, write the time zone out in your message instead of assuming they'll convert it, and check your diary before you commit. A short reminder the day before is kinder than a chaser after someone's missed it.
Sending your Zoom meeting invitation
Zoom says automatic email invitations need calendar and contacts integration enabled for the host or scheduler. Without it, copy the invitation details yourself and paste them into your own email. Whichever route you take, include the date, the start time with the time zone written out, and what the call is about. A line on how to join from a phone is helpful too.
If your calls involve a recorded session, say so in the invite. My guide to where a webinar recording ends up after a Zoom call is useful when you promise a replay. And before you invite an AI note-taker, read what AI meeting notes get right and what they miss.
The same planning habit helps outside Zoom. If you promote your calls on social, my piece on writing and scheduling an Instagram post for your business shows how to line the announcement up with the invite.
If you can't schedule a Zoom meeting
- Check you're signed in to the right account, not a personal one if you use two.
- Look for a missing tab under More in the desktop app.
- Ask your admin whether a setting has been locked, because locked options can't be changed by individual hosts.
- Update the app and try again, or use the web portal instead.
