The Onboarding Email Drip Template
Six emails that take a new customer from "just signed up" to their first real win before they go cold.
Most onboarding sequences fail because they talk about the product instead of guiding the customer to a result. This six-email drip is built around activation milestones, not marketing messages. Each email has one job: move your new customer one step closer to their first win so they feel the value before doubt creeps in.
- Email 1: The Welcome (Send Immediately at Sign-Up)
- Email 2: The Quick Win Setup (Send at Hour 24)
- Email 3: The First Win Confirmation (Send at Day 3)
- Email 4: The Use Case Deepener (Send at Day 5)
- Email 5: The Commitment Reinforcer (Send at Day 8)
- Email 6: The Activation Checkpoint (Send at Day 14)
Email 1: The Welcome (Send Immediately at Sign-Up)
This email arrives the moment someone signs up. Its job is to confirm they made the right decision and tell them exactly what happens next. Keep it short. Do not try to educate them yet.
Email 1 Template
Subject: You're in, [FIRST NAME]. Here's what happens next. Hi [FIRST NAME], Welcome to [PRODUCT/COMMUNITY NAME]. We're glad you're here. You've just unlocked [ONE-LINE DESCRIPTION OF THE CORE THING THEY NOW HAVE ACCESS TO, e.g. 'access to the full AI workflow library' or 'your 30-day programme']. Here's what to do right now: [SINGLE MOST IMPORTANT FIRST ACTION, e.g. 'Log in and complete your profile' or 'Download your starter guide' or 'Book your onboarding call'] [CALL-TO-ACTION BUTTON TEXT] → [LINK] This is the one thing that makes the biggest difference in your first 48 hours. Everything else comes after. If you have any questions, just reply to this email. I read every one. [YOUR NAME] [COMPANY NAME] P.S. Over the next few days I'll send you a short series of emails to help you get the most out of [PRODUCT NAME]. Each one will be short and practical.
Email 2: The Quick Win Setup (Send at Hour 24)
Twenty-four hours in, your new customer either took the first step or they didn't. This email helps both groups. For those who completed step one, it points them to the next milestone. For those who didn't, it removes friction without making them feel bad.
Email 2 Template
Subject: The one thing that gets you [SPECIFIC RESULT] fastest Hi [FIRST NAME], Most people who get the best results from [PRODUCT NAME] do one thing in their first 48 hours. They [SPECIFIC QUICK-WIN ACTION, e.g. 'run the AI audit on their top three pages' or 'complete the discovery questionnaire' or 'set up their first automated workflow']. It takes about [TIME ESTIMATE, e.g. '15 minutes']. And it's the difference between [VAGUE OUTCOME] and [SPECIFIC OUTCOME YOUR BEST CUSTOMERS GET]. Here's exactly how to do it: Step 1: [INSTRUCTION] Step 2: [INSTRUCTION] Step 3: [INSTRUCTION] [CALL-TO-ACTION BUTTON TEXT] → [LINK] Once you've done this, hit reply and let me know. I'd love to hear what you find. [YOUR NAME] P.S. If anything is stopping you from getting started, reply here. Happy to help.
Email 3: The First Win Confirmation (Send at Day 3)
Day three is where most onboarding sequences lose people. The initial excitement has faded and the customer hasn't felt a result yet. This email is designed to manufacture a moment of progress, even a small one, so they feel momentum.
Email 3 Template
Subject: Did you see [SPECIFIC RESULT TYPE] yet? Hi [FIRST NAME], By now you should have [WHAT THEY SHOULD HAVE COMPLETED, e.g. 'run your first workflow' or 'finished the setup checklist']. If not, no problem. Today's the day. Here's why this matters: [2-3 sentences on the specific outcome this milestone unlocks, grounded in what real customers experience. E.g. 'Once this is set up, you'll have a clear picture of exactly where your funnel is losing leads. That's the foundation for everything else we do together.'] [CUSTOMER RESULT EXAMPLE: 'One of our customers, [FIRST NAME ONLY or 'a service business owner we work with'], did this in week one and [SPECIFIC RESULT, e.g. 'found three leaks they hadn't noticed in two years of running the business'].'] [Remove this line if you don't have a real example to use.] If you've already hit this milestone, here's where to go next: [NEXT STEP + LINK] If you haven't started yet, here's the simplest way in: [LOWEST-FRICTION ENTRY POINT + LINK] [YOUR NAME]
Email 4: The Use Case Deepener (Send at Day 5)
By day five, customers who are engaged need to see what is possible beyond the basics. This email shifts their thinking from 'I'm using this' to 'this is changing how I work.' It also re-engages anyone who has gone quiet by showing them a specific outcome relevant to their situation.
