The right real estate CRM depends on whether you're a solo agent, a team or a full agency. Look for portal lead capture, automatic follow-up reminders, buyer and seller records, and a good mobile app. This page lists ten options in no particular order, then covers how to choose, demo questions and switching tips.
Every agent I've spoken to has the same headache: leads arrive from portals, open houses, social media and old clients, and they end up scattered across a phone, an inbox and a notebook. A real estate CRM pulls those contacts into one place and reminds you who to call next, which is where most of the commission is won or lost.
Below you'll find ten options in no particular order, sorted alphabetically, with a mix of US tools and UK estate agency systems. Six of them are smaller or independent brands, because a focused system often suits a small agency better than the biggest name. The descriptions come from each company's own website. If you're comparing CRMs outside property too, my guide to CRMs compared by team size is a helpful starting point.
Real estate CRM options side by side
In the free plan column, Yes would mean the company's own site describes a permanent free version. Trial only means it offers a free trial with no ongoing free plan, and No means its site mentions neither (most property systems work through a demo). Plans change, so it's worth checking each site before you decide.

What a property agent's CRM should handle
Agents don't need the same thing as a software company. A good property CRM should cope with the way homes are bought, sold and let, not just with generic sales pipelines. Look for these basics:
Want AI doing the heavy lifting in your marketing?
I build the systems that handle the boring 80 percent, so you get your week back. Done properly, with the human kept in.
- Lead capture from the property portals, your website and social media, without retyping.
- Separate records for buyers, sellers, landlords and tenants, with the property each one cares about.
- Automatic follow-up reminders, so a new enquiry never waits until tomorrow.
- Simple email and text campaigns for past clients, because repeat and referral work is where steady income comes from.
- Deal or transaction tracking, with tasks for each stage from offer to completion.
- A mobile app that works on viewings, not just at a desk.
Questions to ask a real estate CRM company on the demo
Most property CRMs sell through a demo, so go in with a short list of questions and ask them to show you, not tell you.
- Which lead sources connect directly, and which need a workaround?
- How do I import my existing contacts, and will you help with it?
- Can I see a typical day for an agent on the mobile app?
- What happens to my data if I leave, and in what format can I export it?
- How long does setup usually take for an agency of my size?
- Who answers support questions, and how quickly?
Write the answers down straight after each call. By the third demo, the details blur together.
US agent CRM or UK estate agency system?
The US tools on this list grew up around individual agents and teams who generate their own leads, so they put a lot of weight on speed-to-lead, texting and drip campaigns. The UK systems are built around the estate agency as a business, with sales and lettings, property management and client accounting sitting next to the contact records.
If you're a self-employed agent working under a brokerage, an agent-focused CRM is usually the better fit. If you run a high street or online agency with lettings and landlords, an agency system will save you running two or three separate tools. For ideas on putting a CRM to work once it's set up, see my guide on using a CRM to win more property referrals.
Moving your property contacts into a new CRM
- Clean your contact list first: merge duplicates and delete people you'd never contact again.
- Tag every contact by type (buyer, seller, landlord, tenant, past client) before you import.
- Bring across live deals and their key dates so nothing slips during the switch.
- Set up two or three follow-up plans to begin with, then add more once they're working.
- Keep the old system running for a short overlap and check nothing important is missing.
Common real estate CRM mistakes
The biggest one I see is buying for features rather than habits. A CRM only works if everyone logs calls and notes, so pick the one your agents will open every morning. The second is automating too much too soon: a flood of generic emails can put off the very past clients you want referrals from. If you're curious about smarter follow-up, my round-up of AI tools for estate agents covers the newer assistants.
Do you make a real estate CRM? Tool makers can ask to be considered for a featured place on this list.
Before you commit to a property CRM
Shortlist two or three systems that match how you work: solo agent, team or full agency. Book the demos close together, ask the same questions each time, and import a small sample of your real contacts during any trial. Choose the one that makes your daily follow-up quicker, and give your team a week of short training sessions so it sticks.
Frequently asked questions
What is a real estate CRM?
It's customer relationship management software built for property. It stores buyers, sellers, landlords and tenants, tracks enquiries and deals, and reminds you when to follow up.
Do estate agents in the UK use the same CRMs as US realtors?
Not usually. UK agencies tend to use agency systems that cover sales, lettings and property management, while US agents often use CRMs built around individual lead follow-up.
Can a small agency manage with a general CRM?
It can, but you'll miss property-specific features such as portal lead capture, viewing management and transaction checklists. A property CRM saves a lot of manual setup.
Is there a free real estate CRM?
Most property CRMs offer a demo or a free trial rather than a permanent free plan. Check each company's own site for its current options.
How long does it take to switch CRM?
For a solo agent it can be a few days. For an agency with years of records, plan for a few weeks of cleaning, importing and training.