Email 4 Template
Subject: How [TYPE OF CUSTOMER THEY RELATE TO, e.g. 'a solo founder' or 'a small agency'] uses [PRODUCT NAME] to [SPECIFIC OUTCOME] Hi [FIRST NAME], [PRODUCT NAME] does a lot of things. But the customers who get the most from it focus on one thing first. For [TYPE OF BUSINESS/PERSON THAT MIRRORS YOUR CUSTOMER], that's usually [SPECIFIC USE CASE, e.g. 'automating lead follow-up so nothing falls through the gaps' or 'getting a clear picture of which content is actually driving enquiries']. Here's what that looks like in practice: [3-4 SENTENCES DESCRIBING A SPECIFIC SCENARIO. Make it concrete. Name the problem, the action taken, the result. E.g. 'They come in with 200 leads a month and no system for following up. They run [FEATURE] in week one. By week three, response time is down from 4 days to 4 hours, and close rate is up.'] If this sounds like what you're trying to do, here's the feature to look at first: [FEATURE NAME] → [LINK OR INSTRUCTIONS] And if your priority is different, reply and tell me. I'll point you in the right direction. [YOUR NAME] P.S. The biggest thing I see slow people down at this stage is [COMMON FRICTION POINT]. If that's where you are, [SHORT SOLUTION OR REASSURANCE].
Email 5: The Commitment Reinforcer (Send at Day 8)
Around the end of the first week, buyer's remorse can set in, especially for higher-ticket products. This email doesn't fight it. Instead, it anchors the customer to the decision they made and gives them a clear picture of what is coming if they stay the course.
Email 5 Template
Subject: You're [X DAYS] in. Here's what to expect in the next [TIMEFRAME] Hi [FIRST NAME], You've been with [PRODUCT NAME] for about a week now. That means you're past the setup phase and into the part where the results start to compound. Here's what the next [TIMEFRAME, e.g. '3 weeks'] typically looks like for people at your stage: [WEEK/PHASE 1]: [SHORT DESCRIPTION OF WHAT THEY WILL DO OR SEE, e.g. 'You start seeing patterns in your data you've never had visibility on before.'] [WEEK/PHASE 2]: [SHORT DESCRIPTION] [WEEK/PHASE 3 or OUTCOME MILESTONE]: [SHORT DESCRIPTION, e.g. 'Most customers report their first clear win, whether that's a closed deal, a reduced cost, or a workflow they've fully automated.'] The customers who get here fastest are the ones who [SINGLE MOST IMPORTANT BEHAVIOUR, e.g. 'use the platform at least three times a week in the first month' or 'book the strategy session within the first 10 days']. If you haven't done [THAT ACTION] yet, now is the right time: [CALL TO ACTION + LINK] You made a good decision when you signed up. This is the part where it pays off. [YOUR NAME]
Email 6: The Activation Checkpoint (Send at Day 14)
Two weeks in is a natural decision point. The customer either feels the value or they don't. This email is honest about that. It invites people who are thriving to go deeper, and it opens a conversation with those who aren't. Both outcomes are useful.
Email 6 Template
Subject: Quick check-in, [FIRST NAME] Hi [FIRST NAME], You've been with us for two weeks. I want to ask you directly: how is it going? If things are going well and you're starting to see [CORE RESULT TYPE, e.g. 'results in your pipeline' or 'time savings in your workflow'], the next step is [NATURAL NEXT MILESTONE OR UPGRADE PATH, e.g. 'moving into the advanced automation module' or 'booking a review call to look at your first-month data together']: [CALL TO ACTION + LINK] If things haven't clicked yet, I'd like to know why. It's almost always one of three things: 1. [COMMON FRICTION POINT 1, e.g. 'Not enough time to get fully set up'] 2. [COMMON FRICTION POINT 2, e.g. 'Not sure which feature to focus on first'] 3. [COMMON FRICTION POINT 3, e.g. 'Something specific isn't working as expected'] Whichever one it is, reply and tell me. I'll help you get unstuck. The customers who get the best results from [PRODUCT NAME] are the ones who stayed past the first two weeks and pushed through the learning curve. Everything gets easier from here. [YOUR NAME] P.S. If you want to see exactly what results other customers have got by this point, [LINK TO CASE STUDY, TESTIMONIAL PAGE, OR RESULTS ROUNDUP].
